For most applicants, the best choice is a reverse-chronological, single-column resume with standard section headings, clear dates, conventional bullet points, and keywords tailored to the specific job posting. This format gives recruiters an easy-to-follow career timeline and gives applicant-tracking systems (ATS) text they can usually parse in the expected order.
Use a combination resume when transferable skills, a career change, or a non-linear background needs more emphasis than job titles alone provide. Use a functional resume only for a specific reason, because minimizing dates and employers can make your experience harder for both parsers and recruiters to verify.
What “ATS-friendly” actually means
An applicant-tracking system is software employers use to collect, rank, sort, and review resumes before a recruiter reads them. The University of Texas at Austin describes ATS software in those terms. It does not evaluate a document the way a person does: it extracts text, identifies likely sections, associates dates and employers, and searches for qualifications related to the vacancy.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →An ATS-friendly resume therefore has two jobs:
- Present a logical, readable record for a human reviewer.
- Expose the same information as ordinary, selectable text in an order the software can identify.
“Standing out” does not require an elaborate design. A clear hierarchy, specific accomplishments, and accurate job-related terminology are more useful than graphics, color blocks, or unusual layouts. Roche Careers makes the same practical point: an ATS-compatible resume also helps when no ATS is involved because it is easier for people to scan.

The three resume formats and when to use each
CareerOneStop identifies three basic styles: chronological, functional, and combination. The names describe what receives the most visual and informational emphasis.
Reverse-chronological resume: the default choice
A reverse-chronological resume lists your most recent role first and works backward. Each position normally includes the employer, job title, location, dates, and accomplishment bullets. This is the strongest option when you have a reasonably continuous record and are pursuing work related to your recent experience.
- Best for: steady progression, a conventional career path, and applications where recent experience is the main qualification.
- Strength: the timeline is immediately clear, so a recruiter can see recency, promotions, and tenure.
- Risk: a gap, career change, or unrelated recent job is visible and may need context.
The U.S. Department of Labor describes chronological resumes as date-ordered with the current job first and notes that the appropriate format depends on the work performed and whether you plan to remain in the same field.

Combination resume: skills first, chronology retained
A combination resume opens with a professional summary and a focused skills or areas-of-expertise section, then provides a detailed reverse-chronological work history. It lets you lead with capabilities that transfer across industries without hiding where and when you used them.
- Best for: career changers, people returning after an absence, applicants with project-based or varied work, and professionals whose strongest evidence is spread across several roles.
- Strength: balances keyword visibility and transferable-skill framing with a verifiable timeline.
- Risk: a long skills inventory can become repetitive if the same claims are not demonstrated in the experience bullets.
The Department of Labor calls combination resumes the most comprehensive overview because they organize by skills while retaining a work history. The National Technical Assistance Center (NTAC) recommends chronological or combination formats for most applicants because both show a clear timeline.
Functional resume: a special-case format
A functional resume groups accomplishments under skills categories and gives relatively little detail about employers and dates. It can foreground what you can do when job titles do not represent your capability, but it also removes the chronology many employers expect.
- Potential use: a deliberate strategy for a very limited history or a situation in which skills evidence is substantially more relevant than conventional employment history.
- Main drawback: recruiters may wonder where, when, and at what level the claimed skills were used.
- ATS drawback: missing or scattered chronology can be misinterpreted, omitted, or rejected by screening software.
CareerOneStop warns that limited work-history detail can be misinterpreted by ATS. NTAC likewise says functional resumes downplay the timeline but may not work well with screening software. Unless you have a compelling, explainable reason, a combination format usually preserves the benefits of skills emphasis with less risk.

