Neither Zoom AI Companion My Notes nor Microsoft Teams Copilot has been shown to be the most accurate option for client briefings. Choose based on where meetings happen and what kind of record you need: Zoom documents capture across several meeting platforms and in person, while Teams Copilot offers meeting modes and transcript controls for organizations working in Microsoft Teams. In either case, treat the generated notes as a draft—not a client-ready record—until someone checks the commitments, names, dates, and decisions.
Which audio-to-text tool works best for client briefings?
There is no demonstrated universal winner. The available product documentation describes features and controls, but does not provide a comparable independent accuracy benchmark or usability test. It also does not establish a complete cross-vendor comparison of pricing, language support, or data residency. Choose by meeting environment, transcript needs, and organizational policy rather than an unsupported accuracy ranking.

Choose Teams Copilot for a Teams-first organization
Start with Teams Copilot if briefings already happen in Teams and you want meeting modes and transcript policies managed in the Microsoft environment. Before adopting it, confirm that the required license is available, administrators allow the relevant features, and the chosen mode supports whether staff need notes during the call, after it, or both. If your organization does not permit saved transcripts, assess the live-only mode and its treatment of prompts and responses before relying on it.
Evaluate Zoom My Notes for mixed-platform or in-person briefings
Zoom documents My Notes for Zoom, Teams, Google Meet, other virtual calls, and in-person conversations. That makes it a candidate for teams that move between meeting environments. Decide whether the standard My Notes workflow or the separate AI Companion participant workflow for third-party meetings matches client expectations and internal rules. The participant workflow has its own account, calendar, setting, and desktop-version requirements.

Do not choose by an assumed accuracy ranking
The reviewed documentation does not establish that either product transcribes more accurately than the other. It also does not establish comparable usability results. If those factors determine your choice, assess them with your own meeting conditions and policies; do not treat feature descriptions as accuracy evidence.
How to turn a client call into a brief that drives action
A transcript is source material, not the finished deliverable. Build a concise brief around what the client wants, what was decided, what remains unresolved, and who will do what next. Use the AI output to find and organize relevant passages, then check the brief against the conversation before sending it outside the organization.

- Capture the goal. State the client’s objective and the problem or opportunity discussed. Avoid presenting an assistant’s interpretation as a confirmed client statement.
- Separate decisions from suggestions. Record agreed decisions distinctly from ideas raised for consideration. A proposed option is not a commitment unless participants confirmed it.
- List open questions. Identify unresolved points and the person or party expected to answer each one, if the conversation established that owner.
- Make next steps specific. For each agreed action, include the owner and deadline when those details were actually stated. Leave a detail unassigned rather than guessing.
- Verify the source details. Check names, figures, dates, commitments, and speaker attribution against the conversation. Correct errors and remove unsupported inferences before sharing.
Zoom and Microsoft describe summaries, tasks, or action items as product outputs, but that does not establish that extraction is error-free. Human review is therefore part of the workflow, not an optional polish step.
What to check before recording or transcribing
Product notice features are not a determination of what consent law, contracts, or client policy require. Confirm the applicable requirements for the people and jurisdictions involved before capturing a briefing.

Zoom notice for third-party meetings
For its AI Companion participant workflow in third-party Teams or Meet meetings, Zoom documents a chat notice after the meeting begins and a participant tile identifying its owner and transcribing status. It also documents optional pre-meeting email notices. These are product mechanisms; determine separately whether they meet your legal, contractual, and organizational requirements. Teams modes and retained records
Microsoft distinguishes live-only assistance from transcript-based meeting experiences. In the “only during” mode, speech-to-text processing data is not saved after the meeting ends. However, Microsoft says prompts and responses may still be retained under Microsoft Purview policies. Intelligent recap using a saved transcript and recording follows applicable retention policies. Make the choice against your actual recordkeeping needs
- For Teams meetings with Microsoft-managed transcript controls, assess Teams Copilot licensing, admin policy, and the required during- or after-meeting experience.
- For briefings spanning platforms or happening in person, assess Zoom My Notes and determine whether its separate third-party participant workflow is appropriate for external calls.
- If transcripts should not persist, examine Teams’ live-only mode alongside the organization’s Purview treatment of prompts and responses; do not promise that no related data is retained.
- For either tool, establish who reviews the notes and how the approved brief is shared and retained.
