To connect Power BI to PostgreSQL on Aiven, copy the service’s hostname, port, database, user and password from the Aiven Console, then use Power BI Desktop’s PostgreSQL database connector. Choose Import or DirectQuery, select your tables in Navigator and publish the report. A published semantic model needs a separately configured Power BI cloud connection or gateway that can reach the same Aiven endpoint; a Desktop connection alone does not guarantee service refresh.

What you need before connecting

Prepare the connection and network details before opening Power BI. Aiven assigns endpoint values to each PostgreSQL service, so examples from another project are not interchangeable.

  • An active Aiven for PostgreSQL service.
  • Permission to view the service’s connection information and credentials.
  • Power BI Desktop with the PostgreSQL connector.
  • A database account that can read the schemas and tables you intend to use. For refresh, use an account with only the permissions the model needs.
  • Network access from the computer running Power BI Desktop. Later, the Power BI service or a gateway host must also be able to reach the endpoint.
  • Any Aiven project network rules, public-access settings or IP restrictions required by your design.

Do not assume PostgreSQL’s default port, public access or a particular hostname. Aiven ports are assigned per service and are commonly in the 10000–30000 range; use the value shown in your service page.

Find the Aiven connection values

Use Quick connect in the Aiven Console

  1. Sign in to the Aiven Console and open the relevant PostgreSQL service.
  2. Open the service’s connection information or Quick connect view.
  3. Record the service hostname, assigned port, database name, username and password. Copy them rather than retyping them.
  4. If Aiven displays a PostgreSQL URI, note its TLS setting. A documented example uses sslmode=require, but the real hostname, port and credentials are unique to your service.

Keep the server and database strings exactly as displayed. You will use those same values in Power BI Desktop and, if required, in a gateway data source.

Check reachability before troubleshooting Power BI

Confirm that the intended client can reach the Aiven endpoint under the project’s current network settings. A correct password cannot overcome a blocked route, disabled public access or an IP allowlist that excludes the client. If Desktop will run on a laptop but refresh will use a gateway, check both machines independently. The gateway host needs outbound access to the Aiven hostname and assigned port.

Connect in Power BI Desktop

Open the PostgreSQL connector

  1. Start Power BI Desktop.
  2. Select Home → Get data, search for PostgreSQL database, and choose the connector.
  3. Enter the Aiven server value and database value. Use the hostname and database copied from the service page; do not paste an entire URI into a field that asks only for a server name.
  4. Choose a connectivity mode: Import or DirectQuery.
  5. Authenticate with the PostgreSQL username and password.
  6. In Navigator, select the schemas, tables or views to use. Choose Load to bring them in immediately or Transform Data to shape them in Power Query first.

Power BI Desktop has included the Npgsql provider for PostgreSQL since December 2019. Microsoft’s connector documentation identifies Npgsql 4.0.17 in the October 2024 Desktop version. A separate, older Npgsql installation in the machine’s global assembly cache (GAC) can override the bundled provider, so check installed software before adding anything manually. Current Desktop releases normally include the required provider; older releases may require a compatible separate installation.

Choose the correct server and database syntax

The server field should identify the Aiven PostgreSQL endpoint, and the database field should identify the database containing your objects. Keep capitalization, punctuation and port notation consistent with the connector’s field requirements. If the connector presents a combined server-and-port format, use the format accepted by your Desktop version; do not silently substitute port 5432 for Aiven’s assigned port.

Import or DirectQuery?

Microsoft supports both modes for PostgreSQL semantic models. They are different operating choices rather than quality levels.

Decision factor Import DirectQuery
Where report data is held Data is loaded into the Power BI semantic model during refresh. Visuals query PostgreSQL when users interact with the report.
Freshness Changes appear after a scheduled or on-demand model refresh. Queries can reflect source changes as visuals run, subject to Power BI and source behavior.
Interaction and source load Reports can use imported data, while refresh jobs place the main extraction load on PostgreSQL. Report interactions place query load on PostgreSQL and depend on network and database response times.
Typical decision question Can the model tolerate refresh intervals and fit within the model’s capacity? Is near-source freshness worth keeping queries dependent on PostgreSQL availability and performance?