Format comparison at a glance
| Criterion | Reverse-chronological | Combination | Functional |
|---|---|---|---|
| Work-timeline clarity | Strongest; dates and employers are central | Strong; detailed history follows the skills section | Weakest; chronology is minimized |
| Foregrounding transferable skills | Moderate; skills appear in summary and bullets | Strong; skills section leads while evidence remains tied to jobs | Strongest; categories dominate the page |
| Risk of ATS misordering or omission | Lowest when simply formatted | Low when dates and employers are explicit | Highest because context and dates may be scattered |
| Best fit | Same-field progression and stable history | Career change, varied experience, or gaps needing context | Only a carefully justified special case |
Build an ATS-safe layout without making it bland
Use one readable column
CareerOneStop says ATS systems commonly scan from left to right and recommends a simple, single-column layout. Avoid tables, text boxes, sidebars, multiple columns, logos, images, charts, and decorative graphics. A human may see a polished visual arrangement; a parser may read columns across the page, merge unrelated lines, or skip content entirely. Roche gives the same warning about columns, boxes, logos, graphics, and images.
Use ordinary text, generous but not excessive spacing, and a consistent hierarchy. A professional, readable font is more valuable than a novelty typeface. Keep section headings visually distinct with size or bolding, not with images or text embedded in shapes.
Put contact information in the document body
Place your name, phone number, email address, city and state or region, and any relevant professional link in the main body at the top of page one. Do not put essential contact details in a header or footer; some ATS parsers ignore those areas. NTAC specifically advises keeping contact information in the body.
Use standard section headings
Choose labels a parser is likely to recognize:
- Professional Summary
- Work Experience
- Education
- Skills
- Certifications
- Projects
- Volunteer Experience
“Work History” can be understood, but “Work Experience” is a safer conventional label. Do not rename sections with clever terms that obscure their purpose.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Make dates and bullets consistent
Use one date style throughout, such as May 2022–Present or 05/2022–Present. Do not alternate between month names, numerals, seasons, and vague phrases such as “recently.” Show a start and end month for each role when possible. Use ordinary round or square bullets, and begin accomplishment statements with clear action verbs.
Write bullets as evidence rather than duty lists. A useful pattern is action + work performed + measurable or observable result: “Automated monthly reconciliation in Excel, cutting manual review from two days to four hours.” Use a number only when it is accurate and explain what it measures.
Tailor every resume to the vacancy
Extract the employer’s actual language
The University of Texas at Austin recommends reading each description for repeated or prominent keywords, then incorporating matching terms accurately. The Department of Labor similarly advises studying the announcement, emphasizing matching qualifications, and describing results in understandable language.

- Copy the job description into a working document. Mark required qualifications, preferred qualifications, tools, certifications, job titles, and recurring verbs.
- Group related terms. For example, “customer relationship management,” “CRM,” and a named platform may refer to one capability; use the wording that truthfully matches your experience.
- Map evidence to each important term. Add the term to a summary, skills line, or experience bullet only where you can support it.
- Prioritize the top third of page one. Put the most relevant summary statement and skills near the top so both a parser and a fast human scan encounter them early.
- Save a new version for the application. Keep a master resume, then create a tailored file with a clear filename such as
Jordan-Lee-Project-Manager-Resume.docx.
Do not paste the posting into a keyword block or claim tools you have not used. Keyword stuffing can make the document awkward and gives a recruiter no credible evidence behind the terms.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteShow the same keyword in context
A skills section can help an ATS find “budget forecasting,” but an experience bullet demonstrates proficiency: “Built quarterly budget forecasts for a $1.2 million program and explained variances to directors.” Use the exact term once where it naturally belongs, then prove it through outcomes. This approach improves human credibility without sacrificing searchability.
DOCX or PDF? Let the employer’s instruction decide
Follow the application portal or job announcement exactly. Guidance differs because parsing behavior varies by system:
| Situation | Practical choice | Reason and limitation |
|---|---|---|
| The employer specifies a file type | Use that type | The instruction controls; a different format may be rejected before parsing. |
| No format is specified and ATS parsing is the main concern | DOCX is a safe default | Roche says DOCX is parsed more accurately in its guidance; NTAC also treats DOCX as a safe default when no type is named. |
| No format is specified and preserving visible layout matters | Text-based PDF can be appropriate | CareerOneStop recommends PDF when no other format is specified because it preserves formatting. |
| Scanned or image-only PDF | Do not use | It contains a picture rather than selectable text and may produce little or no usable extraction. |
These are not universal guarantees for every vendor. Test that you can select and copy the text in a PDF before submitting it, and inspect the copied text for scrambled columns, missing symbols, or incorrect date order.
Length: one to two pages, with a federal exception
Private-sector applications
CareerOneStop recommends one to two pages for ordinary private-sector resumes and says to use two pages only when the amount of experience requires it. Do not shrink the font or margins until the page is unreadable. Remove old, irrelevant detail before removing white space that helps a reader navigate.
For a second page to earn its place, it should contain relevant accomplishments, specialized tools, certifications, projects, or leadership evidence—not duplicate bullets or a long list of early jobs that no longer support the target role.
Federal applications
Federal resumes follow different expectations. The Department of Labor says they may be longer than average and should not be cut merely to fit one or two pages. Depending on the announcement, you may need the announcement number, job title and grade, detailed education, citizenship or hiring-authority information when applicable, and comprehensive relevant work, volunteer, academic, and extracurricular experience. Read the specific announcement and provide every required field.

