For most small businesses, the best starting point is a merchant account with an acquiring bank or payment app and a static UPI QR code linked to the business bank account. It is inexpensive, interoperable with customers’ UPI apps and simple to display at a counter. Add a soundbox when staff need hands-free payment confirmation, a POS terminal when queues and multiple operators justify dedicated hardware, and a payment gateway when you sell online or need cards, wallets and automated order updates.
There is no single nationwide “free UPI” rule for every merchant. Your charges depend on merchant category, payment instrument, transaction amount, provider terms and the effective date of the policy. Confirm the current MDR, GST, settlement schedule, limits and KYC requirements before signing up.
Which UPI setup should a small business choose?
Use this decision table before comparing apps. It focuses on the problem your checkout needs to solve rather than on brand popularity alone.
| Business situation | Best-fit option | Why | What to watch |
|---|---|---|---|
| Low-volume shop, stall, freelancer or professional | Merchant app plus printed or acrylic static QR | Lowest complexity; customers can pay from major UPI apps | Someone must check the merchant phone or bank confirmation for every payment |
| Busy counter where the cashier cannot keep looking at a phone | QR plus a soundbox | Audible confirmation reduces missed-payment handovers | Device cost, charging, network connectivity, language support and replacement terms |
| Several cashiers, receipts, queues or multiple payment methods | POS terminal | One device can organize operators and payment records | Hardware purchase or rental, maintenance, connectivity and settlement configuration |
| Website, app or omnichannel business | Payment gateway, optionally combined with in-store QR or POS | Supports UPI alongside cards, net banking, wallets, EMI and automated order status | Integration effort, refunds, webhooks, reconciliation, fraud controls and the complete plan price |
In every case, choose a setup that deposits into the business bank account you actually reconcile. A familiar consumer app is not automatically the best merchant system if its reports, support or settlement process do not fit your accounts.

How UPI payments reach your bank account
UPI is an instant-payment system operated by the National Payments Corporation of India (NPCI). A merchant normally onboards through an acquiring bank or an acquiring payment provider, which supplies the account, QR infrastructure and settlement arrangement. NPCI documents QR, intent, application and collect integration modes; a small counter generally needs only the QR mode.
What happens after a customer scans
- The customer scans the displayed QR with a UPI app and enters the amount, unless the QR or checkout creates a prefilled amount.
- The customer approves the payment with the UPI PIN in the customer’s bank account.
- The acquiring arrangement routes the transaction and sends the result to the merchant app, soundbox, POS or gateway.
- Funds are credited to the merchant pool or merchant bank account according to the agreement. NPCI’s FAQ states that the merchant receives the money immediately after the customer confirms payment into the relevant account.
“Instant” describes authorization and the normal credit flow, not every back-office action. Settlement reports, refunds, reversals and bank posting can have their own schedules, so read the acquirer’s settlement terms.
Interoperability is the main advantage
A correctly issued UPI QR should accept payments from customers’ preferred UPI apps, not just the app used to create the QR. This is why a merchant QR is usually more useful than asking every customer to install one specific application. Confirm interoperability during onboarding, especially if the provider offers a proprietary wallet or a QR that is not a standard UPI QR.
Recommended Free Tools
Option 1: A merchant app with a static QR
A static QR contains the merchant identity and account details. The customer scans it and types the amount. It is the cheapest and simplest starting point for a low-volume business, provided the owner can verify each payment before releasing goods or services.

- With Square Terminal, you can ring up sales, accept payments, and print receipts, all with one device. Use it at the counter or ring up customers anywhere in your store.
- Accept all major credit and debit cards and pay one low rate with no hidden fees and no long-term contracts.
- Process chip cards in just two seconds.
- Get your money as soon as the next business day.
- Use it cordlessly with the built-in battery, designed to last all day.
Set up and display the QR
- Choose an acquiring bank or merchant-payment provider and complete its business, identity and bank-account KYC.
- Provide the account into which settlements should arrive. Check the account name and the merchant name shown to customers.
- Generate or download the QR from the merchant app. NPCI’s BHIM documentation describes generating, downloading and sharing a QR, along with transaction history and complaint tools.
- Print the code at a size that scans from the customer side of the counter. Place it in a stable holder or mount it where glare, reflections and merchandise do not obscure the pattern.
- Run a small test payment from a different UPI account. Confirm the payer name, merchant notification, transaction history and bank credit before opening for business.
- Keep the registered phone number, SIM, app login and bank account active. Nominate a second trained person if the owner will not always be present.
Do not accept a screenshot as the only proof of payment. A customer can edit or reuse an image. Verify the transaction in the merchant app, bank notification, soundbox or POS before handing over the product.
How common merchant apps differ
UPI itself is interoperable; merchant apps differ mainly in onboarding, support, dashboards, offers, customer familiarity and the tools supplied around the payment.
| Provider or route | Useful strengths | Limits or checks |
|---|---|---|
| PhonePe merchant solutions | Merchant app, POS and SmartSpeaker options; its merchant page advertises acceptance from major UPI apps and instant multilingual confirmations | Confirm hardware rental or purchase, connectivity, settlement account, support response and applicable MDR before ordering |
| Google Pay for Business | India-only business service advertising customer discovery, offers, security and support | Its help guidance says an individual account can receive up to ₹50,000 per month through BHIM UPI without fees, while a bank may charge after that. This is a provider-specific condition, not a universal UPI rule |
| BHIM or an acquiring-bank QR | Simple QR generation, download and sharing; BHIM provides transaction history and complaint tools | Check whether the acquiring bank supplies exports, staff roles, alerts and a suitable settlement report |
| Other bank or merchant-app QRs | May integrate directly with the bank account and existing current-account support | Ask about interoperability, downtime handling, dispute ownership, limits and the exact fee schedule |
NPCI’s August 2025 ecosystem table recorded 9,152.54 million PhonePe transactions and 7,063.76 million Google Pay transactions. Those figures use payer-app attribution; they indicate customer usage, not a guarantee of better merchant support or lower fees.

