Copilot in Excel is usually the better fit when your analysis and edits must stay inside an Excel workbook. It can summarize table data, explain or generate formulas, perform lookups, create charts and PivotTables, and offer a Python-backed analysis mode for suitable tables. ChatGPT is more flexible when you want to upload a spreadsheet for conversational analysis or use a dedicated sidebar in Excel or Google Sheets to build, update, and explain workbook content.
There is no verified universal winner for speed or accuracy. Choose according to where the work happens, how your data is structured, which plan and tenant controls you have, and how much governance your organization needs. Review every calculation and edit before relying on it.
At a glance: which tool fits your spreadsheet job?
| Need | Better starting point | Why |
|---|---|---|
| Ask questions while working in an Excel workbook | Copilot in Excel | Its documented features operate in workbook context and can suggest formulas, lookups, summaries, charts, PivotTables, sorting, filtering, and highlighting. |
| Analyze a file without opening Excel | ChatGPT file analysis | You can upload .xls, .xlsx, .csv, or .tsv files for conversational analysis, calculations, tables, charts, and explanations. |
| Build or update a workbook from a sidebar | ChatGPT for Excel and Google Sheets | The spreadsheet add-in is designed to create, update, and explain content in place, subject to account and workspace availability. |
| Python-assisted analysis of clean Excel tables | Either, depending on location | Copilot has a Python analysis path in Excel; ChatGPT data analysis can use a stateful Python notebook environment. Their interfaces, controls, and output behavior differ. |
| Use Microsoft work sources and connectors | Copilot in Excel | Microsoft documents web sources, work sources, and approved Microsoft 365 Copilot connectors, with administrator and subscription conditions. |
| Make a decision based on benchmarked accuracy or speed | Neither can be declared the winner | The official documentation does not provide an independent, owner-attributed comparison of speed, accuracy, or productivity across workbooks. |
The practical distinction is not simply “Microsoft versus OpenAI.” Copilot in Excel is a workbook-native assistant, while ChatGPT offers both a file-analysis conversation and an in-spreadsheet product. Those are separate ChatGPT workflows and should not be treated as one feature.

Copilot in Excel: analysis beside the data
Copilot is opened from the Excel experience and works with the workbook you are viewing, subject to the particular Excel version, subscription, file location, and organizational controls. Microsoft documents natural-language questions about table data, including summaries, trends, outliers, formulas, formula explanations, and lookups. Its visualization guidance also covers chart creation, PivotTables, highlighting, sorting, and filtering. See Microsoft’s data-insights guide and visualization guide.

The result is useful when the workbook itself is the source of truth and you want suggestions or supported changes without exporting data to another interface. Copilot can still return an explanation rather than changing cells; treat any proposed insertion or edit as a draft until you inspect it.
ChatGPT file analysis: a conversational notebook around an upload
In the general ChatGPT data-analysis workflow, you upload a spreadsheet and ask questions about it. ChatGPT may use Python in a stateful notebook environment to calculate results and produce tables, charts, and explanations. The data-analysis documentation recommends structured data and says complex, image-heavy, oversized, or poorly structured files may not be fully analyzed.
This route is convenient for exploratory work, cross-checks, and explanations that do not need to be written directly into the original workbook. It does not automatically make the uploaded conversation a live, collaborative Excel file; if you need workbook edits, you must apply and verify them yourself or use the separate spreadsheet add-in.
ChatGPT for Excel and Google Sheets: a separate in-app sidebar
The ChatGPT for Excel and Google Sheets guide describes a sidebar intended to build, update, and explain spreadsheets in place. It is distinct from uploading a file to a normal chat. Availability is described as a rollout across listed consumer and business or education plans, but usage limits, account entitlements, and workspace settings still determine whether a particular user can use it.
Capability comparison
| Decision axis | Copilot in Excel | ChatGPT spreadsheet analysis |
|---|---|---|
| Where work happens | Inside an Excel workbook, with documented workbook operations and Python analysis modes. | Either an uploaded-file conversation or a sidebar in Excel and Google Sheets. |

