Best overall depends on your tax status and growth plans: choose Sage Sole Trader Free if you are a non-VAT-registered sole trader starting at no cost; FreeAgent if you are a freelancer or contractor who needs Self Assessment workflows; Xero if you are VAT-registered or building a connected team with stronger cash-flow visibility; and QuickBooks Online if you want a familiar, mainstream bookkeeping workflow. Before subscribing, check the 2026–27 Making Tax Digital (MTD) deadlines, whether you use cash or traditional accrual accounting, and the full monthly price after any introductory offer and add-ons.

This guide uses UK product and HMRC information available on 18 October 2026. Prices, features, eligibility and promotions can change, so verify the current vendor terms before purchase.

Which app should you choose?

Your best choice is determined less by brand and more by four questions: are you a sole trader or a company, are you VAT-registered, will you need MTD for Income Tax, and how much automation will your business require?

  • Sole trader, not VAT-registered, keeping costs to zero: Sage Sole Trader Free is the clearest starting point. Sage describes it as an HMRC-recognised app for non-VAT-registered sole traders, with plans on its UK pricing page ranging from £0 to £59 per month.
  • Freelancer or contractor filing your own Self Assessment: FreeAgent is the strongest fit when Self Assessment and UK-based support matter. Its cash-basis mode has an important limitation: stock and payroll are excluded.
  • VAT-registered business or growing team: Xero is the most suitable of this shortlist when you need VAT, CIS, MTD for Income Tax, integrations and cash-flow tools together.
  • Business wanting a conventional, recognisable workflow: QuickBooks Online is HMRC-recognised in the UK, MTD-ready and lets you view bank and credit-card transactions together for cash-flow management.

No independent, representative UK user trial establishes one universal winner. Select the product that supports your obligations today and has a credible upgrade path for the next stage of your business.

UK tax and MTD deadlines to check first

Making Tax Digital is not a feature you can postpone if your income brings you into scope. HM Revenue & Customs states: “From 6 April 2026, some sole traders and landlords must use compatible software to report their income using Making Tax Digital for Income Tax.” HMRC’s collection says sign-up for people who need MTD for the 2026–27 tax year starts in September 2026.

HMRC’s campaign guidance adds a later threshold: “From 6 April 2027, sole traders and landlords with turnover above £30,000 must start using Making Tax Digital software.” The threshold is based on turnover, not profit. If you operate several businesses, establish how HMRC assesses your combined position and confirm your own start date with HMRC.

MTD for Income Tax is separate from VAT MTD. A business can be VAT-registered without being in the first Income Tax cohort, or it can need Income Tax MTD while not being VAT-registered. Check both obligations when comparing products.

  • 6 April 2026: MTD for Income Tax begins for some sole traders and landlords.
  • September 2026: HMRC says sign-up opens for people who need MTD for the 2026–27 tax year.
  • 6 April 2027: HMRC says sole traders and landlords with turnover above £30,000 must use MTD software.

HMRC says free products exist, although simpler products can limit transaction volume. “Free” therefore means no subscription charge, not unlimited records, users, bank connections or support. Confirm that a free plan can handle your transaction count and required submissions.

What to compare before subscribing

MTD Income Tax and VAT

Ask whether the exact edition you are buying supports MTD for Income Tax, VAT returns and the periods you must submit. “MTD ready” can refer to VAT only, so read the product’s UK specification rather than relying on a badge or a generic feature list.

Bank feeds and reconciliation

Automatic bank feeds import transactions; reconciliation matches those entries to invoices, bills and receipts. Check the banks supported, feed-refresh frequency, number of connected accounts and what happens when a feed expires. A feed is an input, not an accounting decision: you still need to categorise transactions and investigate duplicates or missing entries.

Cash-flow forecasts

A useful forecast should show expected money in, money out, tax commitments and the assumptions behind the result. Look for invoice due dates, recurring costs, payment-status tracking and a way to separate business and personal transactions. A visually attractive dashboard is not a substitute for complete bank data.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Invoicing and expense capture

Check whether you can customise invoice fields, send reminders, record partial payments, attach receipts and assign expenses to projects or clients. Mobile capture is valuable only if the resulting data is searchable and exportable for your accountant.

Payroll and stock

Payroll and inventory can change the correct product choice. A freelancer using cash basis may never need stock records, while a retailer or employer needs quantities, costs, payroll submissions and year-end reporting. Do not assume that a plan containing “accounting” includes payroll or inventory modules.

Users, integrations and support

Count every person who needs access: owner, bookkeeper, accountant and staff submitting expenses. Check whether read-only users count toward a limit, whether project or payment integrations cost extra, and whether support is UK-based, live, ticket-based or community-only.

