Run multiple VPS mail servers as one controlled system, not as unrelated senders. Give every sending IP a provider-managed PTR that resolves forward to the same address, authenticate each domain with SPF, DKIM and DMARC, enforce Postfix relay restrictions, require TLS for authenticated submission, and coordinate queues and rate limits across the fleet. Use direct delivery only when you can maintain reputation and port-25 access on every node; otherwise send applications through a centralized smart host or managed relay.

For a self-managed mail node, Antihost VPS provides full root access on AMD Ryzen 9 9950X3D with NVMe storage in the USA East, Netherlands and Ukraine; verify port-25 policy and configure matching PTR and forward DNS before sending.

What a multi-VPS SMTP deployment must solve

Several VPS instances can provide redundancy, geographic placement or separate traffic streams, but each public IP becomes part of your sending identity. Recipient systems evaluate the hostname, reverse DNS, authentication, TLS behavior, complaint history and traffic pattern of every address. A configuration that works on one server can therefore fail when copied to ten servers without central policy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Think of the fleet as three layers:

  • Identity: hostnames, PTR records, forward DNS, HELO/EHLO names, certificates and envelope domains.
  • Authorization: which applications, users, networks and destinations may submit or relay mail.
  • Flow control: queues, retries, destination concurrency, connection rates and fleet-wide traffic allocation.

Keep those layers in a single source of truth. Store Postfix templates, DNS records, DKIM selector ownership, relay permissions and alert thresholds in version-controlled configuration. A node should be replaceable without changing the policy that governs the rest of the fleet.

Choose direct delivery or a central relay

There are two sound topologies. In direct delivery, each VPS connects to recipient MX servers on port 25. In a relay topology, applications submit to a smart host or managed relay, which performs the Internet delivery. Postfix can use a relay host and fallback relays, while a connector-based relay can authenticate with a static public IP or a certificate.

Decision factor Direct delivery from each VPS Central smart host or managed relay
Port-25 access Every provider and node must permit outbound SMTP. Only the relay’s egress needs suitable access; applications can use submission.
IP reputation You must warm, monitor and protect every sending IP. Reputation management is concentrated at the relay, subject to its policies and limits.
Policy management DNS, TLS, rate controls and abuse response must be kept identical on every VPS. Outbound policy and failover are centralized, reducing configuration drift.
Failure isolation A compromised node can be removed while other nodes continue, if identities and traffic are partitioned. The relay is a dependency; an outage can affect all applications unless a backup path exists.
Operational cost No relay fee, but more engineering, monitoring and reputation work per node. Provider charges and limits apply, in exchange for simpler egress operations.

Use direct delivery when

  • Every VPS has a stable public address and provider-controlled PTR records.
  • Outbound port 25 is allowed and you can investigate blocks or throttling.
  • You can warm IPs gradually, enforce abuse controls and monitor recipient feedback.
  • You need ownership of the complete delivery path and accept the operational burden.

Use a relay when

  • Your VPS provider blocks port 25 or makes reverse DNS changes difficult.
  • New or shared IP ranges have weak reputation and you do not want to establish it on each node.
  • Centralized failover, policy, logging or compliance controls matter more than avoiding a relay dependency.
  • Applications are numerous and inconsistent, making one hardened submission endpoint safer.

For a connector-based relay, document whether authentication uses a certificate or a static, unshared public IP, which port is used, and whether TLS is required. Microsoft’s documented pattern uses a connector on port 25 with those authentication choices; verify the receiving service’s current requirements before deployment.

Establish a consistent identity on every VPS

Assign one stable hostname per sending IP

Choose a fully qualified hostname for each node, such as smtp-01.example.net. Set the VPS provider’s reverse-DNS/PTR value to that name, then publish an A record (and an AAAA record if IPv6 is used) that resolves back to the same public address. Google’s sender requirements explicitly call for this forward-and-reverse pairing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not use a hostname that changes when a server is replaced unless you update PTR, forward DNS, HELO/EHLO and certificates together. Keep IPv6 disabled for SMTP until it has equivalent PTR, firewall, reputation and monitoring coverage; an unintended AAAA path can bypass controls applied only to IPv4.

Align SMTP names

Set Postfix myhostname to the node’s public name and use that name in the outbound HELO/EHLO string. The PTR result, forward DNS result, HELO name and certificate name should tell the same story. Inconsistent names do not automatically cause rejection, but they make authentication, troubleshooting and reputation analysis harder.

Maintain an inventory

Record, for each VPS, its provider, public IPv4 and IPv6 addresses, PTR value, forward records, certificate expiry, DKIM selectors, permitted envelope domains, traffic stream and owner. Include a status field for quarantine. When an address is blocked or compromised, you should be able to stop only its traffic without accidentally moving another domain onto the same identity.

