Slack can be configured with meaningful safeguards for construction-document collaboration, but it is not automatically the right home for every project record. Slack says customer data is encrypted at rest and in transit by default, and offers controls for identity, guests, retention, audit logs, data loss prevention (DLP), eDiscovery, and customer-controlled encryption keys. Whether those controls are sufficient depends on the documents, the plan and settings in use, and the project’s contractual, legal, and records requirements.
The main operational risk is collaboration across company boundaries: with Slack Connect, each organization controls retention for its own messages and files. Agree on access, retention, and closeout procedures before sharing project material.
What Slack’s security safeguards do—and don’t—establish
Slack states that customer data is encrypted at rest and in transit by default. That protects data in specified circumstances, but encryption alone does not determine who can access a drawing, how long a conversation is kept, or whether the workspace meets a project’s recordkeeping obligations. Slack’s security overview describes product controls; it does not certify that every construction document is appropriate for every Slack workspace.

Slack’s security features should be treated as controls to configure and administer, not as a blanket approval for project use. The available evidence does not establish a construction-specific security rating or prove that Slack is suitable for a particular contract, owner, or jurisdiction.

Check project obligations before choosing where documents go
Start by identifying the information the team expects to share. Drawings and specifications may have different handling needs from bids, contracts, safety records, or personal information. Then have the project’s security, records, and legal owners check the applicable contract, company policy, and rules for storage, access, retention, and deletion.
Slack describes data-residency controls and compliance-related offerings, but those features do not by themselves establish that a particular project satisfies its obligations. Confirm the requirements first, then verify that the selected Slack plan, configuration, and contract support them.

Control who can enter the workspace and project channels
Slack’s security guidance describes controls including single sign-on (SSO), two-factor authentication (2FA), session-duration limits, account deactivation, controlled app use, and guest accounts limited to needed channels. Enterprise organizations can also monitor audit events. These measures help only when administrators configure, review, and maintain them.
- Require SSO or mandatory 2FA in line with company policy.
- Limit guests to the channels they need for their project role.
- Deactivate accounts promptly when someone leaves or no longer needs access.
- Review session and app controls, and monitor audit events where available.
Slack’s recommendations are described in its security guidance. Check the current plan and settings available to your workspace before relying on a particular control.

Plan carefully for Slack Connect and outside firms
Slack Connect lets people from different organizations collaborate while using their own workspaces. It does not give one company shared administrative control over all participants’ content. Retention and editing or deletion settings apply to the messages and files sent by each organization; content sent by external participants follows their organization’s policies. Slack also says an organization removed from a Slack Connect channel may retain an archived copy when it has certain permissions. Before sharing project material externally, agree who can access it, which organization controls retention for each party’s content, what happens when a participant leaves, and how the authoritative project record will be preserved at closeout. Do not assume that deleting a message or ending channel access removes every other organization’s copy.

Match retention and audit logging to the project record
Workspace message and file retention determines how long that content remains available under the applicable policies. Audit-log retention is a separate issue: Slack says that, as of April 30, 2026, Enterprise audit logs are retained for up to two years. Organizations that need longer audit-log history should export logs externally, as Slack advises in its audit-log guidance.

If the organization needs formal archiving or eDiscovery, determine whether additional tooling and processes are required.

Know the limits of DLP and customer-managed keys
DLP coverage
Slack’s DLP feature scans member messages, text-based files, and canvases against configured rules. Slack notes that some data types are not scanned, so DLP should not be assumed to inspect every file format or every type of content. Check that the specific documents and conversations the project relies on are covered by the configured rules. Slack’s DLP documentation describes its coverage and limitations.
For Enterprise plans, Discovery API integrations can support eDiscovery, archiving, and DLP through third-party services. Capabilities vary, so verify that a chosen service captures the content and actions the project needs. Slack lists Discovery API partners, but listing alone does not establish complete coverage for a particular workflow.
Enterprise Key Management (EKM)
Slack describes EKM as an Enterprise-level option: a security add-on for Enterprise Grid and Enterprise+ and included with GovSlack, according to its current help page. Eligible organizations use customer-controlled keys stored in their AWS account. Slack lists messages, canvases, snippets, uploaded files, search-index data, and certain app data among content encrypted with customer-controlled keys. It also identifies profiles, channel metadata, file names, membership information, and some operational data as categories that may use Slack-controlled keys. Check the documented scope and current plan eligibility before relying on EKM for a specific data class. Slack’s EKM documentation provides the details.

Use this approval checklist
- Classify the material. Identify which drawings, specifications, bids, contracts, safety records, and personal data may be shared.
- Confirm the requirements. Ask the project’s security, records, and legal owners what the contract, company policy, and applicable rules require.
- Verify access controls. Check the selected plan’s SSO or 2FA, guest, session, account-deactivation, app, and monitoring settings.
- Set external-collaboration rules. For Slack Connect, document who controls each organization’s content and what happens at departure and closeout.
- Set retention and export procedures. Establish where the authoritative record lives and export audit logs if more than two years of Enterprise audit history is required.
- Check DLP and key scope. Confirm that relevant content is covered by DLP rules and that EKM’s documented scope matches the organization’s needs.
- Assign administration. Name the people responsible for configuring, reviewing, and monitoring these controls across projects and participants.
Use the same criteria when comparing collaboration options: identity and least-privilege access, external-party control, retention and legal hold, auditability, DLP coverage, key control, plan availability, and fit with contract and records requirements.