When a soundbox solves a real problem
A soundbox announces a successful payment aloud, often with language choices. It is useful when the cashier is serving customers, preparing food or handling cash and cannot repeatedly inspect a phone. It can reduce the risk of handing over goods after a customer shows an unverified screenshot.

- A battery that can power through your shift and offline payments let you keep selling, even if your internet is down.
- Accept all major credit and debit cards and pay one simple rate with no hidden fees and no long-term contracts required.
PhonePe advertises a SmartSpeaker with instant multilingual confirmations. Before accepting any soundbox, test whether it announces the merchant’s actual transaction result, how it behaves during a delayed or failed payment, and whether staff can recognize a reversal or refund announcement.
When a POS terminal is justified
A POS terminal is more appropriate when one counter has several staff members, sustained queues, printed receipts, multiple payment methods or a need for centralized records. PhonePe’s merchant page names PhonePe POS and describes acceptance from major UPI apps. A terminal can also reduce dependence on a single employee’s phone and provide a clearer operational handoff between shifts.
| Factor | QR only | Soundbox | POS terminal |
|---|---|---|---|
| Up-front complexity | Low | Medium | Highest |
| Confirmation method | Merchant checks app or bank | Audio plus app records | Screen, receipt and provider records |
| Best environment | Quiet, low-volume counter | Busy counter with one or two operators | Queues, shifts, multiple operators or payment types |
| Costs to verify | Printing or display holder | Device, charging, connectivity and any recurring plan | Device rental or purchase, connectivity, maintenance and any recurring plan |
| Main failure mode | Missed manual confirmation | Flat battery, muted audio or network loss | Hardware, software or network outage at the checkout |
Hardware is not automatically an upgrade. A low-volume trader should start with a QR and add a soundbox only when missed confirmations or queue time become measurable problems. Add a POS when the records and throughput justify its additional cost and maintenance.
Option 3: A payment gateway for online or omnichannel sales
An online seller needs more than a counter QR. A gateway connects the checkout to the order system and can offer UPI alongside cards, debit cards, net banking, EMI and wallets. Paytm’s cited All-In-One Payment Gateway page lists those methods and states that gateway integration has no fee on the displayed plan; treat that as a plan-specific statement, not proof that every service or transaction is free.

