On a Windows work laptop, press Windows + Shift + S to select part of the screen. On a Mac, press Shift + Command + 4 for a selected area or Shift + Command + 3 for the whole screen. Before capturing or sharing work content, follow your employer’s data-handling rules.
Choose the shortcut for your work laptop
First identify whether the laptop runs Windows or macOS; the keyboard shortcuts are different. Then choose what to capture and where you need the image to go: a selection, a window, or the full screen; clipboard for pasting, or a saved image file.
| Device | Capture | Shortcut or method | Result |
|---|---|---|---|
| Windows 10 or 11 | Selected area, window, or full screen | Windows + Shift + S | Opens the Snipping Tool capture overlay; the snip is copied into the tool. |
| Windows | Full screen | Print Screen | Copies the screen to the clipboard. |
| Windows | Active window | Alt + Print Screen | Copies the selected active window to the clipboard. |
| Mac | Full screen | Shift + Command + 3 | Saves a screenshot by default to the desktop. |
| Mac | Selected area | Shift + Command + 4 | Shows a crosshair for selecting an area. |
| Mac | Window or menu | Shift + Command + 4, then Space | Lets you capture a window or menu. |
Take and save a screenshot in Windows
Capture an area, window, or full screen
- Press Windows + Shift + S. The desktop dims and the Snipping Tool capture overlay opens.
- Choose a capture mode, such as rectangular, freeform, window, or full screen, then make the capture.
- Open the captured snip in Snipping Tool to annotate or crop it, or choose Save and select a file name and location.
For the tool’s current instructions, see Microsoft’s guide to using Snipping Tool.
Copy the full screen or active window
Press Print Screen to copy the whole screen. To copy only the active window, click it first, then press Alt + Print Screen. In either case, open an app that accepts images and press Ctrl + V to paste. The key may be labeled PrtSc, PrtScn, or PrntScrn; check the keyboard markings or device help if you cannot find it. Microsoft explains these clipboard shortcuts in its guide to copying window or screen contents.

Surface-specific keyboard options
Surface shortcuts vary by model and keyboard. Microsoft documents Windows + PrtScn, or Windows plus the Snipping key on keyboards that have one, as a shortcut that saves to Pictures > Screenshots. On some listed Surface devices, Fn + Spacebar opens screen snipping, while Fn + Alt + Spacebar copies the active window to the clipboard. Microsoft notes that Power + Volume Up is not a screenshot shortcut on Surface Laptop. Check the instructions for your exact device in Microsoft’s Surface screenshot guide.
Take a screenshot on a Mac
Capture the screen, a selection, or a window
- Entire screen: Press Shift + Command + 3.
- Selected area: Press Shift + Command + 4, drag the crosshair around the area, and release.
- Window or menu: Press Shift + Command + 4, press Space, then click the window or menu.
Screenshots save to the desktop by default. To copy instead of saving a file, hold Control with the shortcut; for example, Control + Shift + Command + 3 copies the full screen to the clipboard. Some apps may not allow screenshots of their windows. Apple’s instructions are available in its Mac screenshot guide.

Find the screenshot or paste it into another app
A screenshot may be copied to the clipboard rather than saved as a file, depending on the shortcut. If you used a clipboard shortcut, open an image-compatible app and paste with Ctrl + V on Windows; on Mac, paste with Command + V. If you need a file, use Snipping Tool’s Save option on Windows or the Screenshot controls on Mac to choose a save location. On Mac, the default location is the desktop; on the documented Surface shortcut, it is Pictures > Screenshots.

Check work rules before capturing or sharing
Built-in screenshot tools explain how to take a capture, but they do not establish your employer’s rules. Before capturing or sharing a screen that includes customer, employee, or confidential information, follow your organization’s policy. If a shortcut is blocked or unavailable on a managed laptop, ask your IT team rather than trying to bypass the restriction. An app may also prevent screenshots of its windows.