Cash basis versus traditional accrual accounting

Business.gov.uk notes that accounting and finance records make tax and official reporting easier and that many small and medium-sized businesses use cash-basis accounting because it is simpler. Cash basis generally records income when received and expenses when paid; accrual accounting records income and costs when earned or incurred. The choice affects stock, payroll, unpaid invoices, reports and the features you need. Confirm the method with an accountant where your circumstances are complex.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Total monthly cost

Compare the recurring price after an introductory period, not the headline first-month offer. Add VAT if the vendor quotes prices excluding VAT, then include payroll, extra users, additional entities, payment processing, advanced forecasting and accountant access. Complete, like-for-like prices for FreeAgent, Xero or QuickBooks Online are not provided in this guide, so obtain a current quote from each vendor.

Sage Sole Trader Free: the no-cost starting point

Sage Sole Trader Free is aimed at a narrow but common case: a UK sole trader who is not VAT-registered and wants digital records without a subscription. Sage calls it “a free, HMRC-recognised app built for non-VAT registered sole traders who want to keep digital records and submit their Self Assessment for Making Tax Digital.” That combination makes it the logical first check for a new consultant, tradesperson or side business below the VAT threshold.

Sage UK’s pricing page, accessed in 2026, lists plans from £0 to £59 per month. Treat that as a range across Sage’s offerings, not a promise that every feature or business type is available for £0. Before relying on the free tier, confirm transaction-volume limits, bank connections, receipt capture, export options and whether you can upgrade without re-entering historical data.

Choose Sage when

  • You are operating as a sole trader rather than a limited company.
  • You are not VAT-registered.
  • You want to retain digital records and prepare Self Assessment submissions for MTD.
  • Your transaction volume is modest enough for the free product’s limits.

Move beyond Sage Sole Trader Free when

  • You register for VAT or need VAT returns.
  • You employ staff and require payroll.
  • You hold stock that needs quantity and cost tracking.
  • You need multiple users, entities, advanced integrations or deeper forecasting.

FreeAgent: strongest for Self Assessment-led work

FreeAgent documents Self Assessment filing, MTD for Income Tax and UK-based support, making it a natural fit for freelancers and contractors who want tax workflows inside their bookkeeping system. It is particularly useful when the owner, rather than an external bookkeeper, must understand what income and expenses are ready for a personal tax return.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Read the cash-basis terms carefully. FreeAgent states that stock and payroll are excluded when the account uses cash basis. That is not a minor setting: a contractor with no employees and no inventory may be unaffected, while a business that pays staff or sells goods could outgrow the setup immediately.

Good reasons to select FreeAgent

  • Self Assessment is a central requirement, not an occasional export.
  • You want UK-focused guidance and support.
  • You work as a freelancer or contractor with straightforward income and expenses.
  • You have confirmed that cash basis, stock and payroll limitations match your business.

Checks before purchase

  • Confirm whether your required VAT functions are included in the specific plan.
  • Ask how many bank feeds, users and clients are included.
  • Verify the price after any introductory period and the cost of payroll or other modules.

Xero: best for connected, growing operations

Xero documents UK VAT, CIS and MTD for Income Tax support, so it covers more compliance scenarios than a product aimed only at a non-VAT sole trader. Its integration ecosystem and cash-flow visibility make it a better fit when sales, payments, expenses, payroll or specialist systems must exchange data.

Xero reports a 26% average productivity boost from app integrations in a 2025 survey of 266 small businesses. It also says four in five customers save six hours per month by eliminating manual data entry. These are vendor-reported figures, not independent benchmarks or a guarantee for your business. The benefit depends on compatible integrations, clean setup and someone reviewing imported data.

Choose Xero when

  • You are VAT-registered or expect to register soon.
  • You need CIS or MTD for Income Tax support.
  • Several people or systems must collaborate.
  • Cash-flow visibility and integrations justify a paid subscription.

Control the cost and complexity

List every integration before subscribing and identify which are essential versus convenient. Check whether each connector is included, billed separately or limited by transaction volume. Establish who will reconcile imported data, because automation can propagate an incorrect account code or duplicate transaction just as quickly as a correct one.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

QuickBooks Online: a familiar mainstream workflow

QuickBooks says its UK software is HMRC-recognised and MTD-ready. It also lets you view bank and credit-card transactions together, which can make a small business’s short-term cash position easier to monitor when spending is spread across several accounts.

That familiar workflow is valuable when an owner, accountant and prospective employee already know the interface. Still, “MTD-ready” should be matched to your obligation: confirm whether the plan supports the exact VAT or Income Tax submission you need, and check current limits for users, bank feeds, payroll, stock and integrations.

QuickBooks is a sensible choice when

  • You want one familiar ledger for bank and credit-card activity.
  • You need HMRC-recognised UK software with MTD capability.
  • Your accountant or team already works with the platform.

Cash-flow management that actually helps

Cash flow is the timing of money entering and leaving the business; profit is an accounting result that can include unpaid invoices and non-cash items. An app improves cash control only when records are complete and payment dates are realistic.

Build a reliable weekly routine

  1. Connect the business bank account and cards, then confirm the opening balance against the statement.
  2. Import or create outstanding invoices and bills with due dates.
  3. Match payments to invoices rather than recording unexplained deposits.
  4. Enter recurring costs such as rent, software, insurance and tax payments.
  5. Review overdue invoices and send reminders based on your agreed terms.
  6. Compare the forecast with the actual bank balance and investigate every material variance.

