There is no evidence here for a defensible, independently tested cross-brand “top five.” The smarter choice is a printer matched to your office’s color needs, monthly workload, scanning routine, and network. The US manufacturer pages reviewed support five useful models as examples—not as a ranked list. Treat their speeds and features as manufacturer claims, and confirm current availability and supply costs before buying.

Start with the work the printer must do

Monochrome or color

If most jobs are text documents, a monochrome printer may be the more practical fit. If staff regularly produce presentations or customer-facing materials, color matters. This is guidance from HP, not an independent comparison of total printing costs. HP’s small-business printer guide discusses the distinction.

Print-only or multifunction

A dedicated print station may need only printing. If staff also copy, scan, or fax documents, an all-in-one can reduce the need for separate devices. Do not assume every multifunction model includes faxing or the same scan features: check the exact configuration. HP’s business printer lineup and small-office multifunction catalog distinguish among these features.

Monthly volume and document handling

Estimate how many pages the team prints in an ordinary month, then compare that workload with the manufacturer’s recommended monthly volume. Do not treat a printer’s maximum duty cycle as its ideal everyday workload: HP explicitly distinguishes the two in its small-business guide.

#1 Best Overall

For multi-page scanning, look for an automatic document feeder (ADF) and confirm that its workflow suits the office. Basic scan-to-computer use is different from advanced routing or document processing; an ADF alone does not establish that a printer supports the latter.

Five manufacturer-documented models to consider

These US-market examples illustrate different small-office needs. The figures are published specifications, not independent test results; they do not establish a ranking.

HP LaserJet MFP M234sdw Monochrome print/copy/scan, wireless, ADF, duplex printing, up to 30 ppm black, and a 150-sheet input tray, according to HP’s catalog. Text-focused work that also needs copying and document scanning.
HP Color LaserJet Pro MFP 3301fdw Color print/scan/copy/fax, duplex, wireless, ADF, and up to 26 ppm, according to HP. HP positions it for small businesses and up to seven users. An office needing color laser output and multifunction features, including fax.
HP Color LaserJet Pro 3201dw Color, print-only, wireless, duplex, and up to 26 ppm, according to HP. HP positions it for small businesses and up to seven users. A shared color printer where copying and scanning are handled elsewhere.
HP Smart Tank 7301 Color print/copy/scan, duplex, wireless, ADF, and up to 15 ppm, according to HP. HP describes it for higher-volume color documents. Color document work where an ink-tank design is of interest; verify ink costs and page yields before comparing ownership cost.
HP OfficeJet Pro 9135e Color print/copy/scan/fax, duplex print and scan, wireless, and up to 24 ppm, according to HP. Color presentations, brochures, or flyers alongside routine multifunction work.

Model specifications and positioning are listed by HP in its small-office catalog and business lineup. “Up to” speeds are manufacturer figures; actual output can vary with the job and conditions.

Check the details that can change the fit

  • ADF and scanning: Check whether the feeder and scan functions meet the office’s page-handling and routing needs.
  • Duplexing: Confirm whether two-sided printing is supported; if staff scan both sides, verify duplex scanning separately.
  • Connectivity: Match wireless, USB, Ethernet, and mobile-printing support to the office’s devices and network. Do not assume every connection is included.
  • Paper handling: Compare input capacity, supported paper sizes, envelopes, and labels with actual jobs. Media compatibility is model-specific.
  • Supplies and ownership cost: Check the exact printer’s compatible supply models, stated yields, and current prices. The cited pages do not establish comparable cross-brand per-page costs, cartridge yields, or street prices, so they do not support a numeric savings claim.

For example, Brother describes its MFC-7340 as a compact monochrome laser all-in-one with a 35-page ADF, 250-sheet tray, up to 21 ppm, USB connectivity, and support for media including envelopes and labels. Its manufacturer page is useful for understanding those features, but does not establish that the model is a current-market choice.

Make the final choice without relying on a ranking

  1. Write down the office’s typical monthly print volume and its most common document types.
  2. Decide whether color is essential and whether the printer must copy, scan, or fax.
  3. Shortlist models with the right workload guidance, ADF, duplex functions, connections, tray capacity, and media support.
  4. Compare the exact supplies, yields, and current prices for the finalists, then confirm availability in your region.
  5. Check the manufacturer’s current product page for the precise model configuration before ordering; catalog features and availability can change.

This approach is more reliable than treating the five examples above as winners. The available product evidence is manufacturer-led and does not provide independent print-quality or reliability comparisons, current cross-brand pricing, or comparable running costs. HP’s Enterprise-focused guide also discusses larger or higher-workload devices; those should not automatically be treated as compact small-office choices. Confirm that any such model is available and appropriate for the workspace before considering it.
