For most WordPress teams, the best workflow plugin depends on the bottleneck you need to remove: choose Oasis Workflow for visual routing, formal approvals and an audit trail; Multicollab for Gutenberg co-editing, inline comments and suggestions; or PublishPress for broader editorial operations such as statuses, calendars, checklists, permissions and scheduling.

All three can support a multi-author approval process, but they organize work differently. The sections below map each plugin to a specific team shape, show the documented capabilities and prices, and give implementation steps you can adapt to your site.

Quick comparison

Plugin Best fit Documented strengths Key trade-off
Oasis Workflow Teams that need explicit routing, assignments and approval history Visual drag-and-drop designer; role-based routing; Assignment, Review and Publish tasks; custom statuses; process history; reassignment; due dates; email reminders; single- and multi-level review templates Its center of gravity is process control rather than live, document-style collaboration
Multicollab Gutenberg teams that need co-editing and discussion in the editor Configurable workflow stages; role permissions per stage; optional steps; inline comments; suggestions; approval in WordPress; Google Docs-style collaboration for Gutenberg Teams wanting calendars, checklists and broad editorial governance may need a separate or more operations-focused layer
PublishPress Publications managing planning, permissions and recurring editorial operations Documentation for writing, reviewing, publishing, multi-step workflows, editing and reviewing, university departments and two-person approvals; authors, permissions, editorial calendar, checklists and scheduling Real-time co-editing and suggestion-mode depth are not its primary differentiator

That is the short answer. Your final choice should follow the handoffs your team actually performs, not the longest feature list.

What a WordPress workflow plugin does

WordPress already has basic post statuses and user roles. A workflow plugin turns those building blocks into a repeatable path: someone creates a draft, one or more people review it, specialists may check it, an approver signs off, and a publisher releases it. The plugin records who owns each step and what must happen before the post can advance.

  • Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
  • Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

A useful workflow answers five practical questions:

  • What is the current state? For example, Draft, Editor Review, Legal Check or Ready to Publish.
  • Who acts next? A named user, a role such as Editor, or a team queue.
  • What is optional? A legal or SEO stage might be required only for certain content.
  • When is it due? Deadlines, reminders and escalation rules prevent silent stalls.
  • What happened? A history of assignments, decisions and reassignments provides accountability.

Before installing anything, write down one representative article journey. Include exceptions such as a rejected draft, a reassigned reviewer and a post that needs two approvals. A plugin that handles your exception path cleanly is usually a better fit than one that only looks good in a feature checklist.

Oasis Workflow: best for visual routing and auditability

Oasis Workflow is the clearest match for a team that thinks in stages, queues and approvals. Its documented building blocks are Assignment, Review and Publish tasks. A visual designer lets an administrator lay out the process and connect those tasks, while role-based routing determines who receives each assignment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What Oasis Workflow documents

  • Drag-and-drop workflow design.
  • Routing by WordPress role.
  • Inbox-based sign-off for assigned work.
  • Custom statuses that reflect your organization’s terminology.
  • Process history for reviewing the path a piece of content took.
  • Reassignment when the original owner is unavailable.
  • Due dates and email reminders.
  • Prebuilt single-level and multi-level review workflows.

Those features matter when your editors need to prove that a post passed through defined controls, rather than simply showing that its status changed. History and reassignment are especially useful for regulated or audit-sensitive organizations and for publications with many authors.

When to choose Oasis Workflow

  • You need a visible, multi-step map that nontechnical editors can understand.
  • Different roles own different gates, such as an editor followed by a compliance reviewer.
  • Deadlines and reminders are part of the process, not an informal promise.
  • You must be able to explain who approved a post and when.
  • You want a single-level review for routine posts and a multi-level path for higher-risk content.