Separate committed and uncertain cash

Mark money that is contractually due differently from speculative sales. A forecast based on invoices already issued is more defensible than one based on hoped-for work. Include VAT and Income Tax amounts that are collected or reserved but do not belong to day-to-day spending.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use cash basis deliberately

Cash basis can simplify bookkeeping for many small and medium-sized businesses, as Business.gov.uk explains, but it changes the meaning of reports. Unpaid invoices and bills may not appear as they would under accrual accounting, and stock or payroll requirements can make a cash-basis plan unsuitable. Decide with your accountant and keep the accounting method consistent with your tax reporting.

Setup: a practical first-week checklist

  1. Identify your legal and tax profile. Record whether you are a sole trader or company, VAT-registered or not, an employer, a stock holder and potentially within MTD for Income Tax.
  2. Choose cash or accrual basis. Document the decision and confirm that the selected app and plan support it.
  3. Open the correct UK edition. Regional settings affect VAT rates, tax reports, currency and MTD submissions.
  4. Connect accounts securely. Use the app’s bank-authorisation flow; never share online-banking passwords with a third party.
  5. Import opening data. Bring in the opening balance, unpaid invoices, outstanding bills, assets and any prior-year figures your accountant requires.
  6. Create a simple chart of accounts. Start with categories that map to your tax return and management needs; excessive categories make reconciliation slower.
  7. Set invoice and payment terms. Add due dates, payment methods and reminders before sending the first invoice.
  8. Configure VAT and MTD settings. Enter the correct VAT scheme and confirm that the product can submit the return or update required for your obligation.
  9. Test a complete transaction. Create an invoice, record payment, attach a receipt, reconcile the bank entry and inspect the resulting report.
  10. Schedule reviews. Reconcile at least monthly; weekly checks are safer when transaction volume or cash pressure is high.

Common failure modes and fixes

The app says MTD-ready but cannot submit your return

Check whether “MTD-ready” refers to VAT rather than Income Tax, whether your plan includes the submission feature and whether your business is enrolled with HMRC. Confirm the tax year and sign-up status before changing software.

A free plan stops accepting transactions

Review the plan’s transaction and account limits. Export your records, compare paid upgrades, and verify that the new tier supports VAT, users and historical data before switching.

The bank balance does not match

Check the opening balance, duplicate imports, uncleared payments, transfers between your own accounts and transactions posted to the wrong bank account. Reconcile to a dated statement rather than editing entries until the dashboard “looks right.”

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Cash-flow forecast is persistently optimistic

Replace assumed invoice dates with observed customer payment behaviour, separate confirmed orders from prospects and include tax, payroll and annual bills. Compare forecast versus actual each month and adjust the assumptions.

Cash basis hides information you need

If you need stock valuation, payroll records, unpaid-invoice analysis or accrual reporting, ask whether your current basis and plan support those requirements. FreeAgent explicitly excludes stock and payroll in cash-basis mode; other vendors may package similar functions separately.

You outgrow the original sole-trader app

Plan a migration before registering for VAT, employing staff or adding a partner. Export a complete transaction history, chart of accounts, customer list and attachments, then run parallel reconciliations for at least one reporting period.

Decision guide by business situation

Your situation Most suitable first check Why Confirm before committing
New sole trader, not VAT-registered, low volume Sage Sole Trader Free £0 starting plan and HMRC-recognised Self Assessment-focused app Transaction limits, bank feeds, receipt storage and upgrade path
Freelancer or contractor filing Self Assessment FreeAgent Self Assessment, MTD for Income Tax and UK-based support are documented Cash-basis exclusion of stock and payroll; VAT plan details

Retail or employer needing stock and payroll Compare paid editions of Xero and QuickBooks Online first These products are more plausible starting points for connected, multi-user operations than a free non-VAT sole-trader app Inventory depth, payroll compliance, integrations and total recurring cost

How to compare the final price

Request a written monthly total for your actual configuration. Include the base subscription, VAT where applicable, payroll, extra users, additional bank feeds, payment or receipt services, inventory, project tracking and integrations. Ask what happens after the promotional period and whether annual billing changes the cancellation or refund terms.

For Sage, the published UK range is £0 to £59 per month as of 2026, but the correct figure depends on the plan. For FreeAgent, Xero and QuickBooks Online, complete comparable prices are not provided in this guide; use the current UK pricing pages and calculate the cost for your user count and add-ons rather than comparing introductory headlines.

Bottom line: match the app to the obligation

Start with Sage Sole Trader Free when you are a non-VAT-registered sole trader and need a free, HMRC-recognised way to keep records and prepare Self Assessment. Choose FreeAgent when Self Assessment workflows and UK support are central and its cash-basis exclusions do not affect you. Choose Xero when VAT, CIS, MTD for Income Tax, integrations and team-scale cash visibility justify a paid platform. Choose QuickBooks Online when a familiar UK workflow and combined bank-and-card visibility are the priority. Whichever you select, verify MTD scope, accounting basis, limits and the full recurring price before moving live.