What Copilot in Excel can do
Ask data questions in plain language
With a well-formed table, ask questions such as Which region had the highest and lowest sales? or Are there any outliers or anomalies in this data? Copilot can return an explanation and supporting calculations without requiring you to remember a formula for every exploratory question. The response is still an interpretation of the selected or available workbook data, so compare it with totals and filters you can inspect.
Generate, explain, and extend formulas
Copilot can suggest formulas and explain existing formulas in natural language. It can also help with lookups when you describe the key columns and the result you need. Specify the lookup key, return column, treatment of missing matches, and whether the result should be a formula that updates as rows change.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesCreate visual summaries
Microsoft documents chart and PivotTable assistance, along with highlighting, sorting, and filtering. Use a focused request—such as a monthly revenue trend by region—rather than asking for every possible visualization at once. Check the selected range, aggregation (sum, average, or count), date grouping, and category labels before sharing the result.
Use the Python-backed analysis path
Microsoft’s direct-answers guide describes a Python analysis mode for a single table or table-like range, including multiple such ranges across a workbook. It does not support unstructured data in that mode. A response can be produced without changing the workbook; tables or charts you insert may be static snapshots. A deeper mode can create Python code in a new sheet, which gives you more visibility into the method but also more code to review.
Use this path for grouped statistics, distributions, and anomaly exploration when your data has consistent columns and one row per record. Do not assume that a Python response automatically becomes a live Excel formula or a refreshable model.

Connect to approved sources when enabled
Microsoft describes web sources, work sources, and federated or Microsoft 365 Copilot connectors for Excel in its data-sources documentation. Work search is described for customers with a commercial Microsoft Copilot subscription, while connector access and web search can be restricted by administrators. Treat these as environment-dependent capabilities, not guarantees for every Excel installation.
What ChatGPT can do for spreadsheet analysis
Analyze uploaded spreadsheets
The general ChatGPT workflow accepts common spreadsheet formats, including .xls, .xlsx, and .csv; the upload guidance also lists .tsv. That guidance reports an approximate 50 MB spreadsheet limit that depends on row size, while actual limits can vary by plan, model, workspace, and account. Upload only the data needed for the question when possible.
After upload, ask for a defined calculation, grouping, chart, or explanation. ChatGPT can return a result table, describe the calculation, and generate a chart. If Python is used, inspect the code and assumptions rather than treating the output as an audited report.
Build and update through the spreadsheet sidebar
The spreadsheet add-in is designed for in-place work: creating a sheet or section, updating formulas or labels, and explaining existing content. Because this is a different product surface from file upload, confirm that the sidebar is installed, signed in to the intended account, and permitted by your organization before planning a workflow around it.
Work across Excel and Google Sheets
For teams that use both applications, the sidebar’s stated scope can reduce the need to export files between them. It does not remove the need to check sharing permissions, connected-app approvals, and the organization’s rules for sending business data to an AI service.

