For phone answering alone, an AI receptionist is usually the lower-cash-cost option. A human receptionist or live answering service can justify its higher cost when the role includes front-desk presence, nuanced judgment, complex scheduling, or high-value callers. The meaningful comparison is not a subscription price against a salary; it is the cost of equivalent coverage, minutes, duties, payroll burden, and exception handling.
The figures below separate U.S. employment costs from published service-plan prices and show how call volume and overages change the result.
At a glance: the published cost ranges
These figures are not an apples-to-apples market average. The employee figure is a U.S. wage calculation, while the other figures are entry prices for selected answering plans. Each number keeps its original date, geography, sample size, and scope.
| Option | Published figure | What it includes or measures | Important limitation |
|---|---|---|---|
| In-house receptionist, United States | $38,010 median annual wage in May 2025; approximately $40,917.77 per year or $3,410 per month after adding 7.65% employer FICA | Wage plus the employer share of Social Security and Medicare, calculated by Voxrater from the occupation identified as BLS 43-4171 | A floor, not a fully loaded employment cost; state unemployment insurance, workers’ compensation, benefits, recruiting, equipment, leave, and office costs are not included |
| AI receptionist service | $79 per month median entry price, with a $29–$399 range | September 2026 FitMyCall index of seven vendors with comparable published entry pricing | Plans can include a limited number of minutes or calls and may charge overages, setup fees, or integration fees |
| Human answering service | $250 per month median entry price, with a $99–$350 range | September 2026 FitMyCall index of three human answering services | A small selected sample of entry plans, not the cost of a full-time employee; included minutes differ by provider |
| Human answering service with stated minute allowance | $1.75–$5.00 per minute; $1.98 median entry rate | Rates reported in the same September 2026 FitMyCall sample | Billing increments, transfer rules, and minimum charges can materially change the invoice |
The employee wage of $38,010 was reported by Voxrater as the May 2025 median for BLS occupation 43-4171. Its calculation multiplies that wage by 1.0765 for employer FICA, producing $40,917.77 annually, or about $3,410 monthly. The calculation does not claim that $3,410 is an all-in employment cost. Voxrater also illustrates roughly $54,400 annually by applying a broad all-private-industry BLS compensation ratio to the occupation; that is an illustrative derivation, not a measured receptionist benefits cost.

How much does an AI receptionist cost?
In the September 2026 FitMyCall index, the median published entry price among seven AI receptionist vendors was $79 per month. The observed range was $29 to $399 per month. “Entry price” describes the smallest advertised tier that qualified for the index, not unlimited usage or a guaranteed monthly bill.
What an AI plan commonly meters
- Minutes or calls: A plan may include a fixed allowance, then bill each additional minute or call.
- Billing increments: A provider may round a short call to a larger increment, so duration matters as much as call count.
- Transfers: Transfers to a mobile, landline, or staff member may have separate rules or charges.
- Integrations: Calendar, customer-relationship-management, ticketing, or payment integrations may require a higher tier or a setup charge.
- Specialized workflows: Appointment qualification, intake questions, multilingual support, or industry-specific scripts can move a business out of the entry tier.
The advertised monthly amount is therefore a starting point. Request the allowance in minutes, the overage rate, rounding policy, transfer treatment, implementation fee, cancellation terms, and taxes in writing.

What does a live answering service cost?
FitMyCall’s September 2026 index placed the median published entry price for three human answering services at $250 per month, with a range of $99 to $350. For plans that stated an entry-minute allowance, the reported entry rates were $1.75 to $5.00 per minute, with a $1.98 median.
A live answering service is not the same as hiring a receptionist. Agents may answer calls remotely during specified hours, take messages, schedule appointments, or transfer callers. They generally do not provide a person in your lobby, receive deliveries, manage office opening and closing, or perform every task assigned to an employee. Ask whether the plan uses dedicated agents, a shared pool, or an overflow-only model, because continuity and caller context can differ.
What does an in-house receptionist really cost?
The U.S. wage-plus-FICA calculation is a useful baseline for a staffed employee, but it covers a broader role than many call-answering subscriptions. A receptionist may greet visitors, accept deliveries, manage a switchboard, schedule appointments, process forms, support coworkers, and remain physically available during business hours.