No Aiven-specific performance benchmark establishes that one mode is universally faster. Base the choice on freshness requirements, report responsiveness, model size and the workload your PostgreSQL service can handle. Start with a representative report and monitor refresh duration or query behavior before expanding it.

When Import is a better fit

  • Users need fast interaction with a stable reporting snapshot.
  • The data can be refreshed on a schedule rather than on every visual interaction.
  • You want transformations and relationships evaluated in the semantic model instead of sending repeated queries to PostgreSQL.

When DirectQuery is a better fit

  • Data must remain close to the source and scheduled copies are unsuitable.
  • The PostgreSQL schema and indexes can support the report’s interactive query patterns.
  • Your network path, credentials and gateway or cloud connection remain available whenever users open the report.

Configure TLS for an Aiven PostgreSQL connection

Aiven PostgreSQL connections are TLS protected. The commonly documented sslmode=require option encrypts traffic but does not verify that the server certificate belongs to the intended server.

Understand the three relevant modes

  • require: encrypts the connection without validating the server certificate.
  • verify-ca: encrypts and checks that the certificate chains to the Aiven project certificate authority (CA).
  • verify-full: performs CA verification and also checks that the certificate hostname matches the endpoint you used.

The two verification modes require the project CA certificate. Use the hostname supplied by Aiven when selecting verify-full; connecting through an unrelated alias can make hostname validation fail.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Power BI Desktop and gateway certificate behavior varies by product version and installation. Microsoft notes that encrypted PostgreSQL connections may require the server certificate to be trusted on the client. The official connector guidance does not establish one universal Power BI screen or CA-import procedure for every Desktop and gateway version. If strict verification is required, test the exact Desktop and gateway builds you operate, install trust material according to those builds’ documented process, and confirm both certificate-chain and hostname validation. Do not treat an encrypted-but-unverified require connection as equivalent to verify-full.

Publish the report and plan service refresh

Publishing transfers the report and semantic model to the Power BI service; it does not transfer your laptop’s network route or credentials. After publishing, open the semantic model settings and inspect its connection, gateway and credential configuration.

Option 1: Power BI cloud connection

Use a cloud connection when the Power BI service can directly reach the Aiven endpoint and your tenant supports the configured PostgreSQL connection. Create or select the cloud connection, enter the database credentials and map the published semantic model to it. Whether this works depends on Aiven’s public or private-access configuration and the Power BI tenant’s network arrangement.

Option 2: Standard on-premises data gateway

Use a standard gateway when the Power BI service cannot directly reach Aiven or when your organization needs a centrally managed shared connection. Install the gateway on a continuously available host that can resolve and reach the Aiven hostname and port. In the gateway data source, enter the same server and database names used by Desktop, then supply the database credentials and associate the semantic model with that source.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft’s gateway instructions require the server and database names to match the Desktop data source. A spelling difference, alternate hostname or different port can prevent the model from matching the gateway source even when the database account is valid.

Option 3: Personal mode or VNet gateway

Microsoft describes personal mode for one user’s Import refresh and standard mode for centrally managed or shared connections. A VNet gateway is intended for data secured inside a virtual network. Choose the option that matches where Aiven is reachable and how your organization manages credentials; the labels do not override Aiven project networking.

Gateway provider version

Microsoft identifies the PostgreSQL provider as included with the on-premises gateway beginning in the June 2025 release. Older gateway installations may need a compatible provider arrangement. Check both Desktop and gateway versions before installing Npgsql manually, because a separately installed provider can take precedence over a bundled one.