Prepare the data before asking either assistant
Good structure is the highest-leverage improvement you can make before comparing answers.
- Give every column a specific, unambiguous header, such as
order_date,region, andnet_revenue_usd. - Keep one record per row and one field per column. Do not mix subtotals, notes, or multiple unrelated tables into the same analysis range.
- Remove blank separator rows and columns that split a table. Keep units and currencies explicit in headers or a documented data dictionary.
- Use consistent data types: real dates for dates, numeric values for amounts, and a defined representation for missing values.
- Record the time period, currency, timezone, and any filters that should apply. A result can be numerically correct for the wrong period if those conditions are implicit.
- For Copilot’s Python mode, convert the range into a table-like structure and identify the exact table or ranges to analyze.
- For ChatGPT uploads, remove unnecessary sheets and sensitive columns, then verify that the uploaded file is the version you intend to analyze.
Microsoft’s Copilot tips emphasize named columns and specific prompts. OpenAI’s data-analysis guidance likewise recommends clear column names, one record per row, and avoiding unrelated tables or empty rows.
Step-by-step: a careful Copilot in Excel workflow
- Prepare and save the workbook. Put the source data in a clean table or table-like range, name the columns, and note the intended period, units, and filters. Some Copilot experiences analyze workbooks stored in cloud locations such as OneDrive; verify the requirement for your Excel edition and tenant.
- Check calculation settings. Microsoft’s FAQ says Copilot editing requires Calculation Options to be set to Automatic. In Excel, open the Formulas tab, choose Calculation Options, and select Automatic before asking for edits.
- Open Copilot from the Excel ribbon. The exact button and panel can vary by Excel version and organization. Confirm that you are working in the intended workbook and table.
- Ask one measurable question. Try Which region had the highest and lowest sales, and what were the totals? or What are the mean and median of revenue by region? Include the table name, date range, currency, and aggregation when they matter.
- Inspect the evidence. Check the referenced range, row count, filters, date handling, and whether blanks or duplicate records were included. Recalculate a sample manually or with an independent formula.
- Request a supported output. Ask for a formula with an explanation, a chart with specified axes, or a PivotTable with a named measure. If Copilot offers an insert action, preview the destination and whether the output is a static object or a formula-driven result.
- Save deliberately and communicate the change. Copilot edits saved to the workbook are visible to people with access, including coauthors. Record what changed, who approved it, and how the result was validated.
Step-by-step: analyze an uploaded file in ChatGPT
- Make a review copy. Keep the original file unchanged. Remove columns that are not needed for the question and check that no confidential data is included unintentionally.
- Upload a supported format. Common formats include .xls, .xlsx, .csv, and .tsv. The upload guidance describes an approximate 50 MB spreadsheet limit dependent on row size; your plan or workspace may impose a different limit.
- Describe the schema and objective. State which sheet or table is authoritative, what each important column means, the date range, currency, and how missing values should be treated.
- Ask for a reproducible result. Request the calculation, grouped output, assumptions, and—when Python is used—the code or method description. For example: Group net revenue by region for 2025, report count, mean, median, and standard deviation, and list the rows excluded for missing revenue.
- Check the generated analysis. Review code, outputs, and assumptions. Compare counts with the source file, test one group with a spreadsheet formula, and look for accidental type conversion or date parsing.
- Export only verified outputs. Copy a result table or chart into your workbook with a note containing the source filename, extraction date, filters, and validation status.
- Delete or control the conversation according to policy. Follow your organization’s rules for retention, sharing, and sensitive data; account and workspace settings determine the applicable controls.
Step-by-step: use the ChatGPT spreadsheet sidebar
- Confirm entitlement and installation. Check the current ChatGPT for Excel and Google Sheets documentation for supported accounts, rollout status, usage limits, and workspace restrictions.
- Open the sidebar in the correct workbook. Verify the signed-in account and the workbook’s sharing permissions before sending a request.
- Describe the target range and desired change. Name the sheet, table, columns, destination, and whether existing formulas must remain intact.
- Preview the proposed update. Check formulas, references, formatting, and whether a change will overwrite labels or values. Use a duplicate sheet for high-risk transformations.
- Apply and test. Recalculate totals, inspect a few rows, and test edge cases such as missing keys, duplicate IDs, and blank dates.
- Document the edit. Add a cell comment, change log, or version note that identifies the request and reviewer.
Prompt patterns that produce checkable answers
| Goal | Prompt pattern | What to verify |
|---|---|---|
| Find extremes | Which region had the highest and lowest sales? Return the totals, row counts, and period used. | That the same date filter and currency were applied to every region. |
| Detect anomalies | Are there outliers or anomalies in net revenue? State the rule used, list affected row IDs, and show the threshold. | Whether the rule is appropriate for skewed data and whether excluded rows are legitimate exceptions. |
| Compare distributions | What are the mean and median revenue by region? Include count and missing-value count. | That the mean and median use the same population and that blanks were not silently treated as zero. |
| Explain a formula | Explain the formula in column H cell H2, identify each referenced range, and describe what happens when the lookup key is missing. | References, absolute versus relative addresses, and the error-handling branch. |
| Create a visual | Create a monthly revenue chart by region using the 12 complete months in 2025; do not include subtotal rows. | Month sorting, aggregation, legend labels, and exclusion of subtotals. |
| Build a repeatable output | Create a summary table with one row per region, formulas linked to the source table, and a refresh note. | Whether the result is formula-driven or a static snapshot and whether new rows will be included. |
Accuracy, privacy, and governance
Why a plausible answer can still be wrong
Both assistants can misread headers, infer the wrong date field, include a subtotal as a record, mishandle missing values, or choose an aggregation you did not intend. Microsoft warns that Copilot may misinterpret information or generate inaccurate results. OpenAI says complex or poorly structured files may not be fully analyzed and recommends reviewing generated code, outputs, and assumptions.
Neither product documentation supplies a neutral benchmark proving a consistent advantage in accuracy or speed. Do not turn a fluent explanation into evidence that the underlying calculation is correct.

