An AI receptionist can answer routine calls, capture messages and leads, and in some services help with appointments or caller transfers. Whether it can serve as a dependable 24/7 answering service depends on the workflow you configure—not just a vendor’s availability claim. Compare billing, phone and calendar fit, human escalation, language support, and how call data is handled before moving your business number.

What an AI receptionist can—and cannot—do

An AI receptionist is a hosted voice service configured with information about your business and rules for handling incoming calls. Depending on the service, it may answer common questions, take messages or lead details, send booking links, schedule appointments, or transfer callers. Those capabilities vary by provider and plan, so treat them as features to verify rather than assumptions about the category.

“24/7” generally describes when the service can answer, not whether every request will be resolved correctly or whether a human is available at every hour. Plan how the system should respond when a question is outside its knowledge, a caller needs urgent help, or someone asks to speak with a person.

Compare the real monthly cost, not just the headline price

Vendors use different billing units: minutes, calls, a flat bundle, or a mix of AI and human coverage. A low starting price may depend on a separate phone plan or include only limited usage. Estimate your likely monthly total using your own call volume and typical call length, then check overage rates and required add-ons.

Service Vendor-listed capabilities Published billing detail What to check
Phone.com AI Receptionist 24/7 answering, call routing, appointment scheduling, custom knowledge, and Google and Outlook calendar integration $29.99 per month for 100 AI Receptionist minutes; requires an active Phone.com business phone plan. The vendor says no extra hardware is needed. Whether your business phone plan is already active, how quickly minutes are used, and any applicable overage terms.
Quo Sona FAQ answering, messages, appointment workflows, caller transfers, call summaries and transcripts, CRM syncing, and English, Spanish, and French support The vendor describes per-call billing and ten included calls per month in its free plan; check current pricing details for paid use. How calls are counted, what paid usage costs, and whether the integrations match your phone and CRM setup.
Abby A hybrid AI and human answering service; human receptionists are part of the described service The vendor states plans start at $165 per month and describes AI minutes at half rate. Confirm current plan and billing terms. What human coverage is included, when calls reach a person, and how AI minutes are billed.
RingOperator Call answering, booking, human transfer, Google Calendar integration, recordings and transcripts, and notifications The vendor promotes a trial and paid offering; detailed current pricing terms are not established here. Current plan terms, transfer behavior, and the recording and transcript settings available to you.

Check whether it fits your phone and business workflow

Before choosing a service, map how calls reach your business now. Confirm whether you can use your existing number, whether setup requires forwarding or changes to your call flow, and whether the service can answer all calls, only after-hours calls, or overflow calls. If a separate phone plan is required, include that in your cost comparison.

Then trace what happens after a call. A message is useful only if the right person receives it promptly; a booking feature is useful only if it works with the calendar or booking process your team actually uses. Ask which specific calendar, CRM, and phone tools are supported, and whether summaries or transcripts appear in the team’s usual workflow.

  • Routine questions: Can you supply and update accurate business information, such as hours, location, and service details?
  • New leads: Can it collect the details your team needs, and where are those details sent?
  • Appointments: Does it schedule directly, offer a booking link, or only capture a request? Can it handle changes as well as new bookings?
  • Caller handoff: Can it transfer to the correct person or number, and what happens if that destination does not answer?
  • Languages: Which languages work for the exact features and call flow you plan to use?

Design escalation and fallback before going live

Set explicit rules for requests that should not be handled as routine calls. Decide which topics trigger a human transfer, which destination receives it, and what the service should tell a caller if nobody answers. Also decide what it should do with urgent requests, unsupported questions, and callers who explicitly ask for a person. A feature listing does not establish how reliably a particular service will handle these situations.

  • 2-line operation: Conference between an outside line and up to 2 cordless handsets, expandable up to 12 handsets
  • Digital answering system with voice guide records up to 13 minutes

Test the full path—including the transfer destination and the team’s notification—rather than only checking that the AI can answer a simple question. If the service cannot reach a person, provide a safe fallback such as capturing a callback number and setting a clear expectation for follow-up. Do not rely on the AI to make decisions outside the instructions and information you have validated.

Review recordings, transcripts, and data terms

Call recordings and transcripts can contain personal or sensitive information. Before enabling them, establish what the provider records or transcribes, where the information is stored, who in your business can access it, how long it is retained, and how deletion works. Check whether recording can be disabled or limited for particular calls.

Run a practical test before routing real customers

Use examples drawn from your actual business, and check both the caller’s experience and what your team receives afterward. Include at least these scenarios:

  1. A routine question with a known answer, such as business hours.
  2. A new lead who wants a quote or service information.
  3. A request to book an appointment and a separate request to change one.
  4. An urgent or emergency request, tested against your escalation instructions.
  5. A question the system should not answer because the information is missing or unsupported.
  6. Noisy audio, a caller speaking a supported second language, and a caller who asks directly for a human.

For each scenario, check whether the answer is accurate, whether the call is routed or recorded as intended, and whether the summary or callback details reach the right teammate. Revise the knowledge and rules when a test exposes a gap, then repeat the scenario before using the setup with customers.

Choose based on the job you need covered

If you mainly need routine FAQ coverage and message taking, prioritize a simple call flow, accurate knowledge, and clear notifications. If calls commonly become appointments or leads, verify the exact calendar, booking, and CRM handoff you need. If callers regularly need a person, compare hybrid human coverage and test transfers and after-hours fallback rather than assuming an AI-only plan will suffice.

There is no independently verified market-wide adoption, missed-call, revenue-lift, or savings figure established by the cited vendor pages. Treat provider performance statements and customer testimonials as claims or individual experiences, not proof of results for your business. The soundest choice is the service that fits your call volume and existing workflow, has transparent total costs, and passes your own escalation and data-handling checks.
