An AI receptionist can answer calls, collect service details, route urgent requests, and—in some configurations—book appointments. For HVAC and electrical contractors, the key question is not simply whether it answers the phone: it is whether it follows your booking and emergency rules and connects to the calendar or field-service software your team actually uses. Published prices and call-volume figures are vendor examples, not reliable industry averages.
What an AI receptionist does for a contractor
An AI receptionist is software that handles inbound voice calls. Depending on how it is configured, it can take a message, gather details about the service request, answer approved questions, route emergencies to an on-call person, or schedule an appointment. Those are different levels of capability: capturing a caller’s information does not necessarily mean the system creates a job in your dispatch platform.
Some deployments work with an existing business phone number and scheduler rather than requiring new phone hardware. A Wisconsin HVAC case study from Pfeiffer Digital describes using the contractor’s existing number and scheduler, with no new phone hardware. Mercvox also describes forwarding calls and says hardware is not required; its page lists Google Calendar and SMS, while Jobber and Zapier are labeled as coming soon. Check the current release status of any integration before choosing a service.

How much does an AI receptionist cost?
There is no neutral market survey establishing a typical price for AI receptionists serving HVAC or electrical contractors. The following are advertised examples, not an industry price range:
#1 Best Overall
| Service | Published pricing or usage detail | Important qualification |
|---|---|---|
| Maxylum | $397 per month plus a $597 one-time setup fee | Its pricing page, accessed October 7, 2026, conflicts on included usage: the upper pricing section says 500 inbound voice minutes and 1,500 AI messages, while the FAQ says 750 inbound voice minutes and 1,000 messages. Confirm the applicable limits directly. The page describes monthly service as cancellable month to month and setup as a one-time charge. Maxylum pricing |
| Wrench Dispatch | Publishes trade-focused monthly tiers with included minutes and $0.35-per-minute overages in visible plan details | The page also shows a waitlist; confirm current availability, tier terms, and overage rules before relying on the published details. Wrench Dispatch plan details |
Maxylum says its one-time setup covers configuration, business knowledge and AI training, workflow setup, testing, optimization, and launch support. Maxylum setup information A useful quote comparison should include more than the monthly subscription:
- One-time onboarding or configuration charges
- Included voice minutes, how a minute is counted, and overage rates
- Whether phone numbers, text messages, or integrations carry separate charges
- Contract length, cancellation terms, and any minimum commitment
- Who handles later changes to scripts, booking rules, and business information
How many calls does an HVAC or electrical contractor get?
The available case study is a single HVAC deployment, not a trade-wide benchmark. Certified AI Partners reports that its Ridgeline Heating & Cooling deployment handled about 1,560 calls over eight complete months, from September 2025 through April 2026. That is an average of 195 calls per month, with a winter peak near 230. The call log’s reported lead-capture rate was 24.7%. Ridgeline Heating & Cooling case study
Those figures describe one contractor’s deployment. They do not establish the average call volume or conversion rate for HVAC companies, electrical contractors, or contractors generally. The case study’s estimate of booked-work value uses a 46% booking rate and a $300–$500 service-ticket range that it characterizes as industry benchmarks, not Ridgeline’s financial records; the page does not identify the original source for those benchmarks. They should not be treated as verified market statistics or actual revenue from the deployment.

