Short answer: The Xerox C320 is the best fit for most shared school workrooms because it combines 33 pages per minute, a 250-sheet tray, automatic duplexing and strong color output. Choose the Canon Color imageCLASS MF753Cdw when teachers need built-in scanning and copying, the Brother HL-EX470W for a larger secured workgroup, or the Xerox VersaLink C7000 when tabloid pages and broad device compatibility are required.
Which color laser printer is best for a school?
There is no single winner for every classroom. A teacher printing occasional lesson plans has a different need from a district office producing hundreds of duplex handouts, and neither has the same requirements as a school that scans signed forms or prints tabloid newsletters. The best choice depends on four questions: how much you print, whether you need scanning and copying, which paper sizes you use, and how tightly the device must be controlled on a shared network.
For a typical shared workroom, the Xerox C320 is the strongest all-around starting point. TechRadar’s 2025 listing gives it a rated speed of 33 pages per minute, a 250-sheet paper tray, automatic two-sided printing and strong color output. High-yield cartridges are available, which can reduce the frequency of toner changes, although actual cartridge yields and replacement prices should be checked for your region before purchase.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteThe Canon Color imageCLASS MF753Cdw is the practical alternative when a printer must also scan and copy. TechRadar lists 35 pages per minute for monochrome printing, a 250-sheet main tray plus a 50-sheet input, A4 support, and print, scan and copy functions. Its 35-page figure is a monochrome rating; do not treat it as a guaranteed color speed.

Choose by the work your school actually does
For daily worksheets, rubrics and handouts
Start with the Xerox C320. A 33-page-per-minute rating is appropriate for a shared device that must clear batches quickly, and automatic duplexing lets staff put two-sided worksheets, reading packets and forms on fewer sheets. The 250-sheet tray is large enough for a normal workroom load without making the printer excessively bulky. Before ordering, estimate the number of pages your busiest teacher prints in one session; a rated speed does not eliminate waiting while a device warms up, processes a complex color page or pauses for an empty tray.
For teachers who scan student work or copy originals
Choose the Canon Color imageCLASS MF753Cdw. A multifunction printer avoids a separate scanner and supports a workflow in which a teacher copies a signed permission form, scans a student project or prints a revised lesson plan from the same station. The 250-sheet capacity plus a 50-sheet input gives you two sources, which can be assigned to different stocks such as plain paper and letterhead. Confirm the exact feeder and scan features in the regional specification sheet if staff will process large stacks, because the supplied listing establishes print, scan and copy functions but does not state feeder capacity or scan speed.
For a shared office with different paper formats and stricter controls
Consider the Brother HL-EX470W when several departments share one printer and administrators need advanced security. Support for letter, legal, executive, A4, A5, A6, B5, B6 and folio media covers common school forms, certificates and small-format notices without requiring separate printers for every size. Brother describes it as an enterprise-level device for a mid- to large-sized workgroup and includes wireless color printing. Because a speed rating and consumable figures are not stated in the available product information, obtain those numbers and a service quote before comparing it with the other three models.

