There is no single best cloud storage service for every multi-user team. Google Workspace is the strongest fit when your staff already works in Google’s document suite and needs organization-pooled storage. Microsoft 365 is usually better for Microsoft-centric teams that need personal work areas in OneDrive plus shared ownership in SharePoint. Dropbox suits teams that prioritize dedicated team folders, large-file transfer and straightforward administration. Box is worth closer evaluation when external collaboration, business controls and Microsoft 365 or Google Workspace integrations are central.

Choose by usable team capacity and ownership model—not by the largest per-user number in an advertisement. Confirm the current plan, seat count, storage rules, guest policy, upload limits and price immediately before purchase because provider pages change quotas, promotions and feature bundles.

At a glance: the leading multi-user plans

The table uses published provider information available in 2026. “Pooled” means the organization draws from a shared allowance; “per user” means each licensed account receives an individual quota, although tenant-level limits may still apply.

Provider Published storage model and examples Seat or user limits Collaboration and administration cues Best-fit starting point
Google Workspace Organization-pooled storage: Business Starter 30 GB per user, Business Standard 2 TB per user, Business Plus and Enterprise Plus 5 TB per user. Business Starter, Standard and Plus: maximum 300 users. Enterprise: no stated minimum or maximum. Integrated Google apps and shared storage; confirm the exact Drive sharing, administrator and feature limits for the selected edition. Teams already creating and co-editing in Google Docs, Sheets and Slides that want a common quota.
Microsoft 365 (OneDrive and SharePoint) Business Basic, Standard and Premium: 1 TB per user in OneDrive. E3 and E5: 1 TB per user, with an increase to 5 TB possible. Tenant pooled limits apply. Seat rules and tenant capacity depend on the selected Microsoft 365 subscription and organization configuration. OneDrive is intended for an individual’s work files; SharePoint team sites provide shared ownership, content management, communications and intranet capabilities. External OneDrive collaboration can use Microsoft Entra B2B guest authentication. Microsoft-centric organizations that need both personal workspaces and team-owned locations.
Dropbox for teams Standard: 2,000 GB shared team storage. Advanced starts at 15 TB per team, described as 5 TB per utilized license with a three-license minimum. Enterprise storage is customized. Advanced’s published starting quota assumes at least three utilized licenses; confirm the exact seat configuration for other plans. Team folders, managed sharing, groups and roles, tiered administration, recovery, password protection and transfer capabilities are listed on the business pages. Teams wanting a dedicated team-folder workflow, large-file sharing and familiar administration.
Box Starter: 100 GB. Business tiers describe unlimited storage, with details varying by tier. Starter supports up to 10 users. Check seat minimums and collaborator rules for business tiers. Shared folders and links, two-factor authentication, Microsoft 365 and Google Workspace integrations, signatures and plan-dependent external-collaboration and administrative controls. Organizations managing business content with external parties and multiple productivity-suite integrations.

These are not like-for-like totals. A pooled allowance, an individual OneDrive quota and a Dropbox formula based on utilized licenses produce different usable capacities even when the headline numbers look similar.

Why storage allocation matters more than the headline quota

Pooled storage

With a pooled model, all licensed users draw from one organization allowance. That is efficient when usage varies: a designer can consume more space while a light user consumes less, without manually reassigning quotas. It also creates a governance obligation: one department’s archive can reduce capacity for everyone else, so monitor growth and reserve space for shared projects.

Per-user storage

Per-user allocation is predictable for personal work areas, but unused capacity may sit on accounts that do not need it. Microsoft’s published guidance also distinguishes an individual OneDrive space from shared team content in SharePoint. Treat the per-user number as a personal-work quota, not automatically as the team’s shared repository.

Utilized-license formulas and minimum seats

Some plans tie team capacity to active or utilized licenses and impose a minimum seat count. Calculate the capacity at your actual licensed headcount, then model what happens when contractors leave, new users join or a license is suspended. A plan that appears inexpensive for three users can have a very different effective cost for a 25-person team.

Google Workspace: best for a Google-first collaboration model

Google Workspace’s defining advantage for multi-user storage is organization pooling combined with native Docs, Sheets, Slides and Drive workflows. Files can remain in shared locations rather than being stranded in one employee’s personal account, and the same identity system governs access to the productivity suite.

