You can change Outlook’s appearance with built-in controls for themes, dark mode, mailbox density, message layout, fonts, and zoom—no AI-generated theme is needed. First identify which Outlook you use: new Outlook for Windows, classic Outlook for Windows, Outlook.com, or Outlook on the web. Settings and menu paths differ by version, and some controls may not appear in every account.
Identify your Outlook version first
New Outlook and classic Outlook are separate Windows apps with different settings. Outlook.com and Outlook on the web use browser-based settings, though newer web experiences may have layout options that differ from other accounts. Use the section matching your version rather than assuming a menu path works everywhere.
- New Outlook for Windows: the redesigned Windows app; its appearance settings include Settings > General > Appearance.
- Classic Outlook for Windows: the traditional desktop app; its theme setting is under File > Office Account.
- Outlook.com or Outlook on the web: open Outlook in a browser; appearance and mailbox controls are under Settings or View.
Choose a theme and set dark mode
Dark mode changes Outlook’s interface, but message content can have separate background behavior. Choose the theme that feels comfortable, then adjust the reading experience if messages look different from what you expect. Microsoft documents these version-specific controls in its Dark Mode in Outlook and dark mode for Outlook.com and Outlook on the web guidance.

- Open Settings > General > Appearance.
- Choose Dark, Light, or Use system settings where available.
- Select Save if shown.
To keep the app dark but read messages on a light background, select View > Light Reading Pane. To see a message with its original formatting while reading, use Turn on the lights at the top of the reading pane; depending on the interface, it may be under More.

Classic Outlook for Windows
- Go to File > Office Account.
- Under Office Theme, choose Black to enable the dark theme.
The selected Office theme applies to Microsoft 365 desktop applications, not only Outlook. If you want the Black theme but prefer white message backgrounds, go to File > Options > General and select Never change the message background color.
Outlook.com and Outlook on the web
- Open Settings > General > Appearance.
- Choose a theme or select Dark mode. To turn dark mode off, choose Light or Use system settings where offered.
In a dark interface, the Turn on the lights control can show message content with its original formatting on a lighter background.

Make the mailbox more or less compact
Theme controls change color; density controls how much information fits in the mailbox. In Outlook.com or Outlook on the web, use View > Density to choose among these layouts:

New Outlook for Windows offers message-list formatting controls too. Microsoft’s guidance describes choosing whether the sender name or subject appears first. In Outlook.com and Outlook on the web, conversation and message organization settings can also affect how the list appears. Move the reading pane and change message layout
The reading pane determines where a selected message opens relative to the message list. In Outlook.com or Outlook on the web, use View > Layout > Reading pane to choose Right, Bottom, or Hidden. Layout settings also control message organization and conversation display.
New Outlook for Windows documents Right, Bottom, Fill screen, and Popout as reading-pane choices. The available choices vary by Outlook version and web experience; newer web interfaces may also show Fill screen or Popout rather than the same set of options.

Adjust fonts and text size separately
Outlook has more than one kind of text setting. A font used when composing an email does not necessarily change the Outlook interface or message-list text. Reading-pane text size is adjusted with zoom in Microsoft’s guidance, rather than by changing the pane’s default font.

- New Outlook for Windows: open View > Settings > Mail > Compose. Under Message format, adjust the font, size, or style, then save.
- Classic Outlook for Windows: open File > Options > Mail and adjust the composition defaults.
- Outlook.com or Outlook on the web: open Settings > Mail > Compose, set messages to HTML format, choose the font and size, then save.
These are composition defaults; they do not change the font in the Outlook menus or guarantee that a recipient will see identical formatting in every email app. See Microsoft’s default email font instructions.

Change the message-list font in classic Outlook
In classic Outlook for Windows, open View > View Settings > Other Settings. Use Column Font or Row Font for the corresponding list text. Message Preview has its own font control. These are classic Outlook view settings and should not be assumed to exist in new Outlook.
Zoom the reading pane
Use View > Zoom in new Outlook to change reading-pane text size. Classic Outlook’s reading pane does not provide a setting for changing its default font or size; use zoom instead. Microsoft’s view customization guidance covers the classic view controls and reading-pane limitations.
Keep contrast and accessibility in mind
A dark theme is a preference, not a universal accessibility setting. Microsoft recommends Automatic font color for email text so it can display appropriately in high-contrast mode, and recommends using the Accessibility Checker to identify issues such as insufficient contrast. Review message formatting as well as the app’s colors; a theme change alone cannot make every email accessible. See Microsoft’s Outlook accessibility guidance.

- Less brightness in the interface: use Dark mode or the Black Office Theme, then select a light reading pane or preserve message backgrounds if needed.
- More messages on screen: choose Compact density in supported web experiences; try Cozy if minimal spacing makes scanning difficult.
- A wider message area: place the reading pane at the bottom, hide it, or use a full-screen/popout layout if your version provides it.
- Larger reading text: adjust zoom rather than changing composition fonts.
- More legible outgoing email: set a clear composition font and size, and retain automatic font color for contrast compatibility.
Microsoft describes the purpose of its mailbox controls simply: “You can quickly change the appearance of the message list and reading pane in Outlook so it looks and behaves the way you want.” The statement appears in its Outlook.com and Outlook on the web mailbox guide.
