For a self-hosted business automation platform, shortlist n8n and Activepieces. Choose Node-RED when your workflows are event-driven, hardware-connected, or otherwise outside the usual SaaS-to-SaaS pattern. The decisive difference is not a marketing feature count; it is the licence attached to the code you plan to run and redistribute. n8n uses a Sustainable Use License rather than an OSI-approved open-source licence, Activepieces offers an MIT-licensed core with commercially licensed enterprise and cloud features, and Node-RED is Apache 2.0.
This guide explains what each project can do, where the licence boundaries are, how to plan a safe deployment, and which option fits common Zapier migration scenarios. Integration totals, current version numbers, pricing, and hardware requirements are not stated because no authoritative, current figures are established for them; verify those items on the project’s own documentation before deployment.

| Tool | Licence for the self-hosted code | Best fit | Important boundary | Connector-count confidence |
|---|---|---|---|---|
| n8n | Sustainable Use License (source-available; not OSI open source) | Business SaaS automations, API orchestration, scheduled and webhook workflows | Internal business, personal, or non-commercial use is permitted. Selling a product or service whose value derives substantially from n8n is restricted. Files containing .ee. are under a separate enterprise licence. |
No authoritative current total established. |
| Activepieces | MIT for the core; enterprise and cloud-edition features use a commercial licence | Teams wanting a conventional permissive licence for the core automation engine | Code in enterprise directories, including packages/ee/ and the server’s enterprise path, is licensed separately. Licence terms for the feature you deploy matter more than the product name. |
No authoritative current total established. |
| Node-RED | Apache License 2.0 | Event-driven integrations, IoT, industrial telemetry, local services, and hardware | Every third-party node can carry its own licence. Review those licences before distributing a flow or appliance. | No authoritative current total established. |
Search pages often quote conflicting connector totals for these projects. Because the figures are not confirmed by a primary source and directories change, treat a connector as “available” only after checking the current node or integration documentation and testing the exact operation you need.
What self-hosting changes
With Zapier, the provider operates the execution service, stores credentials, handles upgrades, and exposes a managed control plane. Self-hosting moves those duties to you. You supply the machine or cluster, operating-system updates, network access, TLS certificates, backups, monitoring, and incident response.

The automation engine is only one component. A production installation normally includes:
- Runtime: a container, virtual machine, or managed server process that executes workflows.
- Persistent storage: workflow definitions, connection metadata, execution history, and application state. Use the storage options supported by the release you install and test restoration before relying on it.
- Ingress: a stable HTTPS endpoint for webhooks and, where needed, an internal-only endpoint for the editor.
- Identity and secrets: administrator authentication, least-privilege service accounts, encryption keys, and a process for rotating credentials.
- Operations: logs, health checks, alerting, retry policies, queue or concurrency limits, and a documented upgrade and rollback procedure.
Self-hosting can reduce dependence on a vendor’s execution environment and may keep data inside your network, but it does not make an integration automatically private. A workflow still sends data to each connected SaaS, API, email provider, or device.

n8n’s Sustainable Use License
n8n’s self-hosted distribution is covered by its Sustainable Use License. It permits modification and redistribution subject to stated limitations, including internal business use and personal or non-commercial use. The central restriction is commercialising a product or service whose value derives substantially from n8n itself. That is materially different from an OSI-approved open-source licence, because OSI licences cannot impose use-field restrictions.
The licence applies to self-hosted n8n; n8n Cloud has a subscription and separate terms. Do not assume that a cloud entitlement grants rights to redistribute the self-hosted software. Also check the file you are packaging: files with .ee. in their names are outside the Sustainable Use License and fall under a separate enterprise licence.

