LibreOffice and ONLYOFFICE Desktop Editors are the strongest first trials for most individual desktop users. LibreOffice is a broad, established OpenDocument-based suite with Microsoft-format import and export. ONLYOFFICE is a cross-platform desktop editor designed around common Microsoft formats and can work offline, although some features require online services. Collabora Office is a documented alternative, especially where Collabora already fits your environment. Apache OpenOffice remains an option, but its own documentation warns that Microsoft-format compatibility is not total and that newer OOXML save behavior is version-sensitive.
There is no evidence-based universal compatibility winner. Before moving a working document library, test representative files in the exact workflows your people use: complex layouts, formulas, charts, embedded objects, fonts, tracked changes, and macros. File-extension support is only a starting point; successful round-tripping is what determines whether a suite is safe for your documents.

- Keep Apache OpenOffice on the list only after a file pilot if you specifically want its Writer, Calc, Impress, Draw, Base, and Math applications. Its documentation explicitly cautions that compatibility is incomplete, and its statements about newer Office Open XML files depend on the release.
The practical decision is not “which suite opens a DOCX?” All four document families can open at least some Microsoft formats. The decision is whether the files still look and behave correctly after editing, saving, closing, and reopening in the applications used by you and your collaborators.

What switching from Microsoft Office really involves
Format support is not format fidelity
A program can recognize a file extension while still changing a page break, formula, chart, field, comment, tracked change, font substitution, embedded object, or macro. Microsoft Support explains the limitation directly: “Not all applications can read all file formats; and in some cases, an application may only be able to read parts of the file.” Treat every compatibility list as a list of possible entry points, not a guarantee that a document will round-trip intact.
Round-tripping means opening a file, making a controlled edit, saving it, closing it, reopening the saved file, and checking the result. If a file is shared with Microsoft Office users, open the saved output there as well when that software is available. A file that looks correct in the replacement suite can still expose a difference when a collaborator opens it elsewhere.
Choose a shared working format
LibreOffice and Collabora support OpenDocument and Microsoft formats. ONLYOFFICE documents support for formats including DOCX, ODT, XLSX, ODS, CSV, PPTX, and ODP. Microsoft identifies Office Open XML as the default format in supported Office versions, while also warning that feature differences can appear when using OpenDocument formats. Agree on a default with collaborators instead of assuming that every format is interchangeable for every feature.

Word processing, spreadsheets, and presentations are only part of an office suite. If your work depends on a database, diagrams, mathematical notation, forms, PDF editing, mail merges, templates, or macros, include those workflows in the pilot. A suite that handles ordinary letters well may not replace a specialized process without redesign.

The table describes documented capabilities, not independent test scores. No neutral, current suite-by-suite test of complex DOCX, XLSX, and PPTX fidelity establishes a universal winner.
LibreOffice: the broad first trial
Why it belongs on your shortlist
LibreOffice describes OpenDocument as its native format and can open and save Microsoft Office formats, including Office Open XML. That combination suits a person who wants an open standard for files they control while still exchanging documents with Microsoft Office users.
Its suite is broader than Writer, Calc, and Impress. Depending on the workflow, Draw, Base, and Math can cover diagrams, databases, and mathematical notation that may otherwise require separate applications. Do not assume feature parity with a particular Microsoft application; put each important task into the pilot.

