Microsoft Copilot in Excel, ChatGPT for Excel, and Claude are the leading documented options, but there is no evidence-based universal winner. Copilot is the most directly suited to asking questions inside an Excel workbook, ChatGPT for Excel is designed to build, update, and explain complex workbooks from an Excel sidebar, and Claude is useful when you can upload data and want a new workbook or report to download. Your best choice depends on workbook structure, the task, account and administrator access, privacy rules, and how carefully you can verify the result.
Which AI tool should you choose?
Start with where you need the work to happen. If the workbook must remain open in Excel while you ask questions, inspect formulas, and make controlled changes, compare Microsoft Copilot in Excel with ChatGPT for Excel. If uploading a file and receiving a separately generated workbook is acceptable, Claude is another practical route.

Microsoft Copilot in Excel: best for in-workbook insights
Microsoft documents Copilot in Excel as an assistant that can answer questions about spreadsheet data and return summaries, trends, outliers, charts, and PivotTables. It can add formula-driven rows or columns, suggest single-cell formulas, and explain existing formulas. For columns containing survey answers, reviews, or other text, it can summarize the content, identify themes and sentiment, and place the results in a new column. - Workbook structure: Request a PivotTable or a formula-driven row or column based on existing fields.

How its Python analysis experience changes the choice
Microsoft’s separate Python-based analysis experience interprets your question, identifies relevant workbook data, and computes a response. It supports one table or table-like range, or multiple such ranges across a workbook. Microsoft explicitly says unstructured data is not supported in this experience. A sheet made of visually arranged values, merged cells, narrative notes, or inconsistent headers may therefore need to be reorganized before this workflow can help. A reliable Copilot workflow
- Prepare the source: Give each field a clear header, keep one record per row, and convert the relevant range to an Excel table when possible. Separate notes and presentation-only areas from the data you want analyzed.
- Open Copilot in the workbook: The exact control and availability depend on your Excel edition, platform, plan, and organization.
- Ask a bounded question: Name the columns, time period, grouping, and output. For example: “Compare monthly revenue by region for January through June, identify outliers, and show the source columns used.” Microsoft recommends specific questions and naming the columns.
- Inspect the result: Follow superscript references, check the selected range, and compare the summary with the underlying rows.
- Apply changes deliberately: Review any suggested formula, inserted column, chart, or PivotTable before accepting it. Keep a copy of the original workbook if the analysis will alter structure.
When Copilot is a strong fit
Choose Copilot when the main question is “What is happening in this workbook?” and the answer should remain connected to the workbook: a trend chart, an outlier list, a PivotTable, a formula explanation, or a classification column beside the original text. It is also a sensible first choice when your organization already manages Microsoft 365 access and governance.
Copilot access and limitations
Excel analysis, insights, formulas, and visuals are identified as Copilot capabilities, but availability and licensing vary by edition, plan, platform, and organization. Check the current details for your account in Microsoft’s Copilot overview before promising that a particular user can access the feature. The table-structure requirement applies specifically to the documented Python analysis experience, not necessarily to every Copilot feature.

OpenAI describes ChatGPT for Excel as a spreadsheet-native sidebar that can build, update, and explain spreadsheets. Its help documentation says it can work with large, multi-tab files containing formulas, references, and assumptions; users can create spreadsheets, ask questions about existing workbooks, and make natural-language updates. Strengths and trade-offs
The multi-tab, formula-aware workflow is valuable when the analysis is not just a one-off chart but a connected model that must remain understandable after edits. OpenAI’s announcement also cautions that generated output may need cleanup, complex formulas or edge cases may require manual refinement, and responses can take longer. Those are vendor-described limitations, not results from an independent benchmark.
Plans, limits, and administration
OpenAI lists availability across Free, Go, Plus, Pro, Business, Enterprise, Edu, and K-12 accounts, with limited access on some plans. Usage can be subject to limits, credits, and task complexity. Workspace controls also differ for organizational accounts. Because plan names, limits, and availability can change, verify the current terms before selecting ChatGPT for a team workflow.
Claude: useful for uploaded-file analysis and workbook creation
Claude’s Help Center documents file creation and code execution that can create Excel spreadsheets, build financial models with working formulas, analyze uploaded data, and produce reports with charts and visualizations. This makes Claude a reasonable choice when you can upload the source file, describe the analysis, and download a newly created workbook or report. - Prepare a copy: Remove material that your policy does not permit sending to an external service and retain the original locally.
- Upload the workbook or data file: Explain the sheets, columns, units, and business question in the same request.
- Define the deliverable: Ask for a workbook with working formulas, a charted report, a financial model, or a written analysis. Specify the sheet names and outputs you expect.
- Inspect the generated file: Open it in Excel, recalculate, trace formulas, and compare totals with the source before relying on it.
The cited Claude documentation supports uploaded-data analysis and workbook creation. It does not establish that Claude offers the same native Excel sidebar interaction documented for Copilot and ChatGPT for Excel. Availability depends on the listed Claude plans and surfaces; organization owners can control access, and network-access settings vary by plan.