Practical consequence: n8n is a plausible choice for an internal automation team, a personal homelab, or a non-commercial project. If you intend to embed it in a paid platform, offer hosted automation to customers, or resell a service where n8n is a substantial part of the value, obtain a licence interpretation from n8n or legal counsel before building the business around it.
Activepieces: MIT core, commercial extensions
Activepieces releases its core under the MIT licence. MIT generally permits use, modification, and redistribution, provided the licence and copyright notices are retained. That applies to the core code, not automatically to every directory or feature shipped in a repository.
Free tools Windows power users keep installed
One-click scans. No signup required.
Enterprise material in packages/ee/ and the server’s enterprise path is licensed separately, as are cloud-edition features. Activepieces describes its project as neither source-available nor fair-code in its own positioning, so use the actual licence files for the components you deploy rather than relying on labels. A build that mixes MIT core code with commercial modules inherits the obligations of both.
Practical consequence: Activepieces is the clearest candidate here when permissive rights for the core are a requirement, but you must inventory enabled modules. Keep a software bill of materials, preserve notices, and confirm that an enterprise feature is licensed for your redistribution or hosting model.

Node-RED and Apache 2.0
Node-RED is licensed under Apache 2.0, with copyright held by the OpenJS Foundation and contributors. Apache 2.0 allows commercial use, modification, and redistribution while requiring licence and notice preservation and addressing patent terms.
The project licence does not automatically cover the community nodes you install. A node may use a different licence, include third-party dependencies, or have additional attribution requirements. Review the package metadata and repository licence for every non-core node included in a product, appliance image, or customer deliverable.
n8n: best for business workflow orchestration
n8n is designed around visual workflows that connect SaaS applications, HTTP APIs, databases, schedules, and webhooks. It is the most natural starting point when your Zapier replacement is primarily business-process automation: synchronising records, enriching leads, routing notifications, calling APIs, or coordinating multi-step approvals.
Where n8n fits
- Multi-step API workflows with branching, transformations, and reusable sub-workflows.
- Webhook-driven processes that need custom authentication or data mapping.
- Scheduled jobs that combine internal databases with external SaaS systems.
- Teams that want a graphical editor but also need JavaScript or HTTP-level control.
n8n deployment checklist
- Define the licence use case. Decide whether the instance is internal, personal, non-commercial, or part of a product or hosted service. Inspect the edition and any
.ee.files before packaging. - Choose an isolated host. Use a dedicated container or virtual machine, a persistent volume, and an operating-system account that is not a general administrator account.
- Set the public webhook address. Configure a stable HTTPS hostname and make sure proxy headers, request-size limits, and timeouts match the APIs that will call you.
- Protect the editor. Require administrator authentication, disable open registration, restrict network access where possible, and place the editor behind TLS and an identity-aware proxy if your organisation has one.
- Configure persistence and encryption. Use the supported database and encryption settings for the release you install. Store encryption keys outside the container definition and back them up separately from workflow data.
- Test a complete run. Trigger a harmless webhook, inspect each node’s input and output, confirm retry behaviour, and verify that failed executions do not expose tokens in logs.
- Automate backups and upgrades. Back up workflow definitions, credentials metadata, and the database. Test a restore on a separate host before upgrading production.
n8n limitations to plan for
The licence is the main limitation for commercial resale. Operationally, a workflow can also fail because an integration supports only some API operations, because a provider changes authentication, or because concurrency creates duplicate writes. Validate the exact trigger and action rather than relying on a connector’s name. Keep idempotency keys or deduplication logic for webhooks that may be delivered more than once.