Publish SPF, DKIM and DMARC correctly

SPF: one authoritative policy per domain

Publish one SPF TXT policy for each envelope domain. It must authorize every legitimate source: all direct-delivery VPS addresses, a relay’s include mechanism when applicable, and any other approved sender. Multiple SPF records are an error, and forgetting one node causes intermittent failures that appear only when traffic is routed there. Keep the policy narrow; do not authorize an entire provider range merely because one address is used.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

DKIM: sign by domain and selector

Sign outbound mail with a private key held on the sending MTA or trusted relay. Use a distinct selector for each domain or controlled key-ownership group so keys can be rotated independently. Publish each selector’s public key in DNS before sending with it. During rotation, leave the old selector published until mail signed with the previous key has cleared all queues and retry windows, then remove it.

Protect private keys with file permissions and secret-management controls. A VPS that is rebuilt from an image must not receive a stale key simply because it shares a filesystem snapshot with another node.

DMARC: observe before enforcing

Start DMARC with aggregate reporting so you can see which source IPs and third parties are sending for the domain. Compare report sources with your authorized fleet and investigate unknown addresses. Confirm that either SPF or DKIM is aligned with the visible From domain, not merely that a message passed authentication for an unrelated domain.

Prevent open relays with explicit Postfix authorization

Postfix’s restrictive relay model allows forwarding only for trusted networks, SASL-authenticated clients or explicitly authorized relay destinations. Apply the same rule on every node and keep relay authorization separate from spam and content policy.

Connection type Permit Do not permit
Application submission Authenticated users on the submission service, normally port 587, after TLS. Unauthenticated Internet clients.
Internal service network Only networks that are actually private, firewalled and identity-controlled. Broad provider ranges or “internal” addresses exposed to the Internet.
Node-to-node relay Specific fleet addresses or mutually authenticated hosts, with documented destinations. Any source that can forge an internal address.
Inbound Internet mail Mail for domains this server is responsible for. Arbitrary external recipients.

Review effective settings on each installation rather than trusting a template:

postconf myhostname mydestination relayhost smtpd_relay_restrictions smtpd_recipient_restrictions

Parameter names and defaults differ by Postfix version and distribution. Test from an untrusted network that a client cannot relay to an outside recipient, then test an authorized submission and an inbound message for a hosted domain. Repeat after upgrades.

Separate submission from server-to-server SMTP

Expose authenticated application submission on port 587 where supported. Keep Internet-to-Internet delivery on port 25. This separation lets you require authentication and TLS for applications without imposing those requirements on every recipient MX, where interoperability still matters.

Use TLS without breaking delivery

Transport Layer Security provides certificate-based authentication and encrypted sessions. Obtain a valid certificate for every public SMTP name used by clients or peers, install the complete chain, and monitor expiry. A certificate for smtp-01.example.net does not automatically validate mail.example.net.

Inbound and submission policy

  • Require TLS before allowing AUTH on port 587; never send reusable credentials over an unencrypted session.
  • Use hostname verification when a client or relay is configured for strict TLS.
  • Test certificate renewal on a staging node and alert well before expiry.

Outbound policy

Opportunistic TLS is the interoperability default: Postfix advertises and uses TLS when the destination supports it, but can deliver when it does not. Enforce TLS only for destinations with a verified policy or a business requirement. Strict certificate or hostname checks cause Postfix to defer delivery when validation fails, so document the expected certificate name and recovery contact for each enforced destination.

Design queues, retries and rate limits for a fleet

Every node needs durable queues and retry behavior. Monitor queue age, deferred reasons and the number of messages awaiting delivery; a rising queue can indicate DNS failure, recipient throttling, a certificate problem or an abuse event.

Control destination concurrency

Set destination-aware concurrency rather than allowing one recipient domain to consume all connections. Postfix documents transport_destination_concurrency_limit for limiting simultaneous deliveries by transport and destination. Choose conservative values, then adjust from observed 4xx responses and queue age.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Control client and connection rates

Limit concurrent connections per client and apply connection-rate controls to submission endpoints. These controls absorb a runaway application or stolen credential, but Postfix warns that using abuse controls to regulate legitimate traffic can create severe delays. Put normal throughput limits in the application or queueing layer; reserve emergency throttles for protection.

Coordinate limits across nodes

Local safety is not fleet safety. Ten VPS servers each sending at a locally acceptable rate can still produce a harmful aggregate burst against one recipient domain. Assign a global budget by destination or traffic stream, then divide it among active nodes. When a node is paused, redistribute only after checking the recipient’s response codes and your reputation signals.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Partition traffic so one incident stays contained

Separate transactional, bulk, password-reset and internal notification streams when their volume or complaint risk differs. Give each stream explicit envelope identities, DKIM selectors and ownership. Mapping a stream to a predictable set of VPS addresses makes DMARC reports and bounce analysis actionable.

Keep failover from silently changing authentication. A replacement node must have the correct DKIM key access, SPF authorization, certificate, PTR and queue policy before it receives production traffic. If you cannot meet those prerequisites, route the stream through the central relay rather than sending with an unprepared IP.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Centralize monitoring and alerts

Collect logs from every Postfix instance in one system and retain enough context to trace a message by queue ID, envelope sender, recipient domain and node. At minimum, monitor:

  • Queue depth, oldest-message age and deferred-delivery reasons.
  • Per-domain 4xx and 5xx responses, including repeated throttling or policy rejects.
  • TLS negotiation failures, certificate expiry and hostname-validation errors.
  • AUTH failures, sudden submission-volume changes and new source addresses.
  • DNS lookup failures, PTR mismatches and provider errors indicating blocked port 25.
  • DMARC aggregate-report source IPs compared with the authorized fleet.

