To get a more useful answer from ChatGPT, share the task, relevant context, intended audience, tone, source material when needed, desired output, and focused feedback after the first response. These are practical prompting habits—not a fixed OpenAI formula or a guarantee of correctness. OpenAI’s guidance is to identify the task clearly, provide necessary context, and set the preferred tone and style.
The aim is not to write the longest prompt or disclose everything. Include details that change what a good answer should look like, then refine the request if the first result misses the mark.
1. The task: say what you want done
Start with a direct instruction and a clear result. “Help me with a presentation” leaves the work open to interpretation; “Turn these notes into a five-slide outline for a staff meeting” names the task and the deliverable.
When useful, specify the action—such as explain, compare, summarize, draft, or troubleshoot—and what a successful result should contain. OpenAI recommends identifying the task clearly and being specific about the desired result.

2. Relevant context: include what changes the answer
Give the background ChatGPT needs to respond appropriately: the situation, purpose, constraints, or what you have already tried. For example, a request to troubleshoot a slow laptop is more useful if you include its operating system, when the slowdown began, and any steps already taken.
Choose context selectively. More information is not automatically better, and sensitive personal details are rarely necessary. Share what materially affects the answer, not everything you know about the situation.
3. Audience: identify who will use or read the result
If the response is meant for someone else, name the audience and, where relevant, their familiarity with the subject. “Explain this for a new employee with no technical background” signals a different level of detail than “Write notes for an experienced administrator.”

Audience is a practical way to make context concrete; it is not a separate item in OpenAI’s official prompting formula. Include it when it changes vocabulary, depth, or framing.
4. Tone and style: describe how it should sound
State the tone or style you want, such as formal, friendly, concise, or reassuring. You can also say what to avoid—for example, “Use plain language and avoid salesy phrasing.” OpenAI expressly recommends setting a preferred tone and style.
For a specific use, connect the style to the task: “Draft a polite, direct email to a colleague” gives ChatGPT more guidance than “Make it sound better.”

5. Source material: provide the material the answer should rely on
If the task depends on particular text or data, provide it or attach a supported file when that option is available. You might paste a policy to summarize, or upload a spreadsheet for analysis. Tell ChatGPT what to do with the material—such as extract deadlines, summarize the main findings, or identify missing information.

Before sharing a file or pasted text, consider whether it contains sensitive information and whether you are allowed to share it.

6. Output shape and priorities: specify what to preserve
Describe the form the answer should take and the requirements it must meet. For example: “Give me a six-item checklist,” “Return a table with issue, cause, and next step,” or “Draft a one-page memo and preserve the dates and figures exactly.” If the task is complex, identify the most important sections or details.
OpenAI’s document guidance recommends naming the intended format and destination and calling out requirements such as layout, tone, or table structure. For larger tasks, its general prompt advice favors breaking work into focused requests and highlighting important areas. A specific format is useful only if it suits the job; do not add constraints that do not matter.
7. Feedback: refine the first answer with a focused follow-up
Read the response, identify what is missing or off target, and ask for a specific change. Instead of starting over with “Try again,” say, “Keep the same structure, add one example for each point, and shorten the introduction.” If new information changes the task, provide that context in the follow-up.

OpenAI recommends treating prompting as an iterative conversation: review the answer and refine the request. ChatGPT can still make mistakes, so check important claims, calculations, and decisions rather than treating a polished response as proof that it is correct. Put the relevant details together in a short request. For example:
Draft a friendly, concise email to my apartment manager asking when the scheduled water repair will be completed. I have already reported that the kitchen tap has had low pressure since Monday. Keep the message under 150 words, ask for an estimated completion date, and do not assume the cause of the problem.

This example specifies the task, context, audience, tone, and output priorities without adding unrelated personal information. For a complicated project, ask for one stage at a time, review the result, and give targeted feedback before moving on.
Sharing a ChatGPT conversation safely
If you share a conversation link rather than copying an answer, inspect the conversation first. OpenAI says a personal-account shared link can be viewed by anyone permitted to open it, and shared content can include supported images and uploaded files. Avoid putting sensitive personal information in a conversation you plan to share. See OpenAI’s guide to sharing conversations.
