There is no single best real estate CRM for every agent or brokerage. The right choice is the one that fits your lead sources, follow-up process, sales stages, team structure, and budget—and that agents will consistently use. This guide compares credible candidates and gives you a practical way to choose without treating vendor claims or comparison lists as proof of a universal winner.

What a real estate CRM should do

A CRM should keep contact details and property preferences together, capture inquiries, record interactions, and make the status of leads and deals visible. Because real estate sales can take months or years, useful systems also help agents maintain records, schedule reminders, and continue appropriate follow-up over time. HubSpot’s real estate guidance outlines these general CRM needs, including pipeline tracking, marketing automation, team support, and mobile access.

How to compare real estate CRMs

Start with your actual process rather than a feature checklist. For each candidate, confirm that it supports the channels, handoffs, and stages your business uses.

  • Lead intake and routing: Can it capture inquiries from your current sources and assign them to the right agent?
  • Follow-up: Does it support reminders, action plans, or automated nurture that match your response process and longer sales cycle?
  • Pipeline and transaction visibility: Can agents track a contact from inquiry through opportunity and closing? If you need transaction tasks, verify that the product supports them.
  • Property-specific workflows: Determine whether you need property data, listing-related marketing, property alerts, or IDX/MLS-linked functions. Verify the exact coverage and any plan limits with the vendor.
  • Team and brokerage administration: Check seats, permissions, lead routing, collaboration, reporting, onboarding, and minimum team requirements.
  • Integrations and data portability: Confirm connections to your lead sources and other business tools. If considering a brokerage-provided CRM, clarify who controls the data and how you can export it.
  • Adoption and full cost: Have the agents who will use the system try its desktop and mobile workflows. Compare recurring charges, setup, extra seats, messaging or AI usage, and add-ons—not just the starting price.

There has not been a controlled feature test across the candidates below, so these criteria are a decision framework, not a performance ranking.

Real estate CRM candidates to shortlist

These options occupy different places in the CRM landscape. Treat vendor descriptions as claims about their products, and verify current integrations, packaging, and capabilities directly before choosing.

Choose by workflow, not by feature count

Before scheduling demos or requesting quotes, write down the answers to these questions. They expose the requirements that most often separate a plausible candidate from a usable system.

  1. Which lead sources must connect? List every channel that generates inquiries, then ask vendors how data enters the CRM and whether routing is included or requires an add-on.
  2. Who owns and maintains the database? Decide who is responsible for contact quality, property details, and follow-up records. Ask how access and exports work if an agent leaves or the brokerage changes platforms.
  3. What are your sales stages? Map the steps from new inquiry to closing, including who owns each handoff. Check that the CRM can represent your stages and any transaction tasks you actually need.
  4. How many people need access? Count agents and administrators, then confirm seat costs, permissions, and team minimums.
  5. What is the full recurring budget? Include the base plan, additional seats, setup, integrations, messaging or AI usage, and add-ons. Compare the total for the same team size and workflow.
  6. Will agents use it consistently? Have intended users test routine tasks—adding a lead, updating a deal, and setting follow-up—from the devices they rely on. A broad feature list is of little value if the daily workflow is cumbersome.

What this comparison can and cannot establish

Current comparison coverage and vendor materials provide a useful shortlist and descriptions of selected workflows, but they do not establish a universal winner or a controlled performance comparison across the products. Detailed current pricing is available here only for Wise Agent; do not assume its listed figures represent the market or that other vendors’ packages are directly comparable. Confirm volatile product details with each vendor before committing.
