For a new Microsoft 365 document, start with Aptos. Microsoft identifies Aptos as the current default font across Office. Keep Calibri when you are editing an established file, template, or team document set whose line breaks and page layout already depend on it.
Neither font has been established as universally more readable. The practical choice is about Office-theme alignment, document continuity, available variants, and what your recipients will see on their devices.
Quick decision: Aptos or Calibri?
- Starting from a blank Word, Excel, or PowerPoint file: choose Aptos if you want the current Office theme.
- Editing an existing Calibri document: keep Calibri unless there is a specific reason to redesign it. Changing fonts can alter wrapping, pagination, table widths, and slide breaks.
- Building a dense table or spreadsheet: test Aptos Condensed at the size you actually plan to use; Microsoft positions that variant for fitting more information into narrow areas.
- Designing large titles or display text: compare Aptos Display with the regular family in the actual slide or page. Display is intended for large text, not automatically for body copy.
- Sending a file outside your organization: check the recipient-facing result. Both typefaces are listed as Office cloud fonts, but availability depends on a supported app, Microsoft 365 access, and connectivity.
What Aptos is
Microsoft Learn describes Aptos as “a precise, contemporary sans serif typeface inspired by mid-20th-century Swiss typography.” Steve Matteson designed it for Microsoft as the replacement for Calibri. Microsoft says the design addresses “the austerity and directness that is required in huge variety of Office documents created every day.” Those descriptions explain the design goal; they are not measurements proving better readability.
Aptos is a family rather than one fixed appearance. The family reference lists multiple weights, complementary oblique styles, and Display, Condensed, Mono, and Serif variants. It also documents support for Latin, Greek, and Cyrillic scripts, plus Vietnamese.

Aptos variants and when to test them
- Regular and heavier weights: establish hierarchy between body text, labels, subheads, and headings without switching families.
- Condensed: useful to investigate when a table, worksheet, or narrow column cannot accommodate normal character widths. It may affect the texture and legibility of small text, so inspect the real output.
- Display: intended for large text such as presentation titles or prominent headings. It is not a blanket replacement for the text style used throughout a document.
- Mono and Serif: available when a code-like alignment or a serif treatment is required. Their presence does not mean every Office template uses them by default.
How Aptos became the Office default
Microsoft’s current Office theme documentation identifies Aptos as the default font across Office. The theme changes the document’s default typography, not the overall look and feel of Microsoft 365 itself. A default is a starting setting, not a requirement for every user or organization.
In the Microsoft 365 Insider announcement, PowerPoint product manager Jess Kwok explained that Microsoft released five Calibri replacement candidates. The preferred candidate was Bierstadt, which was renamed Aptos: “You chose Bierstadt as the preferred font, and we gave it a new name, Aptos.” The announcement also describes a family with narrow, serif, and monospace options.
Calibri’s role in Office documents
Calibri was the previous Office default. Microsoft’s announcement describes Aptos as its replacement, but older documents, corporate templates, forms, macros, and house styles can continue to specify Calibri. A file does not become obsolete merely because the default theme changed.

Calibri is also listed in Microsoft’s Office cloud-font catalog. Its value in many workplaces is continuity: colleagues know how existing pages, tables, and slides wrap, and established templates have usually been tuned around its character widths. That continuity is a document-management advantage, not evidence that Calibri is inherently easier to read.

Choose the font for your workflow
New documents and new templates
Use Aptos when you are creating a document from scratch and have no compatibility obligation to an older template. It keeps the file aligned with the current Office theme and gives you access to the family’s documented weights and variants. Set the styles deliberately rather than applying a different font manually to every paragraph; that makes later changes predictable.

Existing Calibri files
Leave an established Calibri file in Calibri unless the purpose is a redesign. A font change can move a heading to the next line, push a paragraph onto another page, widen a table column, alter a chart label, or create a new slide overflow. If a team template, form, or regulatory document already has approved pagination, continuity usually matters more than matching the newest default.
Spreadsheets and dense tables
Compare the actual worksheet at its production zoom and print or PDF size. Aptos Condensed may create useful room in constrained columns, but a narrower face can change the visual rhythm and may become difficult to read when reduced. Check headers, wrapped cells, row heights, formulas displayed as text, and printed page breaks before standardizing it.

Test the typeface on the projector or display size your audience will use. Aptos Display is intended for large text, while ordinary Aptos weights may be more appropriate for body copy and speaker-facing detail. Inspect title wrapping, text-box overflow, chart labels, and exported PDF slides; a font that fits in the editing window can still clip after export.
Documents using several writing systems
If a file contains Latin, Greek, Cyrillic, or Vietnamese text, Aptos’s documented language coverage is a reason to test it as a complete family. Verify every script in the real document, including bold and italic styles, because the appearance and spacing of mixed-script lines can differ from an English-only sample.
Is Aptos more readable than Calibri?
The official sources reviewed here do not provide a controlled, direct readability comparison between Aptos and Calibri. There is therefore no defensible basis for claiming that one is objectively more readable, more accessible, more professional, or more productive for every reader.