How to build a process in Oasis Workflow

  1. List your roles. Separate authors, editors, specialist reviewers and publishers. Decide whether a stage should route to a role or to a specific person.
  2. Choose the states. Start with the smallest useful set, such as Draft, Editor Review, Specialist Review, Approval and Publish. Add a custom status only when it changes who acts or what is allowed.
  3. Place tasks in the visual designer. Use Assignment for handing work to an owner, Review for a decision gate and Publish for the final release action.
  4. Define branches and levels. Make the specialist review optional only when the content type permits it. For sensitive content, require the additional level instead of relying on an email request.
  5. Set ownership, due dates and reminders. Give each stage a responsible role, a realistic deadline and an email reminder interval.
  6. Test the rejection path. Send a test post back to the author, reassign it to another reviewer and confirm that process history records each change.
  7. Train from the inbox. Show reviewers where assignments appear and what constitutes an approval. A workflow fails when people continue making decisions in untracked email threads.

Multicollab: best for Gutenberg collaboration

Multicollab is designed around collaboration inside the Gutenberg editor. Its workflow documentation allows administrators to define as many stages as the process requires, rename those stages, assign role permissions to each one and enable or disable individual steps. The plugin’s collaboration model keeps drafts, comments and sign-off in WordPress instead of splitting the conversation between the editor and an external document.

Workflow patterns Multicollab supports

A simple sequence can be Draft → Review → Approval → Publish. A more controlled publication might use Draft → Editor Review → SEO Review → Legal Check → Final Approval → Publish. The important distinction is that each stage can have its own role permissions, and stages can be optional when a content type does not need every check.

Collaboration features to evaluate

  • Co-editing in Gutenberg: multiple contributors can work in the WordPress editing environment rather than passing downloaded files around.
  • Inline comments: reviewers can attach feedback to the relevant passage.
  • Suggestion mode: editors can propose changes without silently overwriting the author’s text.
  • Role-based stages: permissions can change as a post moves from drafting to review and approval.
  • In-WordPress sign-off: comments, draft context and the approval decision stay together.

How to configure a Gutenberg approval flow

  1. Write the stage list before opening settings. Use the shortest path that still protects quality. Add SEO, legal or other specialist stages only where they affect publication.
  2. Create and name each stage. Use labels your team already understands, such as Editor Review rather than an internal acronym.
  3. Assign permissions by role. Decide who can edit, comment, suggest, approve or move the post forward at every stage.
  4. Mark optional stages deliberately. An optional stage should be triggered by a known rule, such as a claim, sponsored element or regulated topic—not by personal preference.
  5. Run a real post through the editor. Have one user leave an inline comment, another make a suggestion and an approver complete the sign-off. Confirm that the author can distinguish resolved feedback from an approval decision.
  6. Document the handoff rule. State whether approval means “ready for a publisher” or grants permission to publish. Ambiguity at this point creates duplicate reviews.

Multicollab is the strongest choice when the work itself—wording, structure and discussion—is the center of the process. If your main pain is an editorial calendar, deadline visibility or a large checklist, compare those requirements against an operations-focused plugin before deciding.

PublishPress: best for editorial operations and governance

PublishPress covers a broader publication-management layer. Its official workflow documentation addresses writing, reviewing, publishing, multi-step workflows, editing and reviewing, university departments and two-person approvals. A comparison published by Multicollab characterizes PublishPress as covering authors, permissions, editorial calendars, checklists and scheduling.

Where PublishPress fits

  • Planning: an editorial calendar gives the team a shared view of upcoming work.
  • Governance: permissions and defined statuses clarify what each role may do.
  • Repeatability: checklists make routine pre-publication tasks visible.
  • Scheduling: planned release dates are part of the workflow rather than a separate spreadsheet.
  • Approval patterns: documented examples include multi-step reviews and two-person approvals.

How to design a PublishPress process

  1. Define content types and owners. A news post, a landing page and a university-department announcement may need different checks.
  2. Set statuses that correspond to action. For example, Writing means the author is still working; Editing means an editor owns the next action; Approved means the final gate is complete.
  3. Build the checklist. Include only verifiable tasks such as source review, image rights, metadata, links and final formatting.
  4. Put dates on the calendar. Distinguish the internal review deadline from the public publish date so a late review is visible before it becomes a missed release.
  5. Configure permissions and approvals. For two-person approval, specify whether both people must approve or whether either reviewer can complete the gate.
  6. Review the calendar weekly. Remove abandoned assignments, update dates and rebalance work before deadlines are missed.