The pricing page shows limited-period promotional pricing. Treat those figures as introductory unless the page explicitly labels them as recurring, and verify the renewal rate, billing term and any annual commitment before approving a purchase: Google Workspace plan details.

Where it fits

  • Teams that already co-edit Google documents and want storage managed in the same environment.
  • Organizations whose users have uneven storage needs and benefit from a shared quota.
  • Companies that can operate within the published 300-user ceiling on Business editions.

Questions to verify

  • Which Drive sharing, shared-drive, retention and administrator controls are included in the exact edition.
  • Whether the organization’s projected file growth leaves enough pooled headroom.
  • How external collaborators are authenticated and removed when a project ends.

Microsoft 365: combine OneDrive for personal work with SharePoint for team ownership

Microsoft’s own service description makes an important distinction: OneDrive is designed for an individual’s work files, while SharePoint team sites are intended for shared ownership, regular collaboration, communications and more advanced content management. A practical Microsoft deployment therefore uses both rather than treating OneDrive as the team drive.

Business plans publish a per-user OneDrive quota, while enterprise plans can increase the stated allowance under the documented conditions. Microsoft also notes tenant pooled limits, so administrators must check organization-level capacity rather than multiplying the per-user figure without qualification.

For external OneDrive collaboration, Microsoft documents Microsoft Entra B2B guest authentication. Decide whether guests should access a single file, a folder or a controlled SharePoint site, and set an expiry or review process for temporary access.

Where it fits

  • Teams already using Microsoft 365 identity, Office applications, Teams and SharePoint.
  • Organizations that need a clear separation between personal drafts and team-owned records.
  • Businesses requiring site-based permissions, intranet publishing or structured document libraries.

Administrative strengths

  • Groups and roles can reduce one-off permission assignments.
  • Tiered administration lets different staff handle routine tasks without giving everyone full control.
  • Recovery, password protection and transfer features can support incident response and large-file exchange, but availability is plan-dependent.

The business feature list is available on Dropbox for teams. Check every feature against the plan and seat count you are actually buying.

Box: business-content controls and external collaboration

Box combines shared folders and links with integrations for Microsoft 365 and Google Workspace. That makes it useful when your organization collaborates with customers, agencies or suppliers who use different office suites. E-signatures, two-factor authentication and administrative controls are also listed, with exact availability varying by tier.

Starter is a small-team option with a stated storage allowance and user ceiling. Business tiers describe unlimited storage, but do not assume that “unlimited” removes every operational constraint: verify upload caps, collaborator charges, retention features, seat minimums and contract terms on the specific offer.

Review the current matrix at Box plans and pricing before calculating a budget or inviting external collaborators.

Collaboration features to compare beyond storage

Decision area What to check Why it changes the choice
Ownership Can a team, shared drive, SharePoint site or team folder own files independently of an employee? Shared ownership prevents an employee’s departure from taking essential project files with them.
Co-editing Which office formats open in the browser, and are simultaneous edits and version history included? Native editing reduces downloaded copies and merge conflicts.
External sharing Guest identity, link restrictions, passwords, expiration, download controls and audit visibility. Client collaboration is safer when access is limited to the intended people and duration.
Roles and administration Groups, delegated administrators, policy scopes and centralized reporting. Granular administration avoids both permission sprawl and excessive privilege.
Recovery Deleted-file recovery, version history, ransomware response and the retention period on your plan. Recovery is different from backup; verify the window before relying on it for compliance.
Integrations Office-suite connectors, identity provider support, signatures and line-of-business applications. The right integration can remove manual downloads and duplicate repositories.
Transfer and upload limits Maximum single-file size, transfer allowance and browser or sync-client restrictions. A plan can have ample storage yet fail a video, dataset or design-file workflow.
Support and migration Import tools, administrator support, implementation partners and exit options. Migration effort and future portability affect the real cost more than the subscription alone.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

