Yes, you can buy a car through your business. The sound approach is to choose a vehicle that matches the work, compare its full cost over the time you will keep it, document the date and extent of business use, and then select the tax method that fits your records and driving pattern. A business purchase does not make personal driving deductible, and a vehicle loan or lease does not remove recordkeeping obligations.

This guide walks through vehicle selection, cash versus financing versus leasing, the purchase process, 2026 federal mileage rates, actual-expense deductions, depreciation and Section 179 limits, employee use, and an audit-ready mileage log.

Start with the work the vehicle must do

Write a one-page vehicle brief before looking at makes or monthly payments. The brief keeps a low payment from distracting you from capacity, operating cost and business-use requirements.

Define the operating requirements

  • People: State the normal and maximum passenger count, including child seats or protective equipment.
  • Cargo: Measure the largest items you carry, their weight, loading height and whether they must stay dry or locked.
  • Towing and payload: Record trailer weight, tongue weight and the payload needed after passengers and tools are aboard. Never rely on a vehicle’s advertising trim name; verify the exact configuration’s ratings.
  • Annual miles: Estimate business miles separately from commuting and personal miles. Use route history, invoices, appointments and delivery schedules rather than a guess based only on the odometer.
  • Geography: Note city traffic, highway distances, steep grades, weather, unpaved roads and parking constraints.
  • Energy access: Confirm gasoline or diesel availability, home charging, workplace charging and public-charging coverage before choosing a powertrain.
  • Drivers: Decide whether only the owner drives or whether employees, contractors or family members will use the vehicle.
  • Business-use percentage: Estimate the share of total miles that will be ordinary and necessary business travel. This percentage affects the deductible share of many actual expenses and depreciation.

Separate business travel from commuting

Keep three mileage categories in your planning sheet: business trips, commuting between home and a regular workplace, and personal trips. A vehicle can be titled to a company and still have nondeductible personal or commuting use. The categories also make employee-use and reimbursement policies easier to apply.

Set a total-cost budget, not just a purchase budget

Compare each option over the expected holding period. A low monthly payment can hide a large down payment, mileage charges, insurance cost or weak resale value.

Cost categories to include

Cost What to estimate Why it changes the decision
Acquisition Cash price, taxes, title, registration, documentation fees and required equipment Determines the amount financed or the initial cash outlay
Financing Down payment, annual percentage rate, total interest and loan term Long terms reduce payments but usually increase total interest and may leave you owing more than the vehicle is worth
Lease charges Initial payment, recurring payment, acquisition fee, mileage allowance, excess-mileage rate, disposition fee and end-of-term purchase price Lease cost depends on contract mileage and how you return or buy the vehicle
Insurance Commercial or personal policy premium, deductibles, hired/non-owned coverage where relevant and the effect of employee drivers Coverage requirements and driver history can materially change the monthly cost
Use Fuel or charging, parking, tolls and registration renewals High-mileage routes can outweigh a lower purchase price
Maintenance Scheduled service, repairs, tires, inspections and expected downtime Downtime can cost more than a repair when the vehicle is tied to appointments or deliveries
Exit value Expected resale or trade-in value, selling costs and any remaining loan balance A vehicle that retains value can have a lower cost over the full holding period

For federal tax purposes, IRS Topic 510 identifies gas, oil, repairs, tires, insurance, registration, licenses and depreciation or lease payments as actual vehicle-expense categories. Business parking and tolls are separately tracked expenses. IRS Publication 583 also identifies business-related parking, tolls, car-loan interest and certain state and local taxes as potentially deductible in appropriate circumstances; eligibility depends on your facts and tax return.

Use a holding-period comparison

For each candidate, add acquisition costs, financing or lease charges, operating costs and maintenance, then subtract the expected resale value. Divide by the expected months or business miles to see whether a cheaper-looking option is actually cheaper to operate. Keep tax effects in a separate column so a tax assumption does not conceal a poor mechanical or cash-flow choice.

Choose the vehicle form that fits the job

Vehicle form Usually fits when Checks before signing
Car or wagon Passenger travel, sales calls, appointments and light equipment Rear-seat and trunk dimensions, comfort on long routes, fuel economy and tire cost
Van Frequent tools, parcels, shelving or multiple passengers Payload after shelving, roof height, loading access, parking height and commercial insurance requirements
Pickup Open-bed cargo, trailers, construction materials or equipment Payload with passengers and accessories, trailer rating, bed length, tie-downs and four-wheel-drive operating cost
SUV Mixed passenger and cargo use, weather or light towing needs Usable cargo space behind occupied seats, tow package rating, fuel cost and the federal tax classification that applies to the exact vehicle

Do not select a heavier vehicle solely for a possible deduction. A vehicle that is oversized for the work can increase insurance, tires, fuel, financing and maintenance costs every year.

Decide between cash, a loan and a lease

Cash purchase

  • Advantages: No loan interest, no lender lien and no payment risk after purchase.
  • Trade-offs: Cash tied up in the vehicle cannot fund payroll, inventory, marketing or an emergency reserve. You also bear resale risk.
  • Best fit: A business with sufficient reserves that values low lifetime financing cost and expects to keep the vehicle for many years.

