Sometimes. If Outlook’s appearance was changed or reset, you can usually select the setting again. If a custom theme file was deleted, Microsoft’s guidance does not document a specific Outlook recovery method. First identify whether you mean Office colors, dark mode, or email stationery, and which Outlook version you use.
First, identify what “theme” means
Outlook users may mean three different things by a theme, and each has its own controls:
- Office theme: The color scheme for Office apps. It is separate from a document theme. Microsoft describes a document theme as “a unique set of colors, fonts, and effects.” Microsoft’s Outlook and Access theme guidance explains the distinction.
- Dark mode: A dark or black interface setting. The steps differ between classic Outlook, new Outlook, and Outlook on the web.
- Message stationery: Formatting such as backgrounds and design elements applied to outgoing HTML email. This is separate from the app’s appearance.
Identify which Outlook you’re using
The correct menu depends on the client. In Outlook for Windows, a Settings button in the upper-right indicates new Outlook; if that button is missing, Microsoft identifies the app as classic Outlook. In a browser, outlook.live.com is Outlook.com, while outlook.office.com or outlook.office365.com is Outlook on the web, subject to regional domains. Restore a setting that changed or reset
Office-wide colors
In an Office app, open File > Account or File > Options > General, then select the Office Theme you want. Microsoft notes that the Office visual refresh may switch a previously selected Colorful theme to Use system setting; choosing the desired Office Theme again restores that selection. Dark mode in classic Outlook
Choose File > Office Account > Office Theme, then select Black. This Office Theme choice applies to all Microsoft 365 desktop applications. To keep messages on a white background while using Black, go to File > Options > General and select Never change the message background color.

Dark mode in new Outlook or Outlook on the web
Open Settings > General > Appearance, choose Dark, Light, or Use system settings as appropriate, and save. Microsoft provides separate instructions for these clients in its Outlook dark mode guide.

If you changed colors in a theme and want the original colors back, Microsoft’s Outlook and Access instructions say to click Reset before Save. This resets color choices; it does not recover a deleted theme file.

Email stationery
In classic Outlook, open File > Options > Mail > Stationery and Fonts > Personal Stationery > Theme and check whether the intended theme is available. These stationery instructions require messages to use HTML format; selecting (No Theme) turns message stationery off. If the custom theme file was deleted
Microsoft documents custom Office themes saved from Word or Excel as .thmx files in the local Document Themes folder. If a copy remains there, in a backup, or on another device, it may be worth checking. However, Microsoft’s Word and Excel instructions do not promise that Outlook can re-import or recover a deleted theme file. See Microsoft’s Word and Excel theme guidance.

Do not mistake stationery files for custom document themes. Microsoft lists Outlook stationery under the Microsoft Shared Stationery folder within Program Files, with different paths for 32-bit and 64-bit installations. Those are stationery locations, not confirmed locations for a deleted custom document theme. See Microsoft’s Outlook data-file location guidance.
What to expect
If you only changed an appearance setting, selecting it again is the practical fix. If the custom file itself is gone, whether you can recover it depends on whether a copy or backup exists; Microsoft’s cited guidance does not establish a supported Outlook-specific recovery method for deleted custom theme files.