Folder conversion and its limitation
LibreOffice help documents a Document Converter Wizard that converts files in a folder to OpenDocument. Treat this as a repeatable workflow tool, not an automatic quality guarantee. Preserve the originals, convert copies, and inspect high-value results individually. The described workflow says to change only ordinary document contents and not edit macros, so macro-dependent files need a separate plan and manual validation.
License and operating considerations
LibreOffice is free software under the Mozilla Public License 2.0. Its license information notes that other included components can carry different open-source licenses depending on the version. If your organization has a licensing policy, review the exact release and included components rather than treating the suite as having one license for every file it ships.
Who should test it first
- Individuals who want a mature desktop suite and are willing to make OpenDocument the working format.
- Teams that need Writer, Calc, and Impress plus optional database, drawing, or math tools.
- Organizations that want a documented folder-conversion workflow but can validate complex files and macros separately.
ONLYOFFICE Desktop Editors: a Microsoft-format-centered alternative
What the desktop editors provide
ONLYOFFICE documents its Desktop Editors as open source under AGPL v3, cross-platform, and usable without a constant internet connection. The documented format list includes DOCX, ODT, XLSX, ODS, CSV, PPTX, and ODP. The product page describes document, spreadsheet, presentation, form, and PDF tools.
The vendor product page claims high compatibility with Microsoft formats. That is a vendor statement, not an independent benchmark, so verify the exact documents that matter to you. The same page advertises “400+” spreadsheet functions and formulas; this is a product-page feature claim, not evidence that the functions match Microsoft Excel in every edge case or that performance is superior.
Offline does not mean every feature is local
Desktop editing can be performed offline on Windows, Linux, and macOS, but the documentation says some features are available only online. Identify those features before committing to an offline-only policy. A team may be able to edit a document locally yet still need a connection for a particular collaboration, service integration, or advanced function.
Who should test it first
- People whose exchange files are primarily DOCX, XLSX, and PPTX and who want a desktop workflow organized around those formats.
- Users who need offline editing across Windows, Linux, and macOS.
- Teams that can accept online dependencies for selected features after documenting which ones are affected.
Collabora Office: a LibreOffice-derived option
Collabora’s help documentation says Collabora Office can open and save Word, Excel, and PowerPoint files, including Office Open XML. It also describes a wizard for converting a folder of Microsoft files into OpenDocument and identifies Collabora Office as derived from LibreOffice.
Those facts make it a legitimate candidate when your environment already uses Collabora products or when its deployment model fits your organization. They do not remove the need for a representative-file pilot. Test the same layouts, formulas, charts, embedded objects, fonts, comments, tracked changes, and macros you would test in any other suite.

Apache OpenOffice: usable, but read its compatibility warnings
What is included
Apache OpenOffice’s migration documentation emphasizes Writer, Calc, Impress, Draw, Base, and Math. That gives it a recognizable full-suite shape for users who need more than a word processor and spreadsheet.
Why version checking matters
Apache’s file-format guidance says the described version reads newer Office Open XML formats such as DOCX and XLSX. Its FAQ says Microsoft files can generally be read and saved, but that newer OOXML files cannot be saved in that documented version. Those statements are version-sensitive; check the exact release you plan to deploy and test both opening and saving.
Apache’s FAQ states: “Nevertheless, the compatibility is not total.” Treat that as an operational warning. If a document is business-critical, do not rely on opening alone. Save a test copy, reopen it, and inspect it in the application your collaborators use.
When it may fit
- You specifically need its Writer, Calc, Impress, Draw, Base, or Math components.
- Your files are simple enough to pass a round-trip pilot.
- You can standardize templates and fonts and accept more manual checking for newer Microsoft formats.
How to run a representative-file migration pilot
Do this before converting a shared drive or telling everyone to change formats. The pilot should use copies, preserve originals, and exercise the real collaboration path.
- Inventory the library. List the document types and identify high-risk examples: elaborate page layouts, templates, complex spreadsheets, charts, embedded objects, external links, comments, tracked changes, forms, and macros. Record who opens and edits each file and which applications they use.
- Keep untouched originals. Make a separate test copy for every suite under consideration. Do not use the only production copy for conversion or format experiments.
- Open and edit in the candidate suite. Make controlled changes that reflect normal work: edit text, recalculate a spreadsheet, update a chart, change a slide, add a comment, or accept and reject a tracked change. Avoid changing several variables at once, because you need to know which operation exposed a problem.
- Save in the intended exchange format. Use the format your collaborators are expected to receive. If you plan to standardize on OpenDocument, also test the Microsoft-format export needed by outside recipients.
- Close and reopen. Reopen the saved file in the same suite. Check page breaks, headers and footers, fields, formula results, chart labels, object placement, comments, tracked changes, fonts, and print or PDF output.
- Cross-open with Microsoft Office when available. Have a Microsoft Office user open the saved output and repeat the inspection. Record differences instead of relying on visual memory.
- Exercise macros separately. Confirm whether each macro runs, whether it is blocked, and whether the workflow can be replaced. Do not assume that a file opening successfully means its macro logic survived.
- Document failures and decisions. For each file, record the candidate suite, source format, saved format, visible changes, formula or macro issues, and the action required. A simple pass/fail list is less useful than a list of acceptable differences and blockers.
- Convert only after approval. Once the pilot passes, convert a controlled batch. LibreOffice and Collabora document folder-conversion wizards; use them on copies and manually review high-value files.
Set a format policy before deployment
OpenDocument as the working format
OpenDocument can be a sensible default when your organization controls the editing environment and wants an open standard. State which extensions are expected for text, spreadsheets, and presentations, and specify how files will be exported for Microsoft Office recipients.