Choose PublishPress when editorial coordination is the problem you are solving across many posts and contributors. If every review happens as a detailed conversation inside Gutenberg, Multicollab may be a better collaboration layer; if the central need is a visual approval diagram and process history, Oasis Workflow is more directly aligned.

Which plugin fits your team?

Solo publisher or very small team

Start with the simplest process that prevents missed checks. If you mainly need a calendar, checklist and clear ownership, PublishPress’s documented operations features are the natural starting point. If you write in Gutenberg with one or two reviewers and need passage-level discussion, Multicollab may remove more friction.

Growing publication with several editors

Choose Oasis Workflow when assignments routinely cross roles and you need a visual map, reminders and a defensible history. Choose PublishPress when the larger challenge is planning dozens of pieces, coordinating dates and enforcing repeatable checklists.

Specialist or regulated content

Model the mandatory gates explicitly. Oasis Workflow’s role-based routing, multi-level reviews, due dates and process history fit a process where the organization must show who reviewed what. Multicollab can represent specialist stages such as SEO and legal inside Gutenberg when the review is primarily about proposed text and comments.

Distributed Gutenberg writing team

Multicollab is the most direct fit when contributors need to co-edit, comment inline and use suggestions without leaving WordPress. Establish who can approve, because collaboration access and publication authority should not automatically be the same permission.

A practical rollout plan

  1. Map one content type. Pick a common post, not the most exceptional project.
  2. Measure handoffs, not vanity metrics. Record where posts wait, who is asked twice and which checks are forgotten. No reliable adoption or time-saved statistic is established here, so use your own baseline.
  3. Limit the first workflow to necessary gates. Every extra stage creates another queue. Add a gate only when it changes quality, risk or legal status.
  4. Define rejection behavior. State whether a rejected post returns to the author, the previous reviewer or a correction queue, and preserve the reason in the post discussion or history.
  5. Set service-level expectations. Give each role a target response time and an escalation owner. Reminders are useful only when someone is responsible for acting on them.
  6. Test permissions with separate accounts. Check author, reviewer, specialist and publisher views. A workflow that works for an administrator may fail for the people who use it daily.
  7. Run a pilot for one publishing cycle. Keep a manual fallback for urgent corrections, but require normal posts to use the workflow so gaps become visible.
  8. Refine after the pilot. Remove stages that never change a decision, split stages that hide two different owners and update checklists when recurring errors appear.

Common failure modes and fixes

Too many statuses

Symptom: authors cannot tell whether “Needs Work,” “Changes Requested” and “Returned” mean different actions. Fix: keep a status only when it changes the owner, permission or next step.

Approval happens in email

Symptom: the post says Approved, but the decision cannot be found with the content. Fix: require the reviewer to use the plugin’s sign-off or approval action and treat email as a notification channel, not the record.

Optional checks become mandatory for everything

Symptom: routine posts queue behind specialist reviews. Fix: define the trigger for an optional SEO, legal or compliance stage and apply it by content type or risk.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Deadlines without ownership

Symptom: reminders are sent but no one acts. Fix: assign a role or named owner, define the escalation path and verify that reassignment works when someone is absent.

Permissions are tested only by an administrator

Symptom: a reviewer cannot advance a post, or an author can publish unexpectedly. Fix: test every stage with the least-privileged account that should perform it and document the expected action.

The workflow does not match the editor

Symptom: collaborators work in external documents while WordPress shows only a final paste. Fix: if Gutenberg co-editing, inline comments and suggestions are essential, evaluate Multicollab first. If the editor is secondary to routing and audit, evaluate Oasis Workflow or PublishPress around your actual publishing stack.

Final selection

Pick Oasis Workflow when routing, formal approvals, deadlines and an auditable process are the priority. Pick Multicollab when Gutenberg collaboration—co-editing, inline comments and suggestions—is the work your team needs to improve. Pick PublishPress when the publication needs a wider operating system for authors, permissions, calendars, checklists, scheduling and documented multi-step reviews.
