Accepting Bitcoin is not a single payment method. A small business can receive on-chain Bitcoin directly, use Lightning for checkout, or let a processor accept the payment and settle in dollars. The choice determines which fees apply, when revenue becomes usable, who controls the wallet, how refunds work, and how much Bitcoin-price exposure remains.

What accepting Bitcoin actually involves

“Bitcoin payment” can describe several different arrangements. In a direct setup, the business presents its own wallet address and later decides when to hold, spend, or sell the Bitcoin. A Lightning setup uses a separate payment network designed for small, fast transactions. A processor-managed setup puts the checkout, exchange-rate calculation, and possibly conversion to dollars in a provider’s system.

Those routes have separate cost layers. The Bitcoin network, a Lightning route, a processor, an exchange-rate conversion, and the business’s own accounting and support work are not interchangeable charges. Receiving Bitcoin does not automatically mean the transaction is free, and accepting it does not automatically cost less than cards.

Three practical acceptance models

Model How the customer pays Settlement choice Price exposure after payment Main responsibility
Direct on-chain Bitcoin Customer sends Bitcoin to the business wallet and the business waits for its chosen confirmation policy. The business keeps Bitcoin or later sells or spends it. Full exposure until the business disposes of the Bitcoin. Wallet security, address management, confirmation monitoring, accounting, and refunds.
Lightning checkout Customer scans a Lightning invoice or uses a compatible tap or wallet. Business keeps the received Bitcoin or converts it through a service. Exposure depends on when and how conversion occurs. Lightning wallet or provider liquidity, invoice expiry, routing, and backup procedures.
Processor-managed payment Processor displays a QR code, invoice, or other checkout request. Usually dollars, Bitcoin, or a provider-specific combination. Immediate conversion can reduce post-payment exposure; Bitcoin settlement retains it. Provider eligibility, fee schedule, limits, settlement records, and provider-specific refund rules.

A processor may support only some of these routes. Confirm the exact payment rail, settlement currency, hardware, account type, and country before comparing offers.

Bitkey Bitcoin Hardware Wallet, No Screen - Self-Custody, No Seed Phrase
  • BITCOIN EXCLUSIVE, PHONE VERIFICATION: Bitkey is designed from the ground up exclusively for bitcoin — a dedicated hardware wallet for secure bitcoin storage. Approve transactions with a tap using your phone and NFC. No device screen is required.
  • SELF-CUSTODY, NO EXCHANGE OR CUSTODIAN REQUIRED: You hold two of the three keys in the Bitkey system – one on your phone and one on your Bitkey device. The third is stored on Bitkey’s server and cannot move your bitcoin on its own.
  • NO SEED PHRASE: Set up and use Bitkey without creating or storing a seed phrase.
  • 2-of-3 MULTISIG: Three keys are stored separately across your phone, Bitkey device, and Bitkey’s server. Any two keys are required to move your bitcoin.
  • BUILT-IN RECOVERY: Encrypted backup and recovery tools can help you regain access if you lose your phone or Bitkey device. You can also designate a Recovery Contact.

Every cost layer to price before launch

On-chain Bitcoin network fees

Bitcoin.org’s business guidance says receiving Bitcoin does not itself incur a Bitcoin network fee. A fee generally becomes relevant when the business spends or moves Bitcoin in an on-chain transaction. The wallet chooses the fee, which is related to transaction-data size rather than the value being sent. A higher fee can encourage faster confirmation, but it is not a percentage of the sale.

This means a business receiving many small payments may not pay a network fee for each receipt, yet it may pay later when consolidating outputs, moving funds to another wallet, or selling through an exchange. The timing and size of those outgoing transactions affect the eventual cost.

Lightning routing and payment costs

Bitcoin.org describes Lightning as near-instant for small payments with minimal fees. That is a description of the network’s intended checkout experience, not a universal price guarantee for every wallet, route, or service. Wallet fees, routing conditions, liquidity management, and provider terms can vary.

Ask whether a Lightning service quotes a separate fee, embeds a charge in its exchange rate, or requires a subscription or other fixed cost. Compare the total amount credited to the business with the dollar value shown at checkout.

Processor fees

A processor’s percentage or fixed charge is separate from any Bitcoin network fee. The fee may cover checkout software, exchange-rate handling, conversion, settlement, or support. A zero network fee does not make a processor free, and a processor fee does not describe the cost of moving Bitcoin later.