Set alerts on changes, not only absolute values: a sudden increase in AUTH failures, a new country of submission, a queue that ages faster than normal, or a recipient-specific spike in 4xx responses often precedes a block. Microsoft recommends using device or application SMTP logs when diagnosing relay failures; preserve those logs alongside MTA logs so an application timeout can be distinguished from a remote rejection.

Use a repeatable rollout procedure

  1. Inventory providers and addresses. Confirm static public IPs, IPv6 status, firewall rules and each provider’s port-25 policy.
  2. Set identity DNS. Configure provider PTR, matching A/AAAA records and the hostname used for HELO and certificates. Verify with dig -x ADDRESS and dig A HOSTNAME (plus dig AAAA HOSTNAME when applicable).
  3. Create the source of truth. Version Postfix templates, relay permissions, DNS data, DKIM selector ownership, rate budgets and alert thresholds.
  4. Install certificates and keys. Validate the full certificate chain, protect DKIM private keys and schedule expiry alerts.
  5. Publish authentication. Add one SPF record, DKIM selector records and a DMARC reporting policy for each sending domain.
  6. Harden relay behavior. Allow only authenticated submission, protected internal networks or explicitly permitted destinations. Confirm that an unauthenticated external client cannot relay.
  7. Configure queues and limits. Set durable queues, retries, destination concurrency, client connection limits and emergency rate controls.
  8. Start with a small traffic slice. Test representative recipient domains, both IPv4 and IPv6 paths if enabled, and verify SPF, DKIM, DMARC alignment and TLS.
  9. Review feedback. Inspect bounces, complaints, 4xx deferrals, queue age and DMARC reports before increasing the node’s allocation.
  10. Document rollback. Keep a switch that removes one VPS from DNS authorization or traffic assignment and drains its queue through a clean relay or approved node.

Troubleshoot by symptom

Messages are rejected immediately

  • Check the sending IP’s PTR and confirm that the PTR hostname resolves back to the same address.
  • Compare the HELO name and certificate name with forward DNS.
  • Inspect SPF and DKIM results and verify DMARC alignment with the visible From domain.
  • Check whether the provider blocks port 25 or whether the recipient is rejecting the IP’s reputation.

Messages remain deferred

  • Read the exact 4xx reason and identify the recipient domain; do not respond to all domains with a global rate increase.
  • Check queue age, destination concurrency and connection-rate settings.
  • Validate DNS lookups, TLS negotiation and certificate hostname checks.
  • If strict TLS is required and validation fails, correct the certificate or policy before retrying.

An application cannot submit

  • Confirm it uses the submission hostname and port 587, with TLS established before AUTH.
  • Check credentials, AUTH failure logs and whether the client’s source address is allowed.
  • Use the application’s SMTP log together with Postfix logs to distinguish authentication, firewall and remote-relay errors.

DMARC reports show an unknown source

  • Match the source IP against every VPS, relay and legitimate third-party sender.
  • If it is legitimate, add it through the correct SPF or DKIM path and document ownership.
  • If it is not legitimate, revoke credentials, investigate the originating system and tighten DMARC only after authorized traffic is accounted for.

Respond when one VPS is abused

  1. Remove the node from application submission and outbound traffic immediately; do not wait for a blocklist listing.
  2. Revoke its SMTP credentials and preserve Postfix, application, authentication and firewall logs.
  3. Determine whether DKIM private keys or other secrets were exposed. Rotate affected keys and publish replacement selectors while retaining old selectors until legitimate queued mail clears.
  4. Drain or requeue legitimate messages through a clean relay or approved node, keeping destination rate budgets intact.
  5. Inspect DMARC reports, bounce codes and complaint signals for impact on other addresses in the fleet.
  6. Rebuild or patch the VPS, close the entry point, and reintroduce it only after PTR, DNS, TLS, relay restrictions and monitoring pass the same pre-production tests.

Keep identities and traffic streams partitioned so this procedure can quarantine one address without invalidating every domain or forcing an emergency DNS redesign.

Operational rules that prevent recurring problems

  • Never treat an address as trusted merely because it is in a provider’s “internal” range; trust only networks protected by your own controls.
  • Never copy a VPS image containing production DKIM keys or SMTP credentials without a deliberate secret-rotation step.
  • Never increase all nodes’ rates to compensate for one recipient’s throttling; tune the affected destination and inspect aggregate fleet volume.
  • Never enable IPv6 delivery as an afterthought; provide equivalent PTR, forward DNS, firewall, TLS and reputation coverage first.
  • Never enforce strict outbound TLS for a destination until its certificate name and policy are verified and an operational owner is known.
  • Validate the exact installed Postfix version, distribution defaults, DNS propagation and provider policies before production rollout; parameter behavior and recipient requirements evolve.