Set up a gateway data source step by step

  1. Install and register a supported on-premises data gateway on a host that remains online during refresh windows.
  2. Verify that host can reach the Aiven service hostname and assigned port under the project’s network and firewall rules.
  3. In the Power BI service, open the gateway management area and add a PostgreSQL data source.
  4. Enter the server and database strings exactly as they appear in the Desktop connection. Include the correct Aiven-assigned port using the syntax accepted by the gateway version.
  5. Choose the authentication method and enter a narrowly scoped database account. Avoid using a personal superuser for recurring refresh.
  6. Save the source and use the connection test if available.
  7. Open the semantic model settings, select the gateway data source and confirm that every required table or query maps to it.
  8. Run an on-demand refresh and inspect refresh history before enabling a schedule.

For DirectQuery, the gateway or cloud connection must remain available while users query the report. For Import, it must be available whenever the semantic model refreshes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Security and credential practices

  • Store Aiven credentials in the Power BI connection or gateway credential store rather than embedding them in queries or shared files.
  • Create a database user limited to the schemas, tables or views needed by the semantic model.
  • Rotate the password in Aiven and update the corresponding Power BI cloud or gateway credential at the same time.
  • Prefer certificate verification when your exact Desktop and gateway versions support a tested CA configuration. If you use sslmode=require, document that encryption is enabled but certificate identity is not verified.
  • Restrict Aiven network access to the required client or gateway addresses where your architecture permits it.

Troubleshooting common failures

“Could not connect” or a timeout in Desktop

  • Re-copy the hostname, assigned port, database, username and password from the Aiven service page.
  • Confirm that the service is running and that public or private access is enabled for the network you are using.
  • Check local firewall, corporate proxy and outbound rules. A port in Aiven’s assigned range is not necessarily open in your environment.
  • Test from the same computer that runs Desktop; testing from a different machine does not prove that Desktop has a route.

Desktop works but scheduled refresh fails

  • Open semantic model settings and verify that a cloud connection or gateway is selected.
  • Confirm that the gateway host, rather than your laptop, can resolve and reach the Aiven endpoint.
  • Re-enter credentials in the service connection; Desktop credentials are not automatically available to the Power BI service.
  • For a gateway source, compare the server and database strings character for character with the Desktop data source.

Provider or Npgsql errors

  • Check the Power BI Desktop and gateway release dates and versions.
  • Current supported Desktop releases bundle Npgsql; older releases may need a compatible provider.
  • Look for a GAC-installed Npgsql version that overrides Desktop’s bundled provider. Remove or update it only after checking organizational software controls and compatibility.
  • Ensure Desktop and the gateway use supported provider versions rather than assuming that the newest standalone package is appropriate.

TLS or certificate errors

  • Determine whether the connection is using require, verify-ca or verify-full.
  • For verification modes, confirm that the Aiven project CA is trusted by the exact Desktop or gateway process making the connection.
  • For verify-full, use the Aiven service hostname so hostname validation can succeed.
  • Do not assume that a CA import field documented for one product version exists in another; consult the version-specific behavior and test a refresh through the actual gateway.

A practical connection checklist

  • Aiven hostname copied from the service’s connection information.
  • Aiven-assigned port copied rather than assumed.
  • Correct database, username and password.
  • Network access confirmed for Desktop and, separately, for the gateway or Power BI cloud route.
  • PostgreSQL database connector selected in Power BI Desktop.
  • Import or DirectQuery chosen for an explicit freshness and workload reason.
  • TLS mode understood, including whether certificates are verified.
  • After publishing, a cloud connection or gateway mapped to the semantic model.
  • Gateway server and database strings matching Desktop exactly.
  • A test refresh completed before scheduling recurring refresh.

Version milestones worth checking

Microsoft’s PostgreSQL connector documentation records these compatibility milestones: Power BI Desktop included Npgsql beginning in December 2019; the October 2024 Desktop version used Npgsql 4.0.17; and the on-premises gateway included the provider beginning with its June 2025 release. These are version milestones, not guarantees that every older installation behaves identically. Check the installed Desktop and gateway builds when diagnosing provider or TLS differences.
