Short answer: Webex AI agents do not share one security boundary. Webex AI Agent Studio is a Webex Contact Center tool for building customer-service agents, while Webex AI Agent for Microsoft 365 Copilot searches Webex meeting and calling information available to the signed-in user. Their data sources, permissions and retention rules differ, so the right security answer depends on which feature your organization has enabled.
Cisco documents role controls for Studio transcripts and says the Copilot-connected agent honors existing Webex access-control permissions. Those safeguards are useful, but they are not a blanket guarantee for every tenant. Your enabled sources, administrator settings, region, subprocessors, contract and retention configuration determine the practical exposure.
First identify which Webex AI agent you mean
The name “Webex AI Agent” covers at least two materially different capabilities. Treating them as one product can lead to the wrong answer about what data is visible.

Studio also distinguishes scripted agents from autonomous agents. The AI Agent add-on is required for the relevant Webex Contact Center subscription, and the voice AI Agent entitlement provides access to Studio. These commercial and entitlement details matter because a tenant that has only the Copilot-connected feature has a different data path from one running customer-service agents.

What data can Webex AI Agent Studio access?
Knowledge-base content
An autonomous Studio agent answers from a knowledge base assembled by administrators. Cisco documents three source types: files uploaded to the knowledge base, articles written in the service and website sources. The agent’s answers therefore depend on what your organization deliberately ingests; Studio does not automatically have a universal view of every company system.
That source model creates a direct governance responsibility. Cisco’s administration guidance says not to upload Payment Card Industry (PCI) data, personally identifiable information (PII), protected health information (PHI), or any other sensitive, confidential or regulated information to the knowledge base. Customers are responsible for ensuring that material they upload complies with those requirements. If a prohibited document is added, the fact that the agent is operating inside Webex does not make the document suitable for the knowledge base.
Customer conversations and sessions
Studio records sessions as interactions between an agent and a user. Permitted administrators can open session and transcript views, but the existence of a session record does not mean that every Contact Center administrator or supervisor can read its message content. Transcript visibility is a separate permission.

Who can read Studio transcripts?
Cisco’s Studio administration guide says transcript access is restricted by role and is off by default. The documented customer-organization roles work as follows:

The guide’s explicit rule is: “By default, no user has access to transcripts.” A customer-organization Full Administrator has to grant Decrypt access to a teammate. Exact visibility still depends on the organization type, assigned role and permissions granted in that tenant. Do not assume that a partner, supervisor or ordinary administrator can automatically inspect conversation text.

What can the Microsoft 365 Copilot-connected agent see?
The Copilot-connected Webex AI Agent is a search assistant, not the Studio customer-service builder. Cisco’s feature page, dated August 5, 2026, says an administrator must enable the feature and the user must consent. After that, the agent can use Webex account and calling resources and meeting preferences, and it can search meeting and calling content such as AI-generated transcripts, summaries and action items.
Its central access rule is narrower than “all meetings”: Cisco says, “Webex AI Agent respects your existing Access Control List permissions (ACLs).” Content is usable as a knowledge source only when the signed-in user already has permission to access it. Cisco gives examples such as being the meeting host, an invited participant or a recipient with whom the content was shared.

Not according to the documented permission model. A user cannot use the agent to turn an inaccessible meeting into an accessible one. A meeting transcript or summary that the user cannot open under Webex permissions should not be available as a source to the Copilot-connected agent. Administrators should nevertheless review shared-content and ACL practices, because an agent can retrieve anything the user is legitimately allowed to retrieve.
What happens when other sources are connected?
Control Hub guidance for Cisco AI Assistant describes optional search connections that can include Glean, Amazon Q, SharePoint and OneDrive. An administrator chooses which sources are enabled, and third-party licenses may be required. This is a separate configuration decision from the basic Webex agent features.
Cisco warns that once data leaves Webex for a non-Cisco product, the external service’s own contract and policies govern its handling. That means a security review must identify every enabled source, what content it indexes, where that provider processes it, how long it keeps copies and which users it authorizes. Do not infer that Webex’s handling terms automatically apply to an external connected service.