Vehicle loan

  • Advantages: You own the vehicle, can usually drive without a mileage cap and can choose when to sell it.
  • Trade-offs: Interest, lender requirements and the possibility of negative equity. Compare total payments, not only the advertised monthly amount.
  • Best fit: Businesses that need ownership flexibility, carry equipment or expect mileage above a typical lease allowance.

Lease

  • Advantages: Predictable payments, access to a newer vehicle and the option to match the contract term to a known replacement cycle.
  • Trade-offs: Mileage and wear charges, limited modification options, early-termination costs and no automatic ownership at the end. Read the residual value, buyout and return conditions.
  • Best fit: Businesses with predictable mileage, a preference for frequent replacement and enough cash flow for recurring payments.

Compare cash, loan and lease on the same expected holding period and business mileage. Include the tax method you could actually support, rather than assuming one structure always produces a larger deduction.

Follow this purchase process

  1. Approve the vehicle brief. Have the owner or management sign off on passenger, payload, towing, mileage, energy and driver requirements.
  2. Set an all-in ceiling. Include acquisition, financing, insurance, registration, fuel or charging, maintenance and a reserve for downtime.
  3. Obtain comparable quotes. Request an itemized cash price, loan offer and lease worksheet for the same vehicle and equipment. Ask for taxes, fees, mileage terms and optional products to be shown separately.
  4. Check the exact specification. Verify the vehicle identification number, title status, odometer, warranty, payload and towing ratings. A rating can change with engine, drivetrain, cab, battery or axle choices.
  5. Get insurance confirmation before delivery. Ask your insurer whether the business entity, employee drivers, garaging address, cargo and intended use are covered.
  6. Choose the buyer and payment source. Match the contract, title, registration and insurance named insured to the actual owner or lessor. Do not assume that paying from a business account by itself creates business ownership.
  7. Review the contract line by line. Confirm selling price, trade-in value, taxes, registration, interest rate, term, prepayment terms, lease mileage, wear standards, buyout and cancellation rights.
  8. Collect the closing file. Keep the purchase or lease agreement, invoice, title or lien information, registration, insurance declarations, warranty, inspection and payment records.
  9. Record the placed-in-service date. Generally, this is the date the vehicle is first available and used for business. Record the odometer and business purpose at that point.
  10. Set up the mileage system before the first trip. Use a paper log, spreadsheet or electronic system that captures every field required for a defensible record.

Put the vehicle into service correctly

The placed-in-service date starts the period for which business use, depreciation or lease treatment is measured. Photograph or write down the odometer on that date. Retain purchase or lease documents, title, registration and insurance records with the vehicle’s permanent file.

If personal use continues, record business, commuting and personal miles separately. If employees drive, require them to submit trip details promptly and state who may use the vehicle after hours. A written policy should cover permission, fuel cards, accident reporting, maintenance, personal use and return of the vehicle when employment ends.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose a federal mileage or actual-expense method

Decide deliberately and keep the calculation consistent with the rules for the method you select. Your tax professional can confirm eligibility, especially when the vehicle is leased, depreciated, used by more than one person or placed in service after a change in business ownership.

2026 standard mileage rates

Driving period Business standard-mileage rate Qualification
January 1 through June 30, 2026 72.5 cents per business mile Federal IRS rate for that six-month period
July 1 through December 31, 2026 76 cents per business mile Federal IRS rate for that six-month period

Apply the rate to qualifying business miles in each period; do not use one rate for the entire year when trips fall in both periods. The standard-mileage method generally includes a depreciation component, so you do not claim the same operating costs again as actual expenses. IRS Topic 510 lists eligibility restrictions, and a tax professional should check whether your ownership, lease, prior depreciation or vehicle use prevents this method.

Actual expenses

Under the actual method, track the business-use share of gas, oil, repairs, tires, insurance, registration, licenses and depreciation or lease payments. Business parking and tolls are separately tracked. Allocate shared costs using a supportable business-use percentage based on business miles divided by total miles for the year, unless a specific rule requires another treatment.

Understand depreciation and Section 179 before buying for a write-off

Buying a vehicle does not make its full price immediately deductible in every case. Depreciation method, vehicle class, business-use percentage, placed-in-service date and other tax rules can limit the amount and timing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The 2026 Form 2106 instructions state a $2,560,000 aggregate Section 179 limit and a $32,000 Section 179 amount for SUVs. These are 2026 federal figures, not a guarantee that a particular vehicle qualifies for either amount. Business-use percentage and vehicle classification matter, and other depreciation rules can reduce or defer the deduction.

Before signing, give your tax professional the exact vehicle identification, cost, date available for business, expected business-use percentage, prior vehicle deductions and whether employees or owners will use it personally. Ask for a written comparison of standard mileage, actual expenses, regular depreciation and any Section 179 election. A tax deduction should follow a sound vehicle decision, not create one.

