There is no single best all-in-one printer for every small office. For frequent text printing and batch scanning, compare office-class color lasers such as the Brother MFC-L8930CDW and Canon Color imageCLASS MF665Cdw. For recurring color output where ink costs matter, consider a refillable tank model such as the Epson EcoTank Pro ET-5850. If you print only occasionally or need strong photo output, a compact inkjet may fit better. The right choice depends on your monthly volume, document workflow, space, and ongoing supply costs.

Which all-in-one printer is best for a small office?

Choose by the work the printer will actually do, not by a single overall ranking. RTINGS’ 2026 guide names the Brother MFC-L8930CDW its best tested all-in-one and describes it as suited to heavy print loads. The same guide lists the Canon Color imageCLASS MF665Cdw as an office-oriented color laser. Tom’s Guide recommends the Epson EcoTank Pro ET-5850 for business, citing its refillable tanks and ability to handle more than 3,000 pages per month. That monthly figure is the reviewer’s model-specific characterization, not a general benchmark for offices.

Model Technology and workload fit Speed and output notes Scanning and paper handling Fax and other details Ownership-cost considerations
Brother MFC-L8930CDW Color laser; RTINGS’ 2026 guide describes it as a fit for heavy print loads. RTINGS reports a maximum speed of 34 pages per minute. This is a listed maximum, not an independent timed result in the information cited here. RTINGS says laser output is weak for photos. Legal-size flatbed and single-pass duplex scanning through the ADF, according to RTINGS. Other details such as fax, paper capacity, connectivity, and footprint are not stated in the cited RTINGS summary; check the exact regional specification. RTINGS flags the separate drum as an additional maintenance cost. Current purchase price, toner prices, yields, and drum cost are not established here.
Canon Color imageCLASS MF665Cdw Color laser; RTINGS describes it as office-oriented. RTINGS reports a maximum speed of 26 pages per minute. This is a listed maximum, not an independent timed result in the information cited here. RTINGS advises photo-focused buyers to consider another type of printer. RTINGS notes single-pass duplex ADF scanning. Capacity and paper tray details are not stated in the cited summary. Fax, connectivity, and footprint are not stated in the cited RTINGS summary; verify the configuration you plan to buy. Current purchase price, toner yields, supply prices, and maintenance costs are not stated in the cited summary.
Epson EcoTank Pro ET-5850 Business ink-tank; Tom’s Guide recommends it as a business all-in-one. Tom’s Guide cites the ability to handle more than 3,000 pages per month. Its reported workload characterization is reviewer-specific, not a universal duty-cycle recommendation. Tom’s Guide reports dual 250-page cassettes and a 50-sheet ADF. The cited summary does not specify whether the ADF scans both sides in one pass. Tom’s Guide reports print, scan, copy, and fax. Confirm connectivity and physical footprint for the precise configuration. Tom’s Guide cites low ink costs and refillable tanks, but current bottle prices and yields should be checked against your expected volume.

For another color-laser candidate, Consumer Reports’ 2026 buying guide lists the Brother MFC-L3780CDW. Its guide includes approximate prices and estimated annual ink or toner costs for listed models, with typical-use and scoring context. Those figures are not current retail quotes; check the guide’s method and date, then verify the price and configuration at purchase.

Laser or ink tank for a small office?

Think of these as workload choices rather than a simple quality hierarchy. ENERGY STAR’s older buying guide describes laser all-in-ones as faster and better suited to higher volumes, while inkjets are compact and strong for image output and lower-volume use. Treat that as general guidance: actual speed, print quality, size, and running cost vary by model.

  • Consider a laser if you regularly print text-heavy documents, need office-oriented throughput, or scan multipage paperwork. Compare toner and any separate drum or other maintenance supplies, not only the printer price.
  • Consider an ink tank if you print color regularly and want to evaluate refillable-ink economics. Compare bottle yield and price, refill workflow, print quality, and tray capacity for the volume you expect.
  • Consider a compact inkjet if your workspace is tight, print volume is low, or image output matters. A lower initial price can be offset by supply costs at your actual usage level.

ENERGY STAR describes all-in-ones as offering “their smaller footprint and the potential to streamline office functions that are used together.” Its guide also notes that many all-in-ones print, scan, copy, and fax, while some omit fax. The guide is older, so check the feature list of the current model rather than assuming a particular function is included.

What should you look for in a small-office printer?

Estimate your workload and total cost

Estimate how many pages you print in an ordinary month, including color pages, before comparing devices. Then compare the purchase price with the cost of supplies at that workload. Use current toner or ink prices and published yields for the precise model and supply, and include maintenance items such as a replaceable drum where applicable. Supply yields are estimates based on specified conditions; your results can differ with page coverage, print settings, and use.

Consumer Reports explains that its overall printer score combines test results with survey data and describes its speed and annual supply-cost measures. Tom’s Guide says it times text, mixed text-and-graphics, and photo prints, inspects output for defects, and estimates page cost from refill prices and cartridge yields. These are useful contexts for interpreting their published reviews, not tests performed for this article.

Match scanning features to your paperwork

If you scan multipage documents, look for an automatic document feeder (ADF) and check its sheet capacity. For double-sided originals, confirm that the feeder scans both sides automatically in one pass. Duplex printing only means the printer can print on both sides; it does not establish that its scanner can scan both sides. A flatbed remains useful for books, bound material, fragile originals, or pages that do not feed reliably.

Auto-duplex printing, an ADF, and duplex scanning can save time in an office, but their value depends on how often you use them. TechRadar recommends checking for automatic duplex printing and scanning and an ADF in office all-in-ones; verify the exact scan method in the model specification.

Verify the features and fit you need

  • Fax: Confirm it is present if your workflow requires it; all-in-one does not guarantee fax.
  • Paper capacity: Check the tray and cassette arrangement against your print volume and paper types.
  • Duplex: Check printing and scanning separately.
  • Connectivity: Confirm the network, mobile, and wired options your office uses.
  • Footprint: Compare the dimensions and leave room for trays, lids, and service access.
  • Media and output: If photos or detailed graphics matter, prioritize independent output assessments and supported media over a laser’s office speed.

How to narrow the shortlist

  1. Write down the real workload: Estimate monthly pages, the color share, and how often you scan multipage or double-sided originals.
  2. Set workflow requirements: Decide whether you need an ADF, single-pass duplex scanning, fax, particular connectivity, or specific paper capacity.
  3. Choose a technology direction: Start with an office-class laser for frequent text-heavy work, a refillable tank for recurring color use, or a compact inkjet for low volume and image-focused needs.
  4. Compare model evidence on like terms: Separate listed maximum speeds from independently timed tests. Check scanning method, quality assessments, and capacity for each exact model.
  5. Calculate ownership cost: Add the current device price to expected ink or toner use and maintenance supplies. Use yields and prices for the exact regional model and compatible supplies.
  6. Check the final configuration: Before ordering, verify the model number, included functions, dimensions, paper handling, and supply compatibility with the seller or manufacturer.