Readability depends on more than the family name: point size, line spacing, column width, contrast, screen resolution, rendering engine, language, and the reader’s visual needs all matter. Aptos’s range of weights and widths can give a designer more ways to solve a particular layout problem, but that is a design option rather than a guaranteed reading advantage.

A practical side-by-side test
- Duplicate the document so the original remains unchanged.
- Apply Aptos to the duplicate through the document’s styles or theme, not by changing isolated paragraphs.
- Compare the same pages or slides at the final reading size. Look at lowercase text, numerals, punctuation, bold passages, captions, and long URLs.
- Check the items most likely to expose metric differences: headings that wrap, tables, footnotes, headers and footers, charts, text boxes, and page or slide breaks.
- Ask representative readers to compare the two versions using the same content and viewing conditions. Treat their feedback as context for your audience, not as a universal font ranking.
Will changing from Calibri to Aptos change the layout?
It can. Different character widths, spacing, weights, and fallback behavior can change line breaks and therefore every element that follows a break. Even when the wording is identical, a heading may gain a line, a table may reflow, or a presentation text box may overflow.
Use this migration checklist when a font change is intentional:
- Save a versioned copy of the original file.
- Change the theme or named styles consistently so body text, headings, captions, and tables do not retain a mixture of old and new metrics.
- Review every page or slide at normal viewing size and at the output size used for printing or presenting.
- Inspect tables, charts, SmartArt, headers, footers, footnotes, comments, and fields that may have fixed dimensions.
- Export to the format you will deliver, such as PDF, and compare the exported result rather than relying only on the editing view.
- Record the chosen family and variants in the template instructions so later editors do not switch fonts accidentally.
Sharing Aptos or Calibri with other people
Microsoft says Office cloud fonts are available to Microsoft 365 subscribers and require an internet connection to obtain. In supported Office apps, a cloud font can render without being embedded when the recipient’s environment can access it. Microsoft lists both Aptos and Calibri in that catalog.
What happens when a font is missing?
The modern font picker identifies fonts that are unavailable on the current device. Microsoft explains that Office substitutes a font for viewing when the specified font is unavailable. The substitution does not change the font applied to the text in the saved document, but it can change the visible design and layout. A recipient may therefore see different wrapping even though the file still specifies Aptos or Calibri.

When embedding helps
Embedding can preserve a nonstandard font for someone who must view or edit a file offline. Microsoft notes that embedding increases file size and that font-creator permissions determine whether a font may be embedded. The modern font-picker guidance says font embedding is available only in Windows and macOS desktop apps; supported Office devices can view documents that contain embedded fonts.
For a file using Aptos or Calibri, first verify that the recipient will have the cloud font in a supported app. Consider embedding when offline editing or strict visual fidelity is essential and the app supports it. Do not assume embedding is permitted merely because the font is installed on your computer.
Recipient-facing sharing checklist
- Ask which Office app and operating system the recipient will use.
- Confirm whether the recipient can connect to obtain Office cloud fonts.
- Open the delivered file on a separate device and look for substituted-font indicators or changed wrapping.
- For a fixed-layout deliverable, provide a PDF after checking it, while retaining the editable Office file when collaboration requires it.
- If embedding is necessary, check the font’s embedding permissions and use a supported Windows or macOS desktop app to create the embedded file.
How teams should standardize on a font
Make the decision at the template level rather than asking each author to choose independently. A sensible policy is to use Aptos for new templates created under the current Office theme, retain Calibri in legacy templates that have been validated around it, and document any approved variants such as Aptos Condensed for specific tables.
Include the font family, allowed weights, minimum sizes, and export checks in the template instructions. Test the template on the Office versions and operating systems your team actually supports. If external recipients are common, specify whether the authoritative deliverable is the editable file, a PDF, or both.

The file looks different on another computer
Check whether the recipient has a supported Office app, an eligible Microsoft 365 connection, and access to the cloud font. If the font is unavailable, Office may be showing a substitute even though the saved file still specifies the original family. Reopen the document after the font becomes available, then inspect page and slide breaks again.

Aptos made a table or slide overflow
Undo the global change or adjust the affected style rather than shrinking every object blindly. Compare regular Aptos with an appropriate weight or, for a genuinely narrow table, test Condensed. Recheck the exported output because the overflow may appear only after rendering or PDF conversion.
The document must work offline
Do not rely solely on cloud-font retrieval. Use a supported desktop app and investigate embedding if the font license allows it, remembering that embedded files are larger and that not every app can create them. For recipients who only need to read the result, a verified PDF avoids live font substitution but does not preserve normal editing.
Someone asks why Aptos looks like Calibri
They may be noticing that both are sans-serif office fonts used for everyday text. Similar overall roles do not make them identical, and visual impressions vary with size, weight, rendering, and surrounding layout. The available official material does not establish a universal readability or appearance winner, so compare the two in the specific document rather than relying on a broad claim.
The practical rule
Use Aptos as the starting point for new Microsoft 365 work because it is the current Office default and offers a broad documented family. Use Calibri when preserving an established document system is the real requirement. In either case, judge the finished pages or slides, verify how the recipient’s app obtains the font, and treat embedding as a compatibility option with size and licensing constraints rather than an automatic requirement.
