A traditional cash register is usually enough for straightforward checkout; choose a point-of-sale (POS) system when you need integrated inventory, sales reporting, or customer information; and consider tablet or mobile POS (mPOS) when you need to take checkout away from a fixed counter. Before buying, match the setup to your workflow, confirm payment and hardware compatibility, and compare hardware, software, service, and processing costs together.

Cash register vs. POS system vs. tablet mPOS

These options can all support checkout, but they differ in how much software and flexibility they add. A traditional register is generally a simpler transaction and cash-handling tool. A POS system combines hardware and software, and may also manage inventory, customer information, and sales reports. A tablet or mobile POS is a POS workflow designed to move with the seller; its capabilities depend on the software, device, and payment hardware selected.

Decision point Traditional cash register POS system Tablet or mobile mPOS
Checkout workflow Fixed, straightforward checkout Fixed or multi-function checkout tied to POS software Checkout can move with the seller
Business tools Basic transaction functions May include inventory, reporting, and customer information Depends on the provider’s software and supported devices
Typical hardware Register; a separate card terminal may be needed Terminal or tablet plus compatible peripherals Phone or tablet plus payment hardware; a cash drawer may be optional
Payment acceptance Verify whether card acceptance requires separate equipment Check support for cards, contactless payments, and wallets Check reader, connectivity, and payment-method support
Cost components Hardware; card acceptance may add costs Hardware, software or service, and payment processing Device and reader, plus any service and transaction fees
Best fit question Are basic checkout and cash handling enough? Do inventory, reporting, or integrated payments justify the added system? Do sales happen away from a fixed counter?

These are common configurations, not guarantees about every product. Check the current specifications, payment terms, and device support with the provider before committing. Business.com’s cash register and POS comparison, Salesforce’s POS overview, and Business.com’s POS hardware guide describe the categories and typical components.

When a basic cash register is enough

Choose a traditional electronic cash register when sales follow a simple, mostly fixed-counter routine and you do not need the register to track stock or produce detailed business reports. It can be a practical fit for straightforward checkout, especially where cash handling is central. If you also want to accept cards, establish whether you need a separate terminal and what that adds to the setup.

A register is not a substitute for POS software features. If you need item-level stock tracking, sales analysis, or customer information managed alongside transactions, assess a POS system instead. Square’s guide to cash-register features discusses basic register functions; its cost examples and terms are provider-specific and should not be treated as a market-wide benchmark.

When a POS system is worth considering

A POS system brings checkout hardware together with software. Depending on the platform, the software can support transaction processing, inventory, customer information, and reporting. That combination is useful when you want checkout data to help manage operations, not merely record a sale. Oklahoma State University Extension’s guide to selecting a POS system also frames POS as a business-system choice rather than just a screen or card reader.

Decide which functions you will actually use

  • Inventory: Determine whether you need stock tracking and whether the software reports at the item or category level you use.
  • Reporting: Identify the sales views that matter to you, such as results by item, category, employee, or time period, then verify the provider includes them.
  • Customer information: If you need customer records associated with transactions, confirm that the system supports the workflow and data you expect.
  • Payments: Check acceptance for the payment types your customers use, including chip cards, contactless cards, and digital wallets. Confirm whether a separate reader or terminal is required.

Do not assume every POS package includes every feature or supports every payment method. Availability varies by provider and market.

When tablet or mobile POS makes sense

Consider tablet or mobile mPOS when staff need to take payment away from one permanent checkout point—for example, at a temporary selling location or while moving through a service workflow. The mobility comes from the whole setup: POS software, a supported phone or tablet, payment hardware, and reliable connectivity where transactions take place.

Before choosing a device, confirm the provider supports its operating system and model, and check the reader’s connection and payment-method support. If you accept cash, decide whether you need a cash drawer and a fixed station for cash transactions; some mobile configurations may not include a drawer. A tablet alone is not a complete POS system.

How to choose the right setup

  1. Map your checkout workflow. Note whether you sell at one counter, several checkout points, or temporary and mobile locations. Choose hardware that fits how customers and staff actually move.
  2. List required business tools. Separate must-haves—such as stock tracking or reporting—from features you are unlikely to use. Check that the software supports the specific views and workflows you need.
  3. Confirm payment methods. Ask the provider which card, contactless, and wallet payments are supported in your market, and whether acceptance requires separate equipment.
  4. Verify hardware compatibility. Check the provider’s supported-device information, connection requirements, and compatibility for the selected terminal or tablet and each peripheral before purchasing.
  5. Plan for cash. If you accept cash, decide whether a drawer is necessary and whether the work requires a fixed checkout point even if some sales are mobile.
  6. Compare the complete cost. Include the register, terminal or tablet, required peripherals, software or service charges, and payment-processing fees. Compare the cost over the period you expect to use the system, not just the initial hardware outlay.

What to include in the total cost

There is no universal price established for these categories: hardware, service charges, and processing terms vary by product, provider, and agreement. Build a cost comparison from the components that apply to your setup rather than relying on an upfront device price alone.

  • Hardware: Register or terminal, tablet or phone if needed, card reader, and any required printer, scanner, stand, or cash drawer.
  • Software and service: Recurring charges, if any, for the POS software or service.
  • Payment processing: Transaction charges under the provider’s current terms.
  • Additional equipment: Accessories that your workflow needs and the provider confirms are compatible.

Ask the provider for current pricing and payment terms for your location and intended setup. A lower initial hardware cost does not by itself establish the lowest overall cost. Business.com’s POS cash-register guide and Square’s cash-register feature guide identify cost components, but neither provides a neutral, universal market price.

Questions to ask before you buy

  • Does this setup support the checkout flow at every location where I sell?
  • Which payment methods can I accept, and is a separate card terminal or reader required?
  • Which exact device models and operating systems does the provider support?
  • Are the receipt printer, barcode scanner, cash drawer, or stand I need compatible?
  • Which inventory, reporting, and customer-information features are included in the software or service I would use?
  • What are the hardware, recurring service, and transaction costs under the current terms for my market?

Security certifications and current regional availability are not established across these product categories here. Review the chosen POS and payment provider’s current security documentation and confirm local availability and terms before purchase.