Use a two-person or two-method check for material decisions
- Recompute key totals with a conventional Excel formula, PivotTable, SQL query, or another approved method.
- Check row counts before and after filtering; reconcile sums to a trusted control total.
- Inspect at least one normal case, one boundary case, one missing-value case, and one duplicate-key case.
- Confirm units, currency conversion, timezone, fiscal calendar, and rounding rules.
- For generated formulas or Python, read the expression or code and verify every input range.
- Keep a dated copy of the source file and the validated output so a later reviewer can reproduce the result.
Control who can see changes and source data
Microsoft’s FAQ notes that saved Copilot changes are visible to people who have access to the workbook, including coauthors. OpenAI access and data handling depend on the product surface, account, workspace terms, permissions, and settings. Use the least data necessary, avoid uploading secrets unless your policy explicitly allows it, and confirm administrator approval for connectors or connected apps.

Which should you choose?
Choose Copilot in Excel when workbook continuity is the priority
Copilot is the natural first trial when analysts already spend their day in Excel, need formulas or lookups placed near source columns, and want charts or PivotTables built from the workbook’s tables. It is also the stronger fit when Microsoft work sources or approved connectors are central to the process and your tenant permits them.
Choose ChatGPT file analysis when exploration is the priority
Use the upload workflow when you want a conversational investigation, a Python-backed calculation, or a chart and explanation without modifying the original workbook. It is useful for a second opinion, prototyping an analysis, or working with a file before deciding how to redesign the spreadsheet.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Choose the ChatGPT sidebar when teams work across spreadsheet apps
The sidebar is worth evaluating when users need in-place assistance in both Excel and Google Sheets and the organization can approve the account, add-in, and data-flow controls. Treat it as a separate deployment decision from ordinary ChatGPT uploads.
Use both when the review requirement justifies it
A practical pattern is to use one assistant to explore and the other to validate: for example, analyze an uploaded copy in ChatGPT, then reproduce the approved metric with formulas or a PivotTable in Excel. This can expose mismatched filters or definitions, but it does not replace a human review or an approved calculation method.
A final selection checklist
- Where must the result live: an Excel workbook, a Google Sheet, or a separate analysis conversation?
- Do you need a live formula or refreshable table, or is a static chart or answer sufficient?
- Are the source ranges structured as tables with clear headers and one record per row?
- Which account, plan, Excel version, file location, upload allowance, and administrator controls apply?
- Will the workflow handle confidential data, shared workbooks, or regulated records?
- Who will verify formulas, code, assumptions, filters, and totals before publication or decision-making?
If the answers point to workbook-native editing, start with Copilot in Excel. If they point to flexible uploaded analysis, start with ChatGPT’s data-analysis workflow. If they point to cross-app in-place editing, evaluate the ChatGPT spreadsheet sidebar. In every case, make verification a required step rather than an optional afterthought.
