Choose computer inventory software by matching its discovery method and asset-management features to the devices your organization needs to track. First decide whether you need a technical inventory, assignment and lifecycle records, or both; then verify coverage, record quality, integrations, security, operating effort and total cost in a pilot.

Decide what “inventory” means for your organization

Computer inventory software can serve different jobs. A discovery tool identifies devices and records technical details such as hardware and installed software. An asset-management system may also track who has a computer, its purchase and warranty information, and its status from acquisition through retirement. Some organizations need both, along with help-desk or security workflows.

Write down the records and actions you actually need before comparing products. For example, decide whether you need to report on installed software, assign devices to employees, manage lifecycle status, support service requests, or provide compliance information. GLPI describes inventory, lifecycle management and reporting alongside help-desk functions on its product page. Lansweeper describes asset discovery, enrichment, reporting, and ITSM and security integrations in its platform overview. Treat these as vendor descriptions, then confirm the workflows in the product and plan you would use.

Match discovery methods to where computers operate

Network discovery and endpoint agents address different coverage needs. Agentless network scanning can find devices reachable from the networks being scanned. An endpoint agent can report directly from a computer that is remote, mobile, or not consistently connected to the corporate network. Cloud discovery may be relevant if virtual or cloud assets are part of the estate.

Lansweeper documents network, agent, and cloud discovery, with reconciliation to combine findings into asset records in its discovery documentation. Its IT Agent Discovery documentation describes collecting data from devices regardless of location, storing it while offline, and syncing it later. These stated capabilities do not establish how well a particular deployment will cover your fleet; test the scenarios that matter to you.

Ask each vendor and your IT team about credentials, network access, firewall changes, endpoint deployment permissions, scan cadence, and what happens when an agent is removed or a device stops checking in. GLPI’s inventory FAQ says its GLPI Agent is installed on workstations for automatic inventory; it also distinguishes native inventory in GLPI 10 from certain discovery, collection, and deployment tasks handled by the GLPI Inventory plugin. Check current documentation for the version and configuration under consideration.

Check the information collected and how records stay accurate

List the fields your team needs, then verify that the software can collect and maintain them. Depending on the job, these may include device identifiers, hardware configuration, operating-system details, installed software, assigned user, and lifecycle status. Confirm support for the operating systems and device types in your fleet rather than relying on a general compatibility claim.

GLPI lists Windows, Linux, macOS, and Android agent support, and describes inventory details such as components, software, volumes, operating systems, and network ports on its product page. Lansweeper describes hardware specifications, installed software, user relationships, and lifecycle status in its platform overview. Verify current compatibility and the exact fields available in the edition you are evaluating.

Discovery can produce overlapping or imperfect records. Ask how the system handles duplicate discoveries, missing serial numbers, cloned machines, virtual devices, conflicting details, and stale records. Lansweeper describes a reconciliation engine that matches assets found by more than one discovery system and merges them into one asset record in its discovery documentation. GLPI’s inventory plugin documentation describes import rules, blacklists, and configurable discovery IP ranges. Test record quality using a known sample from your own environment.

Separate discovery from management workflows

If the requirement is a current technical list of computers and their attributes, a discovery-focused product may be enough. If the organization also needs assignment, lifecycle tracking, service requests, software-licensing workflows, or compliance reporting, evaluate those capabilities separately. A product can describe a broad use case without every feature being included in the plan you need.

Check whether the tool connects to the service desk, security, or other management systems already in use, what data flows in each direction, and whether connectors require extra setup or licensing. GLPI positions inventory in relation to asset lifecycle and help-desk functions on its product page; Lansweeper describes asset-data enrichment for ITSM and security integrations in its platform overview. Confirm specific integrations and workflows in current product documentation.

Review security, hosting and operational effort

Compare access controls, authentication, data location, encryption, and collection permissions with your organization’s policies. Lansweeper lists granular permissions, SSO, MFA, and EU or US data-residency options on its features page. Check whether the controls you need apply to the selected plan, tenant region, and configuration; a vendor feature page is not a substitute for reviewing the actual service terms and settings.

Include the people and processes required to keep the inventory useful. Someone may need to deploy agents, configure scans, maintain integrations, review exceptions, and update rules as the environment changes. Estimate that work along with the technical requirements; a nominally simple setup can still create ongoing administration.

Compare full cost and plan limits

Build a like-for-like estimate for the fleet size and capabilities you need. Include computers and servers, required features, connectors, support, hosting, implementation, and staff time. Lansweeper’s pricing page describes Starter, Pro, and Enterprise plans and marks software asset management as an add-on for some tiers. Plan features, limits, and prices can change, so verify current terms directly. Do not assume a free starting option covers your required scale or workflow.

The available product pages do not establish a cross-vendor total-cost comparison. Treat each quote as an estimate tied to your required configuration rather than comparing headline plan names alone.

  1. Choose a known sample. Record the computers and key fields you expect the software to find, using an existing source of truth where available.
  2. Deploy the intended collection methods. Test network scanning, agents, or cloud discovery as applicable, and note required access, credentials, and configuration work.
  3. Test difficult cases. Include remote or intermittently connected computers, duplicate or incomplete records, and devices with unusual identifiers.
  4. Check freshness and quality. Compare results with the known sample, verify update cadence, and review how the product resolves conflicting or stale information.
  5. Exercise the real workflows. Try the reports, exports, integrations, assignments, and lifecycle actions the team expects to use.
  6. Record operating effort. Note deployment and maintenance work, exceptions, and any plan or add-on requirement that becomes apparent.

Use the pilot results to decide whether the software meets your coverage, data-quality, workflow, security, and cost requirements. Vendor capability pages can inform a shortlist, but they are not independent evidence of accuracy or ease of deployment.

Shortlist by approach, not by a universal ranking

Lansweeper and GLPI illustrate different documented capabilities to investigate, not a universal ranking or a substitute for a pilot. Lansweeper documents network, endpoint-agent, and cloud discovery with reconciliation, and publishes plan information on its pricing page. GLPI describes automated inventory, lifecycle tracking, reporting, and agent support through its product page and inventory FAQ. Compare either with other candidates against the same fleet, workflows, and requirements.