Estimate your own call volume before choosing a plan
- Review your phone records by month and hour, including busy-season periods.
- Separate new service leads from existing-customer calls, spam, and other non-booking calls.
- Estimate peak demand as well as an average month so you can judge whether the included minutes will be enough.
- Ask each provider how it counts minutes, handles simultaneous calls, alerts you when usage is high, and responds when the allowance is exceeded.
Also ask for results separated into calls answered, qualified leads, appointments booked, transfers, spam, and failed or abandoned calls. A high answer count alone does not show how many jobs were booked or how much revenue was realized.
What does setup involve?
Setup means translating the contractor’s real operating rules into a call workflow, then testing whether the system follows them. Before configuration, gather the information the receptionist needs:
- Business hours, call coverage, service area, and services offered
- Common customer questions and any dispatch or diagnostic fees that can safely be quoted
- Booking windows, calendar permissions, and whether the system should create an appointment or a field-service job
- What counts as an emergency, who is on call, and how an urgent call should be escalated
- After-hours behavior and what to do when the caller’s issue is unclear
Maxylum describes a process of discovery, configuration, testing and optimization, and go-live; it says many implementations take a few business days, depending on workflow complexity. Maxylum setup information AI First Assist says its setup call collects hours, service area, dispatch fee, and booking preferences, and claims many contractors can go live the same evening. That is the vendor’s stated timeline, not a general guarantee. AI First Assist setup and integrations

- 2-line operation: Conference between an outside line and up to 2 cordless handsets, expandable up to 12 handsets
- Digital answering system with voice guide records up to 13 minutes
- 50 name and number caller ID history
- Intercom between handsets and base unit
- Trilingual prompts: Choose between English, Spanish and French
Test the important call paths before forwarding your public line
- A routine request that should become an appointment
- A caller outside your service area
- A question about pricing or a fee the system may be allowed to state
- An urgent scenario that should trigger a live transfer or on-call alert
- A call where the problem is unclear and the system should ask for help rather than improvise a diagnosis
- Concurrent calls and any situation where the system cannot complete a booking
After launch, review transcripts, bookings, escalations, and errors. Confirm that the system creates the intended records in the correct calendar or dispatch software and that staff can see and act on them.

Compare the workflow the service can reliably complete, not just the vendor’s label for the product.
1. Booking depth
Find out whether the service only takes messages, creates calendar appointments, or creates jobs in your field-service platform. AI First Assist lists Google Calendar, Jobber, Housecall Pro, ServiceTitan, and Twilio among its integrations. Confirm that the connection supports the exact actions and data your workflow needs. - New DECT 6.0 Technology - Interference Free Communication - Increased Clarity / Enhanced Security - Wider Range / Network Friendly
- Expandable Up To 12 Handsets
- 2-Line Operation & Up To 4-Way Conferencing
- Extra Large LCD Display w/ Adjustable Tilt
- Trilingual Menu Support (English / Spanish / French)
2. Emergency handling
Ask whether you can define the conditions that trigger a live transfer or on-call alert. Test those conditions directly, and check that the receptionist does not provide diagnoses or instructions beyond what your business has approved.
3. Minutes, peak usage, and concurrent calls
Confirm the included minutes, how usage is measured, simultaneous-call capacity, usage alerts, and overage charges. Wrench Dispatch publishes estimated call counts alongside minutes for some tiers, but its page shows a waitlist; verify the offer and terms currently available to you. Wrench Dispatch plan details
4. Setup and ongoing changes
Clarify who configures the service, tests call scenarios, updates business information, and changes scripts or workflows later. Ask what support is included and whether changes cost extra. Maxylum describes configuration and testing as part of its setup; AI First Assist lists onboarding information it gathers. Maxylum setup information AI First Assist setup and integrations

5. Phone and software compatibility
Ask whether calls are forwarded or the number must be ported, and whether the service works with your actual phone system, scheduler, and dispatch platform. Get the vendor to demonstrate the intended workflow with your software rather than relying only on an integration logo or a general compatibility statement. Mercvox describes call forwarding and lists Google Calendar and SMS, with Jobber and Zapier marked as coming soon. Mercvox setup information
6. Reporting that distinguishes activity from outcomes
Ask for reporting that separates answered calls, qualified requests, bookings, transfers, spam, and calls the system failed to handle. Treat vendor performance claims and customer testimonials as claims, not as independent verification of booked work or recovered revenue. For example, Certified AI Partners quotes Ridgeline owner Nick McIntier describing the system’s role in collecting customer details while he is working in the field; that is a customer testimonial, not an independent evaluation.