What the available evidence says—and what it does not
NTAC reports that only 11% of 99 resumes from blind and low-vision job seekers were rated acceptable for content, language, layout, and style. The toolkit also reports that ATS software read about 88% of content correctly in chronological and combination resumes, compared with 55% in functional resumes, citing Antonelli, K. Cmar, J. L., and Dabbs, S. M. (2025).
Those figures are study-specific findings from resumes of blind and low-vision job seekers. They are not a universal pass-rate score for every ATS vendor, industry, disability group, or applicant population. No broader industry-wide ATS pass-rate statistic is established here. Use the findings as support for preserving clear chronology and plain structure, not as a promise that any format guarantees an interview.

A practical build process
- Start with a plain document. Set one column, normal paragraph text, and readable margins. Do not begin with a design template that relies on tables or text boxes.
- Add identity and contact details. Put them in the body at the top, followed by a targeted professional summary.
- Select the format. Choose reverse chronology for a stable related history; choose combination when skills or a career change need prominence; choose functional only with a specific rationale.
- Write the experience section. For every relevant role, show employer, title, location, and consistent dates, followed by accomplishment bullets.
- Add education, skills, and credentials. Use standard headings and list tools or certifications that match the vacancy.
- Tailor terminology. Compare the draft with the posting, add accurate matching terms, and remove unsupported claims.
- Check extraction. Save in the requested format, copy all text into a plain-text editor, and verify that headings, dates, bullets, and contact details remain in the correct order.
- Proofread for a human. Correct grammar, inconsistent punctuation, unexplained abbreviations, and bullets that state duties without outcomes.
Common failure modes and fixes
The parser scrambles columns or loses content
Cause: a two-column template, sidebar, table, text box, image, or header/footer contains important information.
Fix: rebuild the document as one column with body text, standard headings, and ordinary bullets. Move contact details out of headers and footers.
The resume has keywords but no credible evidence
Cause: a skills block repeats the posting without showing where you applied the skill.
Fix: retain a concise Skills section, then demonstrate each important capability in an experience, project, volunteer, or education bullet with a result.
The document is attractive but unreadable after upload
Cause: a graphic template, unusual font, icons, or a scanned PDF converted visual information into missing or garbled text.
Best Value

- HD Display: Connect to the HDMI port to stream or mirror content to an external monitor in resolutions of up to 4K@30Hz. Note: The USB-C ports do not support video output.
- What You Get: Anker 332 USB-C Hub (5-in-1), welcome guide, our worry-free 18-month warranty, and friendly customer service.
Fix: use editable text, a conventional font, and the employer’s requested file type. Open the uploaded preview when the portal provides one.
A functional resume raises questions about dates
Cause: employers cannot quickly tell where a skill was developed or whether recent experience is relevant.
Fix: switch to a combination format, add a complete role-by-role timeline, and explain a career break briefly in a neutral line if context is useful.
The resume is too long
Cause: every job has equal detail, old roles contain obsolete tools, or bullets repeat the summary.
Fix: keep detail for the target role and recent work, consolidate early positions, remove generic duties, and preserve only evidence that supports the vacancy. Do not apply this private-sector limit to a federal announcement that requests comprehensive information.
Final decision checklist
- Is the resume reverse-chronological unless a documented reason supports combination or functional structure?
- Can a reader identify every employer, title, start date, and end date without searching?
- Are the layout and headings single-column, conventional, and text-based?
- Are contact details in the body rather than a header or footer?
- Do the summary, skills, and accomplishment bullets use accurate terms from this specific posting?
- Does each important skill have evidence somewhere in the document?
- Did you follow the employer’s DOCX or PDF instruction?
- Can you select, copy, and read the entire file in the correct order?
- Is the length appropriate for the application, with the federal exception handled according to the announcement?
The Bottom Line
Choose a reverse-chronological, single-column resume for the ordinary case. Choose combination format when transferable skills or a career change need prominence without sacrificing a detailed timeline. Keep the document plain, tailor it to each posting, and submit the requested text-based file format.