Conversion spread and exchange-rate slippage

Most stores keep prices in dollars or another national currency and calculate the Bitcoin amount at checkout. Bitcoin developer documentation explains that exchange-rate variability is why many Bitcoin orders are denominated in national currency and converted to satoshis at payment time.

Check whether the quoted exchange rate includes a spread. Two services can advertise the same processing percentage while crediting different dollar amounts because one uses a less favorable rate. An IRS Advisory Committee recommendation for a proposed IRS crypto-payment service supports showing fees as separate line items instead of hiding them in an exchange rate. That is a procurement recommendation, not a general rule imposed on merchants.

Operational costs

Budget for reconciliation, staff training, customer support, wallet security, accounting review, and refunds. The available provider documentation does not establish standard dollar amounts for those tasks, so they must be estimated from the business’s own sales volume and controls.

Settlement determines how much volatility you keep

Dollar settlement

With dollar settlement, the processor converts the receipt at the applicable rate and sends dollars to the merchant account. Square documents immediate dollar conversion when an eligible seller chooses dollar settlement. Converting promptly limits the business’s exposure to Bitcoin price movements after the conversion, although it does not eliminate quote-to-payment slippage, provider spreads, or delays before funds reach the bank.

Bitcoin settlement

If the business chooses Bitcoin settlement, it keeps the asset. A later sale or payment can produce a gain or loss compared with the Bitcoin’s value when the customer paid. Square states that sellers are responsible for capital gains or losses arising from value changes between receipt and a future sale.

Direct custody

Direct acceptance gives the business control over custody and conversion timing. It also makes the business responsible for wallet backups, access credentials, device security, address verification, and a recovery plan. Bitcoin.org notes that wallet security remains necessary even though the business does not handle customers’ card data.

Decide the settlement policy before opening checkout: convert every receipt, retain a defined percentage, or retain all receipts. Record the policy so staff do not make inconsistent decisions during a volatile market.

How a Bitcoin sale moves from checkout to the books

  1. Set the store price. Keep the product or invoice denominated in dollars (or the business’s normal currency) unless the business intentionally wants fixed Bitcoin pricing.
  2. Create the payment request. The wallet, Lightning service, or processor generates an address, QR code, invoice, or tap request and displays the exchange rate and expiration period.
  3. Customer submits payment. The customer’s wallet sends an on-chain transaction or Lightning payment. The checkout system reports whether it has detected or received the payment.
  4. Apply the acceptance policy. For on-chain payments, decide whether detection is enough for low-risk sales or whether confirmation is required. For Lightning, follow the provider’s success response and invoice rules.
  5. Settle. The processor may convert to dollars, deliver Bitcoin, or offer both choices. A directly controlled wallet leaves conversion timing with the business.
  6. Record the transaction. Capture the dollar sale value, Bitcoin amount, timestamp, exchange rate, processor fee, network or routing fee, settlement currency, and wallet or processor reference.
  7. Handle exceptions. Keep a documented process for underpayments, expired invoices, duplicate payments, wrong-network transfers, refunds, and payments that arrive after the order has been canceled.

Bitcoin payment processing can be built in-house or outsourced to third-party APIs and services. Outsourcing reduces engineering work but adds provider dependency and another set of terms to monitor.

Lightning checkout versus on-chain confirmation

When Lightning fits

Lightning is designed for small payments and is described by Bitcoin.org as near-instant with minimal fees. It can make a café, ticket desk, or low-value online checkout feel closer to a card transaction than waiting for an on-chain confirmation.

Lightning still requires compatible wallets, an operating channel or provider route, and a plan for converting or withdrawing funds. A failed route, expired invoice, insufficient liquidity, or incompatible wallet can interrupt checkout even when the customer has Bitcoin.

When on-chain Bitcoin fits

On-chain payment can be simpler for a business that wants direct custody and does not need instant finality. It is less suitable for a high-volume counter where every order must clear immediately. Confirmation expectations depend on network conditions and the business’s risk tolerance; the available documentation does not establish one universal merchant settlement time.

Do not promise customers a fixed number of minutes for on-chain settlement unless the business has defined its own confirmation policy and communicates that policy clearly.

Current dated example: Square’s US Bitcoin terms

Square’s US support documentation, accessed October 13, 2026, illustrates why provider terms must be checked immediately before launch. These are product terms for eligible US sellers, not universal Bitcoin-payment rules.