Activepieces: a permissive-core alternative
Activepieces targets the same broad category of visual business automation as n8n. It is worth evaluating when your legal or procurement policy prefers an MIT-licensed core and when the connectors you need are available in the edition you can lawfully use.
Recommended Free Tools
Where Activepieces fits
- Internal SaaS workflows where a permissive core licence simplifies code review and redistribution decisions.
- Teams that want a visual builder and a catalogue of pieces, but can operate the server themselves.
- Projects that may later embed automation into another application, provided every included enterprise or cloud component is separately cleared.
Activepieces deployment checklist
- Map features to licences. List every piece, server module, and UI feature required by your workflows. Separate MIT core components from enterprise and cloud-edition components before deployment.
- Prepare persistence. Select the database and object-storage arrangement supported by the current release, and provision durable volumes rather than relying on ephemeral container storage.
- Set network boundaries. Expose only the webhook endpoint publicly. Keep administrative interfaces private or protected by your organisation’s identity layer.
- Harden credentials. Use a dedicated secret store where practical, limit OAuth scopes, rotate client secrets, and remove unused connections.
- Validate piece behaviour. Test pagination, rate-limit responses, file handling, and error payloads for each critical piece. A piece that can create a record may not support the update or search operation your process needs.
- Document the commercial boundary. Record which modules are MIT and which are commercial, retain notices, and attach the applicable terms to your deployment and distribution documentation.
Activepieces limitations to plan for
The MIT label applies to the core, not necessarily to the complete product experience. An upgrade can change which functionality sits in a commercial directory, so repeat the licence inventory during release reviews. Connector coverage and behaviour should be tested against your own APIs; no reliable, current aggregate count is established.
Node-RED: the event-driven and hardware choice
Node-RED uses a flow-based editor in which messages move between nodes. That model is particularly effective for MQTT and other device protocols, industrial telemetry, local network services, Raspberry Pi-style projects, and event processing close to the equipment that produces the data. It can call web APIs, but it is not primarily a catalogue of business SaaS recipes.
Where Node-RED fits
- IoT pipelines that transform sensor messages and route them to databases or dashboards.
- Industrial or laboratory systems where predictable local processing matters.
- Bridges between protocols, such as MQTT, HTTP, WebSockets, serial devices, and databases.
- Lightweight event handlers that should continue operating even when a cloud service is unavailable.
Node-RED deployment checklist
- Install the runtime in an isolated environment. Use the project’s supported installation method or a container, and persist the user directory that contains flows and settings.
- Turn on editor authentication. Do not expose the editor unauthenticated. Configure TLS or terminate TLS at a trusted reverse proxy, and restrict the editor to a management network.
- Review every node. Check the licence, maintenance status, permissions, and transitive dependencies of community nodes before installing them.
- Separate control from data paths. Keep device networks segmented from the public internet, and allow only the broker, API, or database traffic that a flow needs.
- Choose durable context storage. If a flow depends on state across restarts, configure persistent context and test recovery after an unclean shutdown.
- Instrument the flows. Add status indicators, error branches, dead-letter handling, and rate limits. Test behaviour when a sensor disconnects or an API times out.
Node-RED limitations to plan for
Node-RED’s flexibility can become a governance problem: two flows may implement the same business rule differently, and a community node can disappear or change licence. Maintain a private catalogue of approved nodes and export flows to version control. For purely SaaS-oriented automations, the flow editor may require more custom wiring than a platform built around business connectors.