How to choose a plan for your actual team

  1. Inventory people and work. Count employees, contractors, guests and service accounts separately. List active projects, archives, media files and regulated records.
  2. Map ownership. Mark each category as personal draft, team-owned working file, published record or external-share package. Put team-owned material in a shared location from day one.
  3. Estimate capacity and growth. Measure current data, add at least one year of expected growth and reserve space for versions, deleted files and migrations. Apply the provider’s allocation rule rather than multiplying a marketing number blindly.
  4. Choose the ecosystem first. If most work happens in Google apps, start with Google Workspace. If identity and Office collaboration are already Microsoft-based, design around SharePoint plus OneDrive. Consider Dropbox or Box when their folder, transfer or external-collaboration model solves a specific gap.
  5. Design guest access. Decide who may invite guests, whether links expire, whether downloads are allowed and how access is reviewed. Use named guests for sensitive work instead of unrestricted public links.
  6. Pilot with representative data. Test a shared project, a large file, simultaneous editing, a departing-user scenario and an external collaborator. Record upload speed, conflict behavior and recovery steps in your own environment rather than assuming a provider feature works identically everywhere.
  7. Calculate the real bill. Price the actual number of seats, billing term, minimum licenses, guest charges, storage overages, support and migration assistance. Separate introductory promotions from the renewal rate.
  8. Document operating rules. Publish naming, folder, sharing, retention and offboarding rules before migration. Assign an owner for each team space and a second administrator for continuity.

Migration and day-to-day operating practices

Start with ownership, not synchronization

Move authoritative team files into shared locations first. Leave personal drafts in individual areas until they are ready for publication, then copy or move the final version into the team-owned space. This avoids building a second unofficial archive inside a departing employee’s account.

Use groups and roles

Create groups for departments, projects and recurring partner types. Grant access to groups instead of individual accounts wherever possible, and review membership when a project closes. Keep administrator roles limited to people who need them.

Control external access

Prefer named guests and least-privilege folder access for client work. Set expiration or review dates, prohibit resharing when the plan supports that control, and remove access immediately after delivery. Keep a record of who owns each external collaboration.

Plan recovery separately from backup

Version history and deleted-file recovery help with accidental changes, but they may not satisfy a long-term backup or legal-retention requirement. Confirm the retention period, export process and recovery scope for the selected plan, then maintain an independent backup when business continuity requires one.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Monitor capacity and inactive accounts

Review storage growth, large files, duplicate archives and inactive licenses monthly. In pooled plans, identify the departments driving consumption. In per-user or utilized-license plans, reclaim unused accounts only after transferring ownership and confirming that retention obligations are met.

Common mistakes and how to correct them

  • Using a personal folder as the company archive: move shared records to a team-owned drive, site or folder and assign more than one administrator.
  • Comparing only per-seat storage: calculate the usable team total under pooling, minimum seats and tenant limits.
  • Assuming every tier includes every feature: verify sharing, recovery, audit, transfer and integration controls on the exact plan.
  • Ignoring guests in the budget: check collaborator charges, identity requirements and external-sharing limits before inviting customers.
  • Relying on a promotional price: record the renewal rate and billing commitment separately from any limited-period offer.
  • Migrating without a rollback plan: preserve the source until permissions, file counts, versions and critical workflows have been validated.
  • Treating sync as backup: keep a separate recovery strategy for deletion, corruption, account compromise and provider outage scenarios.

Which option fits common team scenarios?

A 12-person design studio already using Google Docs

Begin with Google Workspace because pooled Drive storage and native document co-editing minimize context switching. Validate the pooled capacity against large media files and decide whether finished client work needs a separate archive.

A Microsoft 365 company with departmental sites

Use SharePoint team sites for shared ownership and OneDrive for individual drafts. Establish site owners, guest rules and lifecycle policies before moving departmental folders.

A distributed agency exchanging large project packages

Evaluate Dropbox’s team-folder, transfer, role and recovery features against the exact plan and utilized-license count. Test the largest real package and the client’s download experience during the pilot.

A consultancy working with many outside organizations

Evaluate Box’s external-collaboration controls, integrations and administrative model. Confirm collaborator charges, upload caps and the controls included in the selected business tier.

Bottom line: choose the ownership model, then the provider

For most teams, the decisive question is where the organization owns its files and how safely employees, guests and administrators can work on them. Google Workspace leads for Google-first pooled collaboration; Microsoft 365 leads when SharePoint and OneDrive must coexist; Dropbox is compelling for a dedicated team-folder and transfer workflow; Box deserves attention for cross-organization content controls and integrations. Validate quotas, seat rules, renewal pricing and plan-specific features immediately before signing, then pilot the workflow with real files and guests.
