For a small, straightforward crypto history with complete records, a carefully maintained spreadsheet may be enough. For activity across multiple wallets or exchanges, higher transaction volume, or a need for a tax report, crypto tax software is usually more practical. Neither tool guarantees correct tax treatment: you still need to reconcile transfers, verify cost basis and classifications, and keep records that support your return.

What should you choose?

Choose based on the work your transaction history requires, not on the assumption that one tool is automatically more accurate. The IRS requires taxpayers to keep records sufficient to support positions on federal returns whether they use a spreadsheet, tax software, or both. IRS guidance on digital-asset transactions

  • A spreadsheet can work if you have few transactions, complete source records, and can verify each acquisition, transfer, income event, and disposition.
  • Software can be more practical when your history spans multiple exchanges or wallets, includes many transactions, or needs to be organized into a tax report.
  • A hybrid workflow is often useful: use imports to organize activity, then review and correct the records, and use a spreadsheet to inspect or summarize exported data.

There is no independent comparative accuracy or speed statistic established here, so treat software as an organizational aid rather than proof that the resulting tax figures are right.

How do spreadsheets and software compare?

Decision point Spreadsheet Crypto tax software
Best fit Small, uncomplicated histories with complete records and hands-on review Higher transaction volumes or activity across multiple wallets and exchanges
Data entry Often requires manual entry or review of imported files May import records from supported exchanges, wallets, or files; supported connections vary by product
Transfer matching Must be identified and reconciled by the user May help organize or match transfers, but matches still need review
Basis and classification Depends on formulas and user decisions; a template does not establish correct treatment Calculations and labels are product outputs that should be checked against source records and applicable rules
Tax reports Can organize figures but does not itself ensure that required forms are complete or correct May generate tax reports or support imports into filing software; plan limits and formats vary
Audit trail and corrections Can expose assumptions and edits if entries, sources, and changes are documented Review whether you can inspect and correct imported transactions and trace figures to source data

Product support, transaction limits, report access, and filing integrations change. Compare the current plan details for the tax year you are preparing, and confirm that the product supports your exchanges, wallets, chains, and file formats.

What records do you need to track crypto gains?

For a digital-asset disposition, IRS guidance identifies the asset type, date and time, units, fair market value, and basis as relevant details. Basis is generally the U.S.-dollar cost, though the applicable method depends on the transaction. Keep purchase, receipt, sale, exchange, disposition, and income records, along with enough supporting information to substantiate what you report. IRS digital-asset recordkeeping and tax guidance

In practice, preserve exchange statements, wallet records, transaction IDs, receipts, and other source documents. A spreadsheet row or software entry is only as dependable as the underlying information and the way it was reconciled.

Track more than sales

Crypto tax records may involve income and business activity as well as capital gains. IRS guidance distinguishes dispositions of digital assets held as capital assets from income associated with events such as staking, mining, or forks, and from certain business activity. Depending on the facts, the IRS points to Form 8949 for capital-asset dispositions, Schedule 1 for certain ordinary income, and Schedule C for certain business activity. The right treatment depends on the transaction and taxpayer; use the current tax-year forms and instructions.

When is a crypto tax spreadsheet enough?

A spreadsheet is a reasonable primary recordkeeping method when the history is small and simple enough that you can review every entry against complete source records. It is not a substitute for deciding how transfers, basis, income, or tax forms should be treated.

Use a spreadsheet when you can verify every row

For each relevant event, record the asset, timestamp, units, fair market value, basis where applicable, and disposition details. Keep a reference to the source record and flag any unclear or missing item for reconciliation. Do not fill a gap with an assumed value simply to make a calculation work.

Use it for review even if it is not your calculator

A spreadsheet can also help inspect and summarize data exported from tax software. For example, Koinly documents CSV report exports that can be opened in spreadsheet software for analysis and custom pivot tables. Koinly report export documentation

When does crypto tax software help?

Software may reduce manual organization and import work when transactions are numerous or spread across multiple wallets and exchanges. Some products also produce tax reports or connect with filing software. Those features do not establish that every transaction was imported, every transfer was matched, or every classification and basis figure is correct.

Check the limits and reports against your full history

Plan limits can affect whether a product covers your account, and reports may be restricted to paid tiers. As examples checked on October 9, 2026, Koinly’s pricing page lists free and paid plans with different transaction limits and reports. Its help documentation says the free plan allows users to view imported transactions, calculated gains, and a tax summary, but not generate reports; calculations halt if a free-plan account exceeds 10,000 transactions. These are product-specific details that can change, not general limits for crypto tax software. Koinly pricing · Koinly free-plan details

Verify imports and filing compatibility

Before relying on an import, check that the service supports the relevant exchanges, wallets, chains, and files, and that you can identify missing history, duplicates, and unmatched transfers. If you plan to send data to filing software, confirm its accepted formats and supported import process for the tax year in question. TurboTax describes crypto filing and portfolio imports, but a filing product is a downstream step, not a replacement for complete underlying records. TurboTax crypto tax information

How should you reconcile a crypto tax report?

  1. Gather source records. Collect exchange statements, wallet histories, receipts, and records of income or other digital-asset activity for the tax year.
  2. Check coverage. Compare the transactions in the report with each account and wallet’s source history. Look for missing periods, unimported accounts, duplicates, and unsupported activity.
  3. Review transfers. Confirm that movements between your own wallets or accounts are not incorrectly treated as sales, and check that the corresponding entries have been matched where appropriate.
  4. Investigate basis gaps. Trace missing or unexpected basis to earlier acquisition records. Flag unresolved items rather than accepting an assumed value.
  5. Check classifications and calculations. Review whether transactions are identified appropriately as dispositions, income, or other activity, and verify material figures against records and current tax-year rules.
  6. Confirm the filing handoff. Check that the report’s forms or export format are accepted by your filing workflow, then review the resulting return before filing.

What does Form 1099-DA change?

Broker reporting is being phased in; it does not remove the need to keep personal records or guarantee that every transaction’s basis appears on a broker statement. The IRS says brokers must report gross proceeds for covered transactions effected on or after January 1, 2025, and basis for certain covered transactions effected on or after January 1, 2026. Reconcile broker information with your own records and the current forms and instructions. IRS digital-assets filing information

When should you ask a tax professional?

Get professional help if records are incomplete, transfers or basis are difficult to reconstruct, activity includes complicated income or business questions, or you cannot confidently determine how an event should be reported. Bring source records and a list of unresolved entries; a software report or spreadsheet alone may not resolve the underlying tax questions.