How to choose among the three
| Your primary requirement | Start with | Why | Check before committing |
|---|---|---|---|
| Internal business automation with many API calls and branching | n8n | Its workflow model is aimed at multi-step SaaS and API orchestration. | Sustainable Use License, required connectors, storage, and webhook volume. |
| Permissive rights for a core automation engine | Activepieces | The core is MIT-licensed. | Whether any required feature is in enterprise or cloud-licensed code. |
| IoT, industrial, local-network, or hardware events | Node-RED | Its message-flow model and node ecosystem suit event-driven systems. | Third-party node licences, security of the editor, and durable state. |
| Embedding automation in a paid product | Activepieces first, then legal review of all components | MIT core may simplify redistribution, while n8n has an explicit restriction on products or services deriving substantially from it. | Commercial modules, attribution, support obligations, and your exact distribution model. |
| Lowest operations burden | None of the self-hosted options by default | You still own patching, backups, monitoring, and incident response. | Whether a managed offering is acceptable and how its terms differ from self-hosting. |
A migration plan from Zapier
Move one representative workflow first. A direct export is rarely enough because authentication, retries, filters, and data types differ between platforms.
- Inventory every Zap. Record its trigger, actions, filters, schedules, connected accounts, data sensitivity, expected volume, and owner. Mark workflows that write to a system of record.
- Classify the workload. Put SaaS-only processes in the n8n or Activepieces column; put device and event-stream processes in the Node-RED column. Flag anything that will be embedded in a customer-facing product for licence review.
- Map each operation. Confirm that the target has the exact trigger, search, update, pagination, file, and webhook operations required. If not, plan an HTTP request or a small service rather than assuming feature parity.
- Recreate authentication. Use separate credentials for testing and production. Grant the smallest scopes possible and document token rotation.
- Make writes idempotent. Use a stable external identifier, a deduplication table, or a lookup-before-create step so retries cannot create duplicate records.
- Run in shadow mode. Send test data or copy outputs to a sandbox. Compare payloads, timestamps, error handling, and downstream side effects with the existing Zap.
- Cut over gradually. Disable the old Zap only after the replacement has passed repeated trigger, retry, timeout, and provider-rate-limit tests. Keep a rollback switch and the old configuration until the observation period ends.
Security and reliability checklist
- Put public webhooks behind HTTPS and validate signatures or shared secrets supplied by the sender.
- Keep editors and administration interfaces off the public internet whenever possible.
- Store secrets outside images and source control; rotate them after staff changes or suspected exposure.
- Limit outbound network access so a compromised workflow cannot reach unrelated internal services.
- Set execution timeouts, concurrency limits, and provider-rate-limit handling.
- Send failures to an alerting channel and retain enough correlation data to replay safely without logging sensitive payloads.
- Back up definitions and persistent state on a schedule, encrypt backups, and perform restoration drills.
- Pin tested versions, read release notes, and stage upgrades on a copy before production.
- Maintain an inventory of third-party nodes or pieces, their licences, maintainers, and update dates.
- Document data retention: execution history can contain customer information even when the workflow’s final output does not.
Common pitfalls and fixes
| Pitfall | What happens | Fix |
|---|---|---|
| Treating “self-hosted” as “open source” | A team approves n8n for resale without noticing its use restriction. | Review the actual licence and the planned business model before implementation. |
| Counting connectors instead of testing operations | A named integration exists, but the required search, pagination, or update action is missing. | Build a proof of concept against the exact API operation and payload. |
| Exposing the editor with the webhook | An attacker reaches administrative controls through a public address. | Use separate routes, authentication, TLS, and network controls; publish only the webhook surface. |
| Installing unreviewed community nodes | A node introduces an incompatible licence, vulnerability, or unmaintained dependency. | Approve nodes, pin versions, scan dependencies, and record licences. |
| Relying on container-local storage | A restart or redeploy loses flows, credentials metadata, or state. | Attach durable storage and verify restoration on another host. |
| Ignoring duplicate delivery | Retries or webhook redelivery create duplicate tickets, contacts, or payments. | Design idempotent writes and test replay scenarios. |
| Assuming cloud and self-hosted terms match | A cloud subscription is treated as permission to redistribute self-hosted code. | Read the terms for the edition and deployment model you actually use. |
Costs and capacity planning
None of these projects has a dependable, current price or resource figure established here. The software licence is only one part of total cost. Budget for compute, persistent storage, backups, TLS and DNS, monitoring, patching time, database operations, and engineering time for failed runs.
Estimate capacity from your workload rather than a generic RAM number. Measure concurrent executions, average and peak payload size, execution-history retention, webhook bursts, database latency, and the cost of retries. Start with a staging instance, load-test a representative workflow, and set alerts before moving production traffic. A small internal schedule and a bursty webhook service have very different capacity profiles even when they use the same number of workflows.
Bottom-line decision
Choose n8n when your main problem is complex internal SaaS and API orchestration and its Sustainable Use License fits your use. Choose Activepieces when the MIT-licensed core is important and you can keep enterprise and cloud-licensed components within their terms. Choose Node-RED when messages originate in devices, brokers, industrial systems, or local services and you need a flexible event-flow runtime.
Whichever project you select, validate the exact integrations, licence scope, security model, persistence, and failure behaviour with a production-like pilot. That evidence is more useful than an unverified connector-count ranking.
