A free desktop office suite can replace much of Microsoft 365’s document, spreadsheet, and presentation work—but it does not automatically replace cloud storage, hosted email, or shared online services. LibreOffice is a sensible first option for local files, provided your laptop meets its requirements and your important Microsoft-format documents work as expected.
What a free office suite can—and cannot—replace
LibreOffice is a free, open-source desktop suite with Writer for documents, Calc for spreadsheets, Impress for presentations, plus Draw, Base, and Math. It supports Open Document Format and common Microsoft Office formats. That makes it a plausible replacement for the office applications you use on a laptop, not an automatic replacement for every service in a Microsoft 365 subscription. The Document Foundation describes LibreOffice’s applications and format support.
Microsoft 365 home subscriptions bundle productivity apps with 1 TB of cloud storage per user. Microsoft distinguishes those subscriptions from perpetual Office suites, which do not include cloud-backed features or services such as OneDrive, Exchange Online, and SharePoint Online. The distinction matters: replacing Word, Excel, and PowerPoint does not by itself replace your storage, email, or online collaboration setup. Will LibreOffice handle your Microsoft files?
LibreOffice Help says, “LibreOffice can open and save documents in the Microsoft Office file formats, including Microsoft Office Open XML formats.” Writer, Calc, and Impress correspond to Word, Excel, and PowerPoint work, respectively. Format support means the files can be opened and saved; it is not a promise that every font, layout, formula, macro, animation, or other advanced feature will behave identically. Before relying on it for work or school, try copies of the files you actually use. Include a document with complicated page layout, a spreadsheet with formulas or macros, and a presentation with animations if those are part of your normal workload. Check the result in both applications if you exchange files with people who use Microsoft Office, and keep the original files untouched until you are satisfied.
Can it run on an old laptop?
“Old” alone does not establish compatibility or speed. LibreOffice’s current requirements list Windows 10 or 11, a Pentium-compatible PC, 256 MB of RAM minimum (512 MB recommended), and up to 1.5 GB of available disk space for Windows. The same page gives separate requirements for macOS and Linux. These are minimum requirements, not a prediction of how a particular laptop will perform with large files or several applications open. Check LibreOffice’s current system requirements for your operating system.

Confirm your laptop’s operating system, available memory, and free storage before installing. A device can meet listed minimums and still feel slow because of its condition, background software, or workload. If you depend on the laptop for important files, back up your system and data before installing or removing software, as LibreOffice recommends. LibreOffice installation guidance.

- Files and storage: Identify what is stored in OneDrive or another cloud service, how much space it uses, and whether you need automatic syncing or access from multiple devices.
- Email and calendar: Check whether your address, mailbox, calendar, or contacts depend on hosted services included with your subscription.
- Shared editing: Note whether colleagues or family members edit the same file, comment in real time, or rely on shared links and permissions.
- Meetings and other apps: Check for services you use that are separate from the desktop office suite.
Choose a replacement for each service you still need before cancelling the bundle. A local office application does not migrate cloud files, preserve an email account, or recreate shared-workflow settings simply by being installed. Microsoft’s distinction between subscription services and perpetual Office applications is a useful reminder to assess these separately.

ONLYOFFICE is another candidate if you prefer its editor workflow or want offline desktop apps alongside integrations. Its features and connected services are vendor-described, and hosting or commercial terms can differ by deployment. Check the current requirements and terms for the specific desktop, hosted, or self-hosted setup you intend to use; desktop apps alone do not establish that you have a complete collaborative cloud service. A low-risk way to make the switch
- Inventory first: Record which Microsoft applications and cloud services you use, and identify the operating system and specifications of the laptop.
- Check requirements: Compare the laptop with the current requirements for the suite and operating system you plan to install.
- Back up: Make a separate copy of important documents and data before changing software.
- Install without cancelling yet: Keep your existing setup available while you test the alternative.
- Test representative copies: Open and edit your real DOCX, XLSX, and PPTX files, paying particular attention to advanced features and shared workflows.
- Decide service by service: Only cancel or change cloud services after you have confirmed where needed files, email, collaboration, and other services will go.