How Cisco describes processing and retention
Cisco’s Contact Center security documentation describes some AI processing as ephemeral. For real-time automatic speech recognition and text-to-speech, audio and transcript processing is described as occurring in volatile memory and being purged after use. Cisco also says human employees do not access raw audio or text during inference, and that data sent to subprocessors is encrypted in transit and processed in RAM.

They should not be expanded into a promise about every Webex AI feature, integration or customer configuration. Cisco’s retention table separates several data types:

Because the session-history row has no numeric duration, it is not accurate to say that all AI Agent content has zero retention. Ask Cisco for the feature-specific session-history, deletion and data-residency terms that apply to your tenant.
What does Cisco’s general AI privacy statement mean?
Cisco’s general AI privacy and security page, dated September 7, 2024, says Cisco does not retain customer input data after inference and says Microsoft’s third-party model provider does not access, monitor or store Cisco customer data. The same page directs customers to the Cisco Trust Portal for feature-specific retention policies.
That is general AI guidance, not proof that every Studio workflow, Copilot connection or external source follows identical data flows. Use the Trust Portal, your order and contract documents, and the feature-specific documentation for a deployment decision.

Security questions to answer before enabling an agent
1. Which product and agent type are in scope?
Record whether the deployment uses Contact Center AI Agent Studio, the Microsoft 365 Copilot-connected agent, or both. For Studio, also record whether each agent is scripted or autonomous. Different products can have different sources and retention behavior.
2. What exact content is enabled?
- For Studio, inventory every uploaded file, authored article and website source in each knowledge base.
- For Copilot, identify which Webex meeting and calling content users can already access.
- For connected search, list every external source enabled in Control Hub and the provider responsible for its terms.
3. Are sensitive records excluded?
Keep PCI data, PII, PHI and other sensitive, confidential or regulated information out of Studio knowledge bases as Cisco instructs. Apply the same data-minimization principle when selecting websites, shared files and connected repositories.
4. Who can decrypt transcripts?
Review Studio roles and the explicit Decrypt grants. Since transcript access is off by default, treat each grant as a deliberate exposure of conversation content. Remove grants when a person changes duties.
5. Do Webex ACLs match the intended audience?
For the Copilot-connected agent, test representative users with different roles: a host, an invited participant and someone who was not invited. Confirm that search results follow the underlying Webex permissions rather than a broader departmental expectation.
6. What are the contractual and regional terms?
Confirm processing region, subprocessors, deletion commitments and session-history duration for the exact feature. If an external source is enabled, review that provider’s contract and privacy terms separately because data may leave Webex.

Common misconceptions and the accurate answer
“Every Webex administrator can read agent transcripts.”
No. Cisco documents transcript access as unavailable by default. A Full Administrator must explicitly enable Decrypt access for a teammate, and other roles are described as excluded from sensitive information such as transcripts.
“The agent can search every meeting in the company.”
No. The Copilot-connected agent is documented to use content that the signed-in user can access under Webex ACLs. It is not a bypass around meeting permissions.
“Zero-day retention means no agent data is stored.”
No. The 0-day figure applies to real-time audio and transcript processing in the documented ASR/TTS category. Cisco separately lists 90-day operational logs and leaves the numeric duration for AI Agent Session History unstated.
“Cisco’s general AI statement covers every integration.”
No. General privacy language should be read alongside the feature-specific documentation, Trust Portal terms and any external provider contract.
Bottom line for security and access decisions
Webex AI agents can be configured with meaningful access controls, but “secure” is not a single yes-or-no property. Studio is bounded by administrator-selected knowledge sources and role-based transcript permissions; its guidance expressly excludes PCI data, PII, PHI and other sensitive or regulated information from knowledge bases. The Microsoft 365 Copilot-connected agent is bounded by administrator enablement, user consent and the user’s existing Webex ACL permissions. Connected external sources add another provider’s policy boundary.
Before approving a deployment, document the product, agent type, enabled sources, transcript decrypt grants, retention for each data type, processing region and every external contract. Where Cisco’s documentation does not state a numeric session-history period or a tenant-specific deletion rule, obtain that answer from Cisco or the applicable Trust Portal terms instead of assuming that transient real-time processing applies to stored session records.