Item Documented term
Bitcoin processing fee 0% through December 31, 2026; 1% thereafter, according to the stated terms.
Maximum individual transaction Current market equivalent of $600.
Daily limit $20,000.
Availability Not available to businesses or locations in New York; eligibility is determined by Square.
Checkout hardware QR acceptance is documented; Lightning-enabled NFC tapping is available on Square Register (2nd generation).
Disputes Square says it does not handle Bitcoin chargebacks or disputes.
Invoice maximum $2,500 per Bitcoin invoice.
Invoice exclusions New York, US territories, and sanctioned jurisdictions are excluded in the invoice documentation.

For invoices, eligible sellers can keep the invoice denominated in dollars, accept a Lightning payment that converts automatically to USD, or choose Bitcoin settlement. In the documented checkout flow, a transaction taking more than five minutes may be rejected and require a new cart at the updated exchange rate. That timeout is specific to this Square flow, not a universal Lightning rule.

Refunds, disputes, and customer service

Bitcoin.org describes Bitcoin payments as irreversible. A business cannot assume that a customer can open a card-style chargeback and recover funds automatically.

  • Genuine Check: confirm your signer is authentic during setup with the Ledger Wallet app.

Write the refund policy before enabling the payment button. State whether refunds are available, which exchange rate applies, how long processing takes, and whether the customer receives Bitcoin, dollars, or store credit. Square says its Bitcoin support does not handle disputes or chargebacks and documents a refund path that issues store gift-card value. A direct-wallet business must design and administer its own process.

Train staff to distinguish an expired quote from a failed payment, an underpayment from a network delay, and a genuine duplicate from a customer showing an old receipt. Keep a manager approval step for manual refunds and record the original transaction details.

Tax, accounting, and custody controls

Accounting records

For each payment, retain the sale amount in the store currency, Bitcoin quantity, exchange rate, timestamp, settlement destination, fees, and any later sale or transfer. This lets the business reconcile the point-of-sale record with wallet or processor statements.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Tax treatment

Tax treatment depends on the business’s jurisdiction and facts. Square specifically places responsibility for gains or losses when retained Bitcoin changes value before a later sale. Consult current official tax guidance and a qualified tax professional rather than treating a processor’s settlement report as a complete tax calculation.

Wallet security

Use role-based access where possible, protect recovery credentials, verify destination addresses on a trusted screen, and separate day-to-day spending funds from reserves. A hardware wallet may be considered for custody, but suitability depends on the business’s threat model and operating procedures; no particular device is established here as the correct choice.

A decision framework for a small business

  • Choose processor-managed dollar settlement when predictable dollars, simpler reconciliation, and reduced post-payment Bitcoin exposure matter more than self-custody.
  • Choose Lightning when low-value, rapid checkout is central and the business can support compatible wallets, routing, invoice expiry, and liquidity management.
  • Choose direct on-chain acceptance when the business values custody control and can tolerate confirmation decisions, wallet administration, and later conversion work.
  • Use Bitcoin settlement deliberately only after deciding how much volatility the business can carry and how it will record later gains or losses.

Compare options on seven points: settlement currency and conversion timing; network, processing, and conversion costs; retained price exposure; confirmation and checkout experience; wallet custody; reversibility and refund handling; and geography, hardware, account, and transaction eligibility.

Pre-launch checklist and failure handling

  • Confirm that the business, location, account, hardware, and invoice size are eligible.
  • Publish accepted payment types, quote duration, exchange-rate method, and refund method.
  • Test a small payment on the exact wallet, device, and network customers will use.
  • Define when an on-chain payment is considered accepted and who can override that rule.
  • Document conversion, custody, backup, and withdrawal procedures.
  • Reconcile a test transaction from checkout through settlement and accounting.
  • Set alerts for expired invoices, underpayments, duplicate payments, and provider outages.
  • Review provider fees, limits, supported states or countries, and hardware requirements immediately before launch and whenever terms change.

If a customer’s quote expires, issue a new payment request rather than accepting an old Bitcoin amount. If a payment arrives after the order is canceled, pause fulfillment until staff verify the transaction and apply the written refund or credit policy. If a provider changes its fee or settlement terms, update pricing displays and accounting rules before accepting more payments.

Bottom line

Bitcoin acceptance is best treated as a settlement and risk decision, not simply another checkout icon. Separate network fees from processor charges and exchange-rate spreads, choose dollar or Bitcoin settlement intentionally, and define confirmation, custody, accounting, and refunds before the first customer pays. A processor can reduce operational burden and post-payment exposure, while direct or Lightning acceptance can provide more control or faster small-payment checkout at the cost of additional responsibility.