For newsletters, charts and other tabloid pages
Select the Xerox VersaLink C7000 if the school genuinely prints 11-by-17-inch-class tabloid material. Xerox lists color tabloid printing, so it can handle layouts that would need tiling or reduction on a letter-only printer. Its AirPrint, Chromebook Printing, Mopria and Wi-Fi Direct support also helps schools where staff and students bring a mixture of Apple devices, Chromebooks, Android devices and laptops. The listed color first-page-out time of as fast as 7.6 seconds is useful for short jobs, but it is not a promise that a long, image-heavy newsletter will finish in 7.6 seconds.
How to match capacity and speed to classroom volume
Estimate pages instead of guessing from a duty cycle
Make a four-week count of pages produced by each shared location. Include worksheets, substitute-teacher packets, tests, newsletters, office forms and copies made for meetings. Separate black-only pages from color pages; color documents consume toner differently and may process more slowly. Add a buffer for enrollment changes and the start of a term, when printing usually spikes.
- Light classroom use: A teacher prints a few short batches each week. Ease of setup, duplexing and reliable mobile printing matter more than the highest rated speed.
- Department or workroom use: Several teachers print every day. Prioritize a tray that does not need constant refilling, a documented service plan and a speed rating that matches the largest batch.
- School or district use: Many users share the device. Look for authentication, administrator controls, secure release options where available, local support and a documented consumables supply chain.
Pages per minute is a laboratory-style rating for a defined test condition, not a measure of every classroom job. A printer may take longer when it wakes from sleep, renders photos, changes paper size, encrypts a job or waits for a user to confirm a specialty stock. Use the published number to compare models in the same class, then allow time for setup and finishing in your schedule.
Paper handling and duplexing decisions
Tray capacity
The C320’s 250-sheet tray and the MF753Cdw’s 250-sheet main capacity are useful baselines for a shared workroom. The Canon’s additional 50-sheet input can hold a second stock or a short run without removing the main stack. A larger capacity is valuable only if the school buys the supported paper and staff can load it correctly; overfilling a tray or mixing sizes increases misfeeds.
Two-sided printing
Automatic duplexing is one of the most practical school features. It cuts paper use for multi-page handouts, reduces the size of student packets and makes forms easier to manage. Set duplex as the default for routine documents, but create a clear exception for pages that must remain single-sided, such as forms with tear-off sections or media that cannot safely pass through a duplex path. Test the short-edge and long-edge binding choices with an actual worksheet before rolling out a default.

Specialty and larger media
Do not assume that a color laser printer accepts every stock sold at an office-supply store. Check the regional manual for weight, coated-paper, envelope and label restrictions. The Brother’s published list covers many standard sizes, while the VersaLink C7000 is the model in this group explicitly identified for color tabloid work. If a school uses certificates, cardstock or labels, test a small pack first and record the approved media setting for staff.
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Do you need an all-in-one printer?
An all-in-one model earns its space when scanning and copying are part of the daily workflow. It can centralize signed documents, student work and meeting packets, and it avoids the delays of walking to a separate copier. The MF753Cdw is the model in this shortlist with print, scan and copy functions explicitly listed.
A single-function printer can be preferable when the location only produces output, when scanning is handled by a secure centralized system, or when simplicity and lower maintenance are more important than consolidation. A multifunction device adds components that require cleaning, user training and access controls. Decide based on the tasks staff perform, not on the assumption that every school needs every function.
Connectivity for mixed-device classrooms
Chromebooks and mobile devices
Schools often have a mixture of managed Chromebooks, iPads, Android phones and Windows or macOS computers. The VersaLink C7000’s listed Chromebook Printing, AirPrint, Mopria and Wi-Fi Direct support addresses several of those paths. Confirm that your district’s management system permits the selected protocol; a feature on the printer does not guarantee that a secured school network will advertise it.
Wireless versus wired deployment
Wireless printing is convenient for a classroom or a printer that moves between rooms. A shared workroom usually benefits from a managed wired connection when the network team needs predictable addressing, central monitoring and fewer radio-interference variables. If you use Wi-Fi Direct, define when it is allowed and how staff authenticate, because a direct connection can bypass normal network controls.