Gateway selection checklist
- Confirm supported UPI flows, cards, wallets, net banking and international or domestic restrictions relevant to your customers.
- Check settlement frequency, cut-off times, reserve policies and the bank account destination.
- Require reliable webhooks or server notifications so an order is not marked paid solely because a customer returned to the website.
- Review refund, partial-refund, cancellation and chargeback workflows.
- Check downloadable reconciliation files, transaction identifiers and how gateway records match your accounting system.
- Evaluate fraud controls, retry behavior and what the customer sees when a payment is pending or declined.
- Read the complete plan, including setup, monthly, refund, settlement and support charges.
Are UPI payments free for merchants?
There is no single answer for every merchant. Fees vary by P2PM eligibility, provider, payment instrument, transaction amount, merchant category and effective date. Keep the category and date beside any fee statement in your internal pricing sheet.
| Rule or guidance | Scope stated by the source | Practical interpretation |
|---|---|---|
| 15 September 2026 PIB release | No transaction fee, platform fee or other charge may be imposed on individuals for sending or receiving money through UPI. Eligible P2PM small merchants receiving up to ₹1 lakh per month through UPI QR continue to receive zero MDR | Check that your business qualifies as P2PM, stays within the monthly threshold and uses the covered QR channel |
| Google offline-merchant guidance effective 15 October 2026 | A small processing fee or MDR plus 18% GST applies to certain UPI receipts above ₹2,000; merchants must not pass the MDR to customers, and payments above ₹2,000 may be declined on the specified QR | Identify the exact QR, merchant category and transaction type covered before assuming a charge or decline applies |
| Provider-specific account condition | Google Pay for Business says an individual account can receive up to ₹50,000 per month with BHIM UPI without fees, while a bank may charge after that | Treat this as that provider’s condition, not a nationwide exemption |
Ask the acquirer for a written schedule showing MDR, GST treatment, transaction limits, settlement charges and what happens when a payment is reversed. Recheck these terms immediately before publication or onboarding because policy pages and effective dates can change.
How to confirm that a customer really paid
- Read the confirmation on the merchant app, soundbox or POS. Match the amount and, where shown, the transaction reference.
- Open the transaction history rather than relying on a banner or a customer’s phone screen.
- For high-value orders, verify the credit in the linked bank account or settlement ledger.
- Do not release goods when the status is pending, failed, reversed or absent. Ask the customer to wait for a final result or use another method.
- Record the reference number with the order or invoice so staff can resolve later disputes.
Common misleading signals
- A screenshot can be altered and does not prove that the merchant account was credited.
- A customer’s “successful” animation may refer to a debit attempt that later reverses.
- An SMS can be delayed, spoofed or sent to the wrong phone. Use the merchant system as the primary confirmation.
- A soundbox announcement should be checked against the displayed amount when the counter is noisy or several payments arrive together.
Reconciliation and staff controls
Even a free QR creates accounting work. Set one daily routine: export or review the provider’s transaction list, match references to invoices, identify pending or reversed entries and compare the total with the bank statement. Keep separate records for cash, UPI, cards and gateway payments so that a deposit is not counted twice.

Pick the symptom - the matching free tool is one click away.
Minimum controls for a small team
- Display only the current QR and remove old or damaged codes.
- Restrict merchant-app access to named staff; do not share the owner’s banking PIN.
- Train every cashier to distinguish success, pending, failure and reversal.
- Set a handover process for open transactions at shift change.
- Save the provider’s complaint or dispute channel and the bank account details used for settlement.
- Review unusual refunds, duplicate references and repeated failed attempts.
Troubleshooting payment failures
The customer says the payment succeeded, but the merchant sees nothing
Keep the order on hold. Check the merchant transaction history and bank account, confirm the reference and wait for the provider’s stated pending window. If the status remains absent, raise a dispute with the acquirer using the reference, amount, date and payer details; do not create a second manual refund before the first transaction is resolved.

- Run your business all in one place with the free Square Point of Sale app. Track your sales, manage inventory, accept tips, send receipts digitally, and more.
- Works with Apple devices with a Lightning connector.
The QR does not scan
Remove glare, clean the display, increase its size and test from more than one customer phone. If several apps fail, regenerate the QR through the merchant provider and replace every printed copy. A damaged or altered code should be treated as compromised.
The soundbox or POS is offline
Check power, battery, network signal and volume. Use the merchant app or bank account as the confirmation source while the device reconnects. Do not assume that silence means failure or that a customer’s screenshot means success.
Settlement does not match the day’s sales
Separate timing differences, refunds, reversals, fees and transactions routed to another bank account. Match references line by line, then contact the acquiring provider with the reconciliation file and settlement date.

- Week one: onboard one acquiring-bank or merchant-app QR, complete a test payment and document the confirmation process.
- After opening: track missed confirmations, queue delays, failed scans and reconciliation time for several trading days.
- If confirmation is the bottleneck: add a soundbox and train staff on its success, pending and reversal messages.
- If throughput or records are the bottleneck: compare POS terminals on operator controls, receipts, connectivity, support and total cost.
- If sales are online: evaluate a gateway separately for integration, settlement, refunds, webhooks, fraud controls and all payment methods.
- Every month: review limits, MDR, GST, settlement timing, user access and the current provider terms.
Questions to ask an acquiring provider
- Is this a standard interoperable UPI QR, and which major apps can pay it?
- Which bank account receives funds, and what is the normal and exceptional settlement timing?
- What KYC documents, merchant category and transaction limits apply?
- Does the quoted fee include MDR, GST, rental, setup, refunds, settlement and support charges?
- How are pending, failed, reversed and disputed payments shown to staff?
- Can I export transaction history in a format my accountant can use?
- What happens during a network outage, device failure or lost phone?
Bottom line for most small businesses
Start with one interoperable merchant QR linked to the account you reconcile, display it clearly and verify every payment in the merchant system. Move to a soundbox when hands-free confirmation prevents missed sales; move to a POS when staff, queues and records require dedicated hardware. Use a gateway for online or omnichannel checkout. Treat “free” as a dated, category-specific claim, and verify the acquirer’s current MDR, limits, KYC and settlement terms before relying on it.