Microsoft formats as the exchange format
Keeping DOCX, XLSX, or PPTX as the exchange format may reduce friction when most collaborators use Microsoft Office. It also makes compatibility testing more important because the replacement suite is not the only application that will save the file. Define who owns the final export and which application performs the final quality check.
Fonts and templates
Apache’s migration guidance recommends standardizing fonts and templates and identifying collaboration needs before deployment. Apply that advice regardless of suite choice. A missing font can change line wrapping and page count even when the document format itself is supported. Store approved templates in a shared location and test them in every application that will edit the resulting files.

Macros, advanced spreadsheets, and embedded content
Macros
Macros are a separate compatibility project. Identify the language, security policy, referenced files, and business process for each macro-enabled document. Open, save, close, and reopen a test copy, then run the workflow with safe sample data. If the macro does not work, decide whether to retain a Microsoft Office workstation for that process, rewrite the automation, or redesign the task before migration.
Complex formulas and charts
Do not check only whether a spreadsheet opens. Compare calculated values, named ranges, date handling, error values, pivot or summary outputs, chart series, axis labels, and print areas. Recalculate after reopening and compare important results with a known-good copy.
Embedded and linked objects
Inspect images, diagrams, embedded spreadsheets, OLE-style objects, external links, fields, and media. Verify that objects remain editable when they need to be and that links still point to the intended locations. A static visual match may hide a broken dependency.

For a personal desktop, installation and file testing may be the whole project. For an organization, compare deployment controls, update practices, training, support response, and migration ownership alongside editor features.
ONLYOFFICE describes Enterprise assistance that includes technical support, deployment guidance, training, and migration topics such as macros, legacy formats, and fonts. This is a vendor service description, not independent evidence that a migration will succeed. Ask for the support scope, response expectations, supported versions, and the boundaries between product support and custom conversion work.
LibreOffice, Collabora Office, and Apache OpenOffice require the same operational questions: how releases are packaged, who maintains templates and fonts, how users report file differences, and which team approves a format change. Include license review in the deployment checklist. LibreOffice’s license page identifies MPL 2.0 for the suite while noting that included software can have different licenses by version; ONLYOFFICE documents AGPL v3 for its Desktop Editors.

Common failure modes and fixes
The document opens but the layout shifts
Check fonts first, then page size, margins, line spacing, section breaks, headers, footers, and anchored objects. Install the approved fonts where licensing permits, standardize templates, and rerun the round-trip test.

Formulas show different results
Compare the formula text, referenced ranges, named ranges, date and locale settings, and recalculation state. Save a test copy in the agreed exchange format and verify the result in the collaborator’s application before migrating the production file.
A macro disappears or stops running
Separate document compatibility from automation compatibility. Preserve the original, review macro security settings, identify unsupported language or object-model calls, and choose between rewriting the automation and keeping a supported Microsoft Office workflow for that process.
A newer DOCX or XLSX cannot be saved correctly
Check the exact suite release and its documented format limits. This is particularly important with Apache OpenOffice, whose documentation makes version-specific statements about reading newer OOXML files and saving them. Test an export to the format your recipient actually needs rather than assuming that a successful open guarantees a successful save.

For ONLYOFFICE Desktop Editors, identify which required features are online-only and plan a connected workflow or a local alternative. Do not promise an entirely offline process until every required feature has been tested without a network connection.

Choose the suite that passes your representative-file pilot with the fewest unacceptable changes and the clearest support plan. If no candidate passes, the correct outcome is a partial migration: move low-risk documents first and keep a compatible workflow for the files that still depend on Microsoft-specific features.
Bottom line
Start with LibreOffice and ONLYOFFICE Desktop Editors, then evaluate Collabora Office or Apache OpenOffice against the same real documents. Make the format policy explicit, standardize fonts and templates, preserve originals, and test saved files in the applications your collaborators use. Compatibility claims can narrow the shortlist; only a controlled round-trip pilot can show whether switching is safe for your work.