Build an audit-ready mileage and expense record

IRS Publication 463 says, “If you keep timely and accurate records, you will have support to show the IRS if your tax return is ever examined.” Record trips as they occur, not months later from memory.

Fields for every business trip

  • Date
  • Starting and ending odometer readings, or another reliable mileage measurement
  • Miles for that trip
  • Destination
  • Specific business purpose, such as “meet customer at project site,” rather than only “business”
  • Type and amount of related expense when the log also tracks parking, tolls, fuel or another cost

Publication 463’s sample daily log uses the fields “Date,” “Destination,” “Business purpose,” “Odometer readings,” “Miles this trip,” “Type” of expense and “Amount.” Use a bound account book, diary, log, trip sheets or a well-controlled digital record. A physical business mileage log book is useful when drivers cannot safely or consistently enter trips in an app; store scans or photographs so the record is backed up.

Handle employee and personal use deliberately

Employee access increases both operational and tax complexity. Identify authorized drivers, check licenses where appropriate, require prompt accident reporting and prohibit unapproved passengers or uses. Keep a separate key, fuel-card and maintenance procedure if the vehicle is shared.

For an owner using a company vehicle personally, record those miles rather than treating the vehicle as exclusively business property. Personal errands, vacations and commuting should not be entered as business trips merely because the vehicle is company-owned. If an employee takes the vehicle home, document the business reason, the regular work location and the personal-use arrangement so your payroll and tax advisers can apply the appropriate rules.

Insurance, registration and compliance checks

  • Confirm whether the vehicle should carry a commercial policy or can be covered under a personal policy for the intended use.
  • Tell the insurer about delivery, client transport, tools, towing, multiple drivers and overnight garaging.
  • Track registration renewals, inspections, emissions tests and local permits.
  • Verify state sales-tax, title, registration and business-property requirements; these vary by jurisdiction.
  • Schedule preventive maintenance by time and mileage, and keep invoices even when using the standard-mileage method.

Common buying and deduction mistakes

Choosing by payment alone

Symptom: The payment fits, but insurance, tires, fuel or lease mileage makes the vehicle unaffordable. Fix: Re-run the full holding-period budget and include a downtime reserve.

Using one mileage number for everything

Symptom: The year-end odometer does not reconcile with claimed business miles. Fix: Capture each trip and retain separate commuting and personal totals.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Double-counting standard mileage and actual costs

Symptom: Gas, repairs and depreciation are added after claiming the mileage rate. Fix: Choose a method, check its restrictions and let your tax preparer review the final schedule.

Claiming the whole vehicle for mixed use

Symptom: A company vehicle is used for errands or family travel, but every cost is treated as business. Fix: Maintain a business-use percentage supported by contemporaneous mileage records.

Waiting to create records

Symptom: Trips are reconstructed from a calendar months later with vague purposes. Fix: Enter the destination, purpose and odometer readings at the time of the trip or as soon as safely possible.

Assuming Section 179 applies automatically

Symptom: The buyer expects the full price to be deducted immediately. Fix: Have a tax professional verify the 2026 limits, vehicle class, business-use percentage and depreciation restrictions before purchase.

A practical decision framework

  1. Rank the work requirements: safety and legal capacity first, reliability and uptime second, operating cost third, appearance and convenience fourth.
  2. Estimate business miles by month and identify seasonal peaks.
  3. Price one suitable car, van, pickup or SUV in cash, loan and lease forms.
  4. Compare total cost through the expected replacement date, including resale value and downtime.
  5. Estimate business-use percentage and design the mileage log before delivery.
  6. Ask a tax professional to compare the eligible mileage and actual-expense paths using the exact vehicle and ownership structure.
  7. Buy only when the operational case still works without assuming the most favorable tax result.

Questions to settle before signing

  • Can the vehicle carry the people, cargo and trailer load without exceeding ratings?
  • What is the all-in cost per month and over the planned holding period?
  • Who owns or leases it, and do the title, contract and insurance match?
  • How will every driver record business, commuting and personal miles?
  • Which 2026 federal mileage, actual-expense, depreciation or Section 179 rules apply to this exact vehicle?
  • What state and local title, registration, insurance and sales-tax rules apply where the vehicle is based?

Frequently Asked Questions

Can I buy a car through my business and use it personally?

Yes, but you must separate business, commuting and personal miles. Personal use does not become deductible merely because the business owns or leases the vehicle.

Which is better for taxes: standard mileage or actual expenses?

Neither is universally better. Standard mileage is simpler when eligible and generally includes depreciation; actual expenses may better reflect high operating costs or a high business-use share. Compare both with your tax professional.

What should a business mileage log contain?

Record the date, destination, business purpose, odometer readings or trip mileage, total annual miles and related expense type and amount. Keep entries timely and retain receipts.

Does a 2026 Section 179 limit guarantee a deduction?

No. The 2026 figures are a $2,560,000 aggregate limit and a $32,000 SUV amount, but vehicle classification, business-use percentage and other depreciation rules can restrict the deduction.