How to decide before you upload or edit anything
1. Identify the required location of the work
If collaborators need to see edits in the same workbook immediately, prioritize a native Excel workflow. If a separate generated file is acceptable, an upload-and-download process may be simpler. Do not assume that a tool documented for file creation has the same in-Excel controls as a sidebar add-in.
2. Inspect the workbook’s shape
- Are records arranged in rows with consistent headers?
- Are the values in one table, several related tables, or a visually formatted report?
- Are formulas and assumptions distributed across multiple tabs?
- Does the requested analysis require text interpretation, numeric statistics, scenario changes, or a new model?
A clean table-like range is especially important for Copilot’s Python analysis experience. A multi-tab model with connected assumptions points more directly to the workflow OpenAI describes for ChatGPT for Excel. An uploaded source that needs to become a new workbook fits Claude’s documented file-creation workflow.
3. Confirm access and governance
Check the user’s plan, Excel platform, organizational administrator settings, usage limits, and enabled add-ins. A feature described in a vendor help page may still be unavailable on a particular account or tenant. Treat access as a current eligibility question, not a permanent product specification.
4. Define the verification burden
The more consequential the workbook, the more important it is to retain the original, request explicit formulas and source ranges, and have a person who understands the model approve the output. A quick descriptive chart has a smaller review burden than a financial model that drives a decision.

Privacy and governance for sensitive workbooks
Do not send confidential data to an AI service until your organization’s policy and the vendor’s current terms allow it. For ChatGPT for Excel specifically, OpenAI says the tool processes prompts, attachments, and relevant spreadsheet context. OpenAI also describes possible storage of some logs for 30 days for safety and integrity, and notes that Microsoft may be able to read workbook content under its add-in marketplace terms. These statements apply to ChatGPT for Excel and should not be generalized to Copilot or Claude.
For any service, decide whether you can remove direct identifiers, reduce the workbook to the necessary columns, use a sanctioned organizational account, and document who approved the transfer. If policy forbids external processing, use local Excel features or an approved enterprise deployment instead of attempting to bypass the restriction.
Verification checklist before you trust an AI result
AI-generated spreadsheet work can be useful and still be wrong. Microsoft Support’s explicit guidance is: “As with any AI-generated content, review, edit, and verify anything Copilot creates for you.” OpenAI’s product announcement likewise warns that generated output may need cleanup and that complex formulas or edge cases may need manual refinement.

- Source range: Confirm that every expected sheet, row, and column was included and that filters did not silently exclude records.
- Definitions: Check units, currencies, fiscal periods, time zones, and whether blanks mean zero, missing, or not applicable.
- Formulas: Read newly created formulas, inspect absolute and relative references, and look for hard-coded values where a link was expected.
- Totals: Recalculate key totals independently and compare them with known control values.
- Statistics: Check the population, date window, grouping, outlier rule, and treatment of missing values behind any summary.
- Charts and PivotTables: Verify labels, axes, aggregation method, filters, and whether the visual includes all intended categories.
- Text analysis: Sample classifications and sentiment labels against the original comments; look for sarcasm, mixed topics, and language-specific errors.
- Changed cells: Use the workbook’s change history or a saved original to identify every inserted, deleted, or overwritten cell.
- Reproducibility: Record the prompt, source version, assumptions, and date so another person can repeat the review.
Troubleshooting common failures
The tool cannot find the data
Check that the relevant range has headers, records are not separated by blank rows, and the request names the correct sheet and columns. For Copilot’s Python analysis experience, move the data into a table-like range; unstructured layouts are outside that documented support.

The answer uses the wrong period or category
State the exact date boundaries, grouping field, and filters in the prompt, then verify the referenced cells or selected range. Do not accept a plausible-looking chart until its source rows match the question.
A formula or model is almost right
Ask for the formula, assumptions, and dependent cells separately. Compare the generated expression with a manually calculated example and test boundary cases such as blanks, zero denominators, duplicate IDs, and negative values. ChatGPT for Excel’s documentation acknowledges that complex formulas and edge cases may need manual refinement.
The feature or add-in is unavailable
Confirm the account plan, platform, organization policy, administrator enablement, and current usage allowance. Copilot availability varies by Microsoft edition and plan; ChatGPT for Excel availability and limits vary by account and workspace; Claude access varies by plan and surface.

The generated workbook needs cleanup or takes too long
Break a large request into stages: inspect the source, build the calculation, create visuals, then format the final report. OpenAI notes that responses can take longer and that generated output may require cleanup. Save intermediate versions so formatting work does not obscure a calculation error.

Use Copilot in Excel for documented in-workbook insights, formulas, text themes, charts, PivotTables, trends, and outliers—especially when your data is organized as tables. Use ChatGPT for Excel when you need a sidebar that can build, update, and explain a connected multi-tab workbook, subject to plan and administrator controls. Use Claude when uploading data and receiving a newly created Excel workbook or charted report is sufficient.
