The fastest Mac workflows usually come from combining a few built-in tools: use keyboard shortcuts for routine commands, Spotlight to find and act on information, and window controls to keep the right apps visible. Start with the tips below; none requires a paid app or Apple Intelligence.
Which keyboard shortcuts are worth learning first?
Apple describes keyboard shortcuts as a way to perform tasks more quickly. These common combinations are a useful starting point:
| Shortcut | Action |
|---|---|
| Command-C | Copy the selected item |
| Command-V | Paste |
| Command-Z | Undo |
| Command-F | Find text or an item in the current app |
| Command-S | Save |
| Command-Q | Quit the current app |
These commands are common, but shortcuts can vary by app, language, and keyboard layout. If a combination does not work, check the app’s menus for the command and its listed shortcut, or use Apple’s macOS keyboard-shortcut guide. On-screen keyboard options such as Keyboard Viewer can help when keys differ from the layout you expect. An external keyboard is optional; these tips work with a Mac’s built-in keyboard too.

How can Spotlight do more than open apps?
Press Command-Space to open Spotlight, then search for an app, file, or other item. Depending on the result and your macOS version, you may be able to preview it, reveal its location, or use a Quick Action without first opening the item. Spotlight can also calculate, convert units, look up words, and search clipboard history where that feature is available. Apple’s Spotlight guide describes the available actions.
#1 Best Overall
Try entering a calculation or a unit conversion directly in the search field. For a file, select the result and look for a preview or action relevant to that result. The options are contextual: they depend on what you search for and select, and may differ across software versions.
Can Spotlight run a shortcut?
Yes. Spotlight can launch shortcuts already available in the Shortcuts app, including built-in shortcuts and ones you have added. Apple’s examples include starting a timer, creating a note, composing a message or email, and making a new event.

- 💻 ❌ Not for MacBook Neo or 11", 12" macbooks (see our "universal" version - it is smaller). Fit is perfect for any MacBooks Air and Pro, iMacs, and Mac Minis—regardless of CPU type or macOS version.
- 💻 Master Mac Shortcuts Instantly – Learn and use essential Mac commands without searching online. This sticker keeps the most important keyboard shortcuts visible on your device, making it easy to boost your skills and speed up everyday tasks. ⚠️ Note: The “⇧” symbol stands for the Shift key.
- 💻 Perfect for Beginners and Power Users – Whether you're new to Mac or a seasoned user, this tool helps you work faster, learn smarter, and avoid frustration. Ideal for students, professionals, creatives, and seniors alike.
- 💻 New adhesive – stronger hold. It may leave a light residue when removed, but this wipes off easily with a soft cloth and warm, soapy water. Fewer air bubbles – for the smoothest finish, don’t peel off the entire backing at once. Instead, fold back a small section, line it up, and press gradually as you peel more. The “peel-and-stick-all-at-once” method does NOT work for stickers like ours.
- 💻 Made in the USA – Trusted Quality – Designed, printed, and packaged in the USA. Backed by responsive customer support and a satisfaction guarantee.
- Open Spotlight with Command-Space.
- Type the name of the shortcut you want to run.
- Select the matching shortcut and press Return, or choose it from the results.
If a shortcut does not appear, confirm that it is available in the Shortcuts app and try its exact name. See Apple’s instructions for running a shortcut from Spotlight.

Choose based on how you want to see your apps: one focused app, multiple apps at once, or separate groups of work. macOS offers several approaches rather than one universally best arrangement.
| If you prefer… | Try… | What it does |
|---|---|---|
| One app filling the display | Full-screen view | Gives one app the main workspace, useful when you want fewer visible distractions. |
| Two apps visible together | Split View | Places two app windows side by side. |
| One main app with other windows close at hand | Stage Manager | Keeps one app in front while other open apps appear to the side. |
| Several windows visible or quickly selectable | Mission Control | Shows open windows and desktop spaces so you can move among them. |
| Different groups of apps for different tasks | Desktop spaces | Lets you keep work in separate desktops and switch between them. |
| Two or more windows arranged without using Split View | Window tiling | Arranges windows on the screen; available controls can vary by macOS version. |
To find the relevant controls, check the green window button and the Window menu; exact menu wording and options can vary by macOS version and app. Apple’s window-management guide covers these tools. If one method feels cumbersome, try another: the practical choice depends on whether you value focus, side-by-side comparison, or separate workspaces.
How do you make Finder and the desktop easier to scan?
Group desktop files with Stacks
Stacks can group desktop files so they are easier to scan instead of sitting as a scattered collection. Use the desktop’s View menu to find the Stacks option; the precise menu labels may vary by macOS version.
Keep frequently used folders in Favorites
Drag a frequently used folder into the Finder sidebar’s Favorites area. This gives you a direct route to it from Finder windows. If the sidebar is hidden, show it from Finder’s View menu.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsShow a file’s location with the Path Bar
In Finder, choose View > Show Path Bar if that command is available in your version. The Path Bar displays where the selected file sits in the folder hierarchy, which can help when similarly named files appear in different locations.

- 50+ SHORTCUTS ON ONE SHEET: The decal groups the commands people actually reach for, so you scan it instead of stopping to search for how to screenshot or force quit in the middle of a task. Glance at the sheet, find the keys, keep working.
- MADE TO LIFT OFF CLEANLY: The adhesive is built to release when you want it off, so the aluminum deck keeps the finish it came with and you are not scraping leftover glue off with a fingernail. Swap the decal or sell the MacBook without the mess.
- CUT FOR 13-16 INCH MACBOOK PRO AND AIR: The decals are sized for 13, 14, 15 and 16 inch MacBook Pro and Air bodies, from the M1 chip through M5, and the printed commands follow the US keyboard layout. Check the size of your machine before ordering.
- TWO DECALS, WATERPROOF VINYL: Each pack holds two sheets, so one goes on the MacBook you use now and one stays as a spare or goes on a second machine. The vinyl handles coffee, hand lotion and daily palm rest contact. Peel, line up, press down.
How do you capture a screenshot or screen recording?
Press Command-Shift-5 to open the screenshot controls. From there, choose the available option for capturing the entire screen, a window, or a selected portion; the controls also include screen-recording options. Apple lists this shortcut in its iMac tips guide. The controls you see can depend on your macOS version.
When are Continuity features useful?
Continuity connects compatible Apple devices for tasks such as AirDrop, calls and texts, Universal Clipboard, and marking up files with an iPhone or iPad. For many of these features, Apple says both devices need Wi-Fi and Bluetooth enabled and must be within 30 feet (10 meters). That distance is Apple’s stated requirement in its iMac tips guide; check the setup and compatibility requirements for the specific feature and devices you plan to use.
For example, Universal Clipboard can be useful when you want to copy on one device and paste on another. AirDrop is suited to sending a file between nearby devices. The steps and requirements are not identical across Continuity features, so use Apple’s instructions for the particular feature rather than assuming one setup enables them all.

What should you try first?
- Learn the copy, paste, undo, find, save, and quit shortcuts you use most.
- Use Spotlight for a file search, calculation, or shortcut—not only for opening apps.
- Pick a window arrangement based on whether you need focus, side-by-side apps, or separate workspaces.
- Use Finder Favorites and the Path Bar to reduce time spent navigating folders.
- Check compatibility and setup before relying on Continuity between devices.
Apple’s support guides cited here currently reference macOS 27 in their versioned pages. Features and labels can change; language, region, device, app, and keyboard layout can also affect availability and instructions. The workflows above do not depend on Apple Intelligence.
