What the calendar does
The calendar shows planned and published content. Dragging an item to another date changes its planned publication date, which is faster than opening every post and editing the schedule field. Filters let you narrow the board by post status, category, user, or post type. Turn recurring quality checks into checklists
Reusable checklists are useful when every post needs the same final checks: a complete headline, a reviewed introduction, working internal links, and a confirmed publication time. Keep the checklist short enough to be completed on every article. Social features need a careful tier check

5. CoSchedule: a hosted alternative, not a native dashboard plugin
CoSchedule should be evaluated separately because the calendar is hosted outside WordPress. Its documentation says you connect a WordPress site through a plugin, with the post title, publish date/time, and status synchronized. The same documentation states that WordPress integration is available on every plan, including the free plan.
When an external calendar helps
A hosted calendar is useful when your team already plans email, social, or other marketing work in one cross-channel workspace. WordPress remains the publishing source, while the synchronized fields let the external calendar show what is scheduled and what state it is in.
Trade-offs to weigh
- You must manage a separate service account, permissions, and connection to the site.
- The synchronized fields are defined by the integration; do not assume that every WordPress metadata field appears in the hosted calendar.
- “Available on the free plan” describes the integration, not unlimited access to every hosted planning feature.
- Teams that insist on working only in wp-admin should choose a native plugin instead.

Common problems and practical fixes
The calendar looks empty
First check the active filters, selected post type, date range, and user scope. A calendar filtered to one author or category can appear empty even when posts exist. Clear filters, include drafts, and verify that the post has a future date rather than an unpublished draft with no schedule.
Dragging a post does not produce the expected date
Confirm that you have permission to edit the post and that the item is eligible for scheduling. Refresh the page and inspect the post’s own publish date. If the calendar and editor disagree, treat the editor’s saved value as the field to verify before announcing a change.

The team cannot agree on what a status means
Write a one-line definition for every status and assign a single owner to each transition. Avoid creating a separate status for every minor task; use a checklist or note for details that do not change ownership.
Social sharing did not happen