Driver and account management
Before purchase, test the operating systems and driver packages used by teachers and student devices. A printer that works from one laptop but requires manual drivers on every Chromebook will create support work. Create a standard queue name, publish a one-page installation guide and decide who can change paper or color defaults.
Security and privacy in a school environment
Student records, individualized education documents and administrative forms can be sensitive even when the page itself looks ordinary. Brother lists advanced security for the HL-EX470W, making it the most explicitly security-oriented option in this group. For any model, ask the vendor or reseller for the current security feature list rather than assuming that a consumer wireless setup is adequate.
- Place shared printers in supervised areas instead of unattended corridors when printed pages may contain student information.
- Use administrator credentials for configuration and change default passwords before connecting the device.
- Check whether stored jobs, address books and scan destinations can be protected or erased.
- Limit who can install firmware, alter network settings or enable direct wireless connections.
- Define a process for retrieving pages immediately and shredding misprints that contain personal information.
- Ask how long the manufacturer supplies firmware and whether updates can be applied during the school calendar without disrupting classes.
Authentication is especially important in a district environment. Canon’s K-12 materials describe workflows that include student assignments, lesson plans, newsletters, sensitive administrative documents, authentication and badges. Those examples illustrate why an education deployment may require identity-aware printing and reporting rather than an unmanaged printer shared by an open network.
Consumables, support and total cost
The purchase price is only one part of a school’s cost. Compare the price per usable color page, replacement frequency, service labor, shipping and the time staff spend replacing cartridges or clearing jams. The available specifications identify high-yield cartridges for the C320, but they do not establish cartridge page yields, regional prices or a recurring cost per page for any model. Obtain those figures in writing for the exact regional SKU.

| Cost question | Why it matters | What to request before approval |
|---|---|---|
| Black and color toner yield | Color worksheets can consume several cartridges at different rates. | Declared yields for the exact cartridge numbers, with the measurement standard identified. |
| Replacement pricing | A low purchase price can be offset by expensive consumables. | Current local prices for standard and high-yield cartridges, plus recycling or return terms. |
| Service response | A failed shared printer can delay assessments and office deadlines. | Warranty length, onsite versus depot service, response target and local technician coverage. |
| Availability | A cartridge that is frequently back-ordered is an operational risk. | Lead time and an approved backup source for toner and maintenance items. |
| Administrative time | Manual driver installs, frequent refills and confusing errors consume staff hours. | Deployment tools, monitoring options, training materials and a named support contact. |
For a district purchase, ask for a short sample calculation using your own monthly black-and-color page counts. Treat any promotional price as a one-time figure and record the date and region; do not use it as a permanent budget assumption.

