The right printer depends on what you print, how often you print it, and whether your work requires scanning, copying, faxing, or color. For mostly text, compare monochrome laser all-in-ones; for frequent color and multi-page document handling, consider a color laser; for higher-volume color work, weigh a refillable-ink tank against its upfront cost. The models below are manufacturer-specification examples, not independently tested rankings.

How to choose by workload

Mostly black-and-white documents

If you print forms, invoices, or text-heavy client documents and rarely need color, a monochrome laser all-in-one is a sensible category to evaluate. The Brother MFC-L2750DW is one manufacturer-described example: it combines wireless printing with copying, scanning, faxing, an up-to-50-sheet ADF, and single-pass duplex copy and scan. Its product page does not establish an independent ranking or current retail price, so compare it with other locally available monochrome models using your monthly volume, replacement toner cost, and required features.

Frequent color and multi-page office documents

A color laser multifunction printer can suit an office that prints color documents and regularly scans or copies paper records. Brother lists the MFC-L3780CDW with duplex printing, single-pass duplex copying and scanning, fax, a 50-sheet ADF, a 250-sheet tray, dual-band wireless, and Gigabit Ethernet. Brother specifies print speeds up to 31 pages per minute and recommends a monthly print volume of up to 4,000 pages. The separate maximum monthly duty cycle of up to 50,000 pages is not the recommended operating target. Brother cautions that consistently exceeding the recommended volume may adversely affect print quality or machine life. See the MFC-L3780CDW specifications.

Color volume and refillable supplies

Refillable-ink tank printers are worth evaluating when you print enough color that ongoing supply costs matter, provided the upfront purchase and document workflow make sense for your business. Epson describes the EcoTank Pro ET-5850 as a cartridge-free all-in-one with automatic two-sided printing, copying, scanning, and fax. Epson lists speeds up to 25 ISO pages per minute for both black and color. Its cited product page estimates about 2 cents per color ISO page versus 14 cents for color laser toner; this is Epson’s estimate under the comparison assumptions and dates stated on that page, not a guaranteed cost or an independently verified market average. Check the ET-5850 product details alongside the price and yield of supplies available in your region.

Match monthly volume to the recommended workload

Estimate how many pages you print in a typical month, then allow for busy periods. Compare that figure with the manufacturer’s recommended monthly print volume when it is published. Do not treat a maximum duty-cycle figure as a routine target: a maximum describes a limit, while the recommended volume is the more useful point of comparison for regular use. For the MFC-L3780CDW, Brother gives a recommended volume of up to 4,000 pages and a maximum duty cycle of up to 50,000 pages; those figures describe different things.

If a manufacturer does not state a recommended monthly volume in the cited specifications, do not infer one from print speed, tray capacity, or duty cycle. Ask the manufacturer or seller for guidance, especially if the printer will serve several people or handle recurring batch jobs.

Estimate operating cost instead of comparing purchase price alone

Use your expected monthly page mix to compare supply costs over a realistic ownership period. Separate black-and-white pages from color pages, and check replacement toner or ink prices and published yields for the exact printer and regional supply part number. Divide the supply price by its stated yield only when the yield and price apply to the same compatible product; actual yield can depend on what you print.

Epson UK lists replacement-bottle yields of 7,500 black pages and 6,000 color pages for the relevant EcoTank business product range. Those figures apply to that market and range; they should not be assigned to the ET-5850 or another model without checking the model-specific, regional supply information. Epson’s per-page comparison for the ET-5850 is likewise a manufacturer estimate, so use it as a starting point rather than a promise of your own costs.

Include more than supplies in your comparison: purchase price, any required replacement components, paper, and the value of features that may save staff time, such as an ADF or duplex scanning. Current street prices and live stock are not established here, so check local sellers for a like-for-like comparison.

Check document handling, connections, and fit

  • ADF capacity: If you routinely scan or copy batches, check how many sheets the feeder accepts and whether it handles both sides automatically.
  • Duplex functions: Duplex printing saves paper on two-sided documents. Duplex scanning or copying is a separate workflow feature; confirm whether it is single-pass and supported for the functions you need.
  • Paper capacity: Compare the standard tray with your typical job size. A small tray means more frequent refills; confirm support for the paper sizes and types your work uses.
  • Network setup: Check whether you need Ethernet, wireless networking, or both, and confirm support for your computers and mobile devices. A small team may value a wired network option even if individual users print wirelessly.
  • Space and access: Verify the printer’s dimensions and allow room for open trays, the scanner lid, paper loading, and service access.
  • Regional supplies and support: Confirm the exact model name, compatible toner or ink part numbers, included supply yields, warranty terms, and local service options. Model names and specifications may differ between markets.

Make the shortlist fit your office

  1. Write down your typical monthly pages and the split between monochrome and color.
  2. Decide whether you need print-only or an all-in-one with scanning, copying, or faxing; identify whether an ADF and duplex scanning would save recurring time.
  3. Compare recommended monthly volume, not just maximum duty cycle or advertised speed.
  4. Price the exact replacement supplies available in your region and compare stated yields against your likely page mix.
  5. Confirm tray capacity, network connections, supported devices, physical dimensions, warranty, and local availability for the precise model number.

These checks are more useful than declaring one printer universally best: the strongest fit is the model whose workload rating, document handling, supply economics, and setup match the way your office actually works.