Procurement checklist for teachers, principals and IT teams
- Document the workflow. List the rooms, users, page types, color percentage, paper sizes, scanning tasks and peak printing periods.
- Choose the device class. Select a single-function printer for output-only locations, a multifunction model where scanning and copying are routine, and a tabloid-capable model only where larger pages are genuinely required.
- Verify regional specifications. Confirm the exact model suffix, supported voltage, paper weights, duplex behavior, tray configuration and operating-system support.
- Get consumable numbers. Record black and color yields, cartridge prices, maintenance items, warranty terms and local service coverage.
- Run a practical test. Print a duplex worksheet, a color chart, a multi-page packet, an envelope or specialty stock if needed, and a scan or copy job for multifunction models.
- Test the network path. Print from the devices actually used in the school, including managed Chromebooks and mobile platforms. Verify that authentication and guest-network rules do not block the intended workflow.
- Plan placement. Provide ventilation, a stable surface, safe cable routing and enough clearance to load paper and replace toner without moving the device.
- Write the operating standard. Set duplex and color defaults, define who can change them, publish the approved paper list and explain how to report a fault.
- Stage a spare plan. Keep an approved backup location or loaner process for examination weeks and other periods when downtime is unacceptable.
Setup sequence after delivery
- Record the asset. Capture the serial number, exact model, firmware version, warranty date and the person responsible for the room.
- Install approved supplies. Remove shipping restraints, load the paper listed in the manual and set the tray size and type correctly.
- Update and secure. Apply the current firmware supplied by the manufacturer, change default administrator credentials and disable connection methods the school will not use.
- Join the intended network. Use the district’s standard wired or wireless process, assign a predictable queue name and confirm that only authorized users can print if the environment requires it.
- Configure defaults. Set duplex for routine documents, choose a conservative color policy and select the correct regional paper sizes.
- Validate each workflow. Print from a teacher laptop, a managed Chromebook and a mobile device when applicable; scan and copy a test page on the MF753Cdw; and test tabloid output on the C7000 if that is the reason for purchase.
- Publish a quick guide. Include loading instructions, how to select the correct tray, how to release a held job, and who to contact for errors.
Common problems and practical fixes
Jobs are slow even though the printer has a high ppm rating
Check whether the job is color, duplex, image-heavy or being sent over a congested wireless network. Verify that the driver is not forcing a high-quality photo mode for ordinary text. Compare a simple black text page with a color worksheet and note whether the delay occurs before printing, between pages or during finishing; that observation tells support whether to investigate rendering, connectivity or the printer engine.
Paper jams or pages curl
Confirm that the selected tray type matches the loaded stock and that the paper is within the device’s published size and weight limits. Fan and align a fresh stack, remove damaged sheets and avoid mixing media. If the school uses envelopes, labels or heavy stock, use the manual or multipurpose path specified for that model rather than forcing the material through a standard tray.
Colors do not match the screen
Screen displays and laser output use different color systems. First check that the correct driver, paper type and quality mode are selected. Print a known reference page, replace a depleted cartridge if the device reports one, and avoid judging color from a page printed on an unsupported or damp stock. For formal publications, establish one approved file-to-printer workflow instead of allowing every classroom to adjust color settings independently.
A Chromebook or phone cannot find the printer
Confirm that the device and printer are on an allowed network, that the protocol supported by the model is enabled, and that the district firewall does not block discovery. The VersaLink C7000 lists Chromebook Printing, AirPrint, Mopria and Wi-Fi Direct, but an administrator may intentionally restrict one or more of those paths. If discovery is disabled, deploy a managed queue or use the approved direct-print procedure rather than opening the printer to every network.
Confidential pages are left in the output tray
Move the printer to a supervised location, use authentication or secure-release features when available, and train staff to collect pages immediately. A written “do not leave student records” rule works only when the device’s placement and access controls support it.
How the education context changes the buying decision
Schools are not simply large home offices. Printing follows the academic calendar, involves many skill levels and often combines public classroom materials with private student and personnel records. HP’s education materials emphasize high-capacity LaserJet Enterprise multifunction equipment and school-oriented printing solutions. Canon’s K-12 materials describe assignments, lesson plans, newsletters, sensitive administrative documents, authentication and badges. Those examples support evaluating fleet management, privacy and serviceability alongside speed and color quality.
For a single classroom, keep the policy simple: a reliable queue, duplex by default, a clear paper list and a named person who can replace supplies. For a school-wide workroom, standardize models where possible so staff learn one interface and IT can stock fewer cartridge types. For a district, add centralized monitoring, identity controls, firmware policy and a service-level agreement to the procurement requirements.

Final recommendation by scenario
- Best general classroom and shared-workroom choice: Xerox C320. Its published 33 pages-per-minute speed, 250-sheet tray, duplexing and strong color output cover the most common school printing pattern.
- Best multifunction choice: Canon Color imageCLASS MF753Cdw. Choose it when print, scan and copy are all daily tasks and the 250-plus-50-sheet arrangement fits your paper workflow.
- Best larger secured workgroup choice: Brother HL-EX470W. Its advanced security, wireless color printing and broad published media support suit a shared departmental or district setting; obtain speed and cost figures before signing off.
- Best tabloid and mixed-device choice: Xerox VersaLink C7000. It is the right fit when color tabloid pages and support for AirPrint, Chromebook Printing, Mopria or Wi-Fi Direct are essential.
Whichever model you select, approve it with a real classroom packet, a duplex test, the devices your staff actually use and a written toner-and-service calculation. That process prevents a printer that looks impressive on a specification sheet from becoming an expensive bottleneck during the busiest week of the school year.