Measured and unmeasured components
- Measured in the cited calculation: the $38,010 median annual wage and 7.65% employer FICA.
- Explicitly omitted: state-variable unemployment insurance and workers’ compensation.
- Usually added in a complete budget: health and retirement benefits, paid leave, recruiting, onboarding, payroll administration, workstation and phone equipment, training, supervision, and the cost of covering absences.
- Illustrative only: the approximately $54,400 annual benefits-inclusive figure derived from a broad private-industry BLS compensation ratio. It should not be presented as a measured receptionist cost.
For a fair comparison, decide whether you need a person at a physical desk or only reliable call handling. Comparing a full-time employee’s complete duties with a low-volume AI plan will overstate the apparent savings.
A real usage example: 100 calls per month
NextPhone modeled 100 calls per month at three minutes each, or 300 total minutes. In prices checked October 5, 2026, its vendor-specific examples showed the following outcomes:
| Service type | Modeled monthly result | How to interpret it |
|---|---|---|
| Budget AI examples | $75–$85 | Plans that fit the modeled usage before or with limited overage exposure |
| Budget AI example after overages | $149 | The same general usage can cost more when the allowance is exceeded |
| Flat-rate AI plan | $199 | A higher fixed price can be preferable when it removes uncertain usage charges |
| Human live-answering examples | $479–$1,160 | Vendor-specific calculations for the same 100 three-minute calls |
These are published comparison calculations, not a universal tariff or an independently audited benchmark. They demonstrate why included minutes and overage rules matter more than the headline tier. A business with shorter calls, seasonal peaks, or many transfers can land on a different tier.

How to calculate your own monthly cost
Use a worksheet that keeps labor scope and usage visible. Gather at least one month of call records, and use a busy month as a second scenario.
- Count inbound calls. Separate answered calls, missed calls, abandoned calls, spam, and calls that required a transfer.
- Measure duration. Record total connected minutes and the average and 90th-percentile call length. A few long calls can consume an allowance quickly.
- Mark the work performed. Identify simple message taking, appointment booking, qualification, payment or account questions, emergency escalation, and tasks requiring a human decision.
- Define coverage hours. Compare your employee’s staffed hours with the service’s weekday, evening, weekend, holiday, and 24-hour coverage.
- Price the AI option. Start with the recurring tier, add setup and integration charges, then add
max(0, actual billable minutes − included minutes) × overage rate. Apply the provider’s rounding rule before calculating. - Price the live service. Include the monthly base, included minutes, per-minute or per-call overages, transfer charges, holiday premiums, and any minimum invoice.
- Price the employee option. Use wage, employer payroll taxes, benefits, paid nonworking time, recruiting and training, equipment, and coverage for leave. Keep one-time costs separate from recurring monthly costs.
- Value outcomes. Estimate bookings completed, qualified leads, avoided interruptions, and revenue or margin per converted call. Do not assume every answered call creates equal value.
Run at least three cases: normal month, seasonal peak, and outage or overflow month. A plan that is cheapest in the average month may be expensive when a promotion, storm, or staffing absence doubles call volume.
Why there is no universal break-even point
The available figures do not establish a universal call volume at which AI always becomes cheaper, or a universal return on investment. Break-even depends on the employee’s duties and loaded cost, the plan’s allowance and overage rates, call duration, coverage window, transfer frequency, and the value of a completed booking.

For example, an AI service can handle a large number of predictable appointment requests at a low marginal cost, while a human service may be economically sensible when one complex call prevents an expensive error. Conversely, paying employee-level costs for a role that is idle much of the day may be inefficient if callers need only basic routing. Calculate your own threshold from actual quotes rather than applying the $79, $250, or $3,410 figures as universal benchmarks.

| Requirement | AI receptionist | Human receptionist or answering service |
|---|---|---|
| Routine greetings, hours, location, and basic FAQs | Usually well suited when the script and data are stable | Can handle it, with a higher labor cost |
| Appointment booking from defined rules | Works when calendars, constraints, and escalation paths are configured | Agents can resolve ambiguity but need current instructions |
| Nuanced complaints or emotionally distressed callers | Requires carefully designed escalation; automation may frustrate callers | Human judgment and empathy are available |
| Emergency or safety-critical situations | Must follow a tested escalation script; verify limitations with the provider | Can apply judgment, but agents still need your emergency protocol |
| Lobby greeting, deliveries, mail, and physical access | Does not replace an on-site person | An in-house receptionist can perform these duties |
| Continuous or after-hours coverage | Often available if the plan includes it | May require an after-hours tier, staffing schedule, or separate service |
| Privacy-sensitive information | Requires review of data handling, retention, access, and vendor agreements | Requires staff training, confidentiality controls, and supervision |
Hidden charges and operational risks
Overages and rounding
Ask whether a call is billed by the second, minute, started minute, or fixed block. Confirm whether transferred legs count separately. A plan with a low base price can exceed a flat-rate alternative after a few long calls.
Setup and integration work
Budget for script design, number porting, calendar or CRM integration, testing, staff training, and revisions after launch. Establish who owns the call recordings, transcripts, prompts, and workflow configuration.
Recommended Free Tools
Coverage and failure handling
Verify holiday schedules, language support, outage procedures, voicemail fallback, and how a caller reaches a person. Test transfers from several phone networks and at different times of day. For an employee or live service, check backup coverage for illness, vacation, and simultaneous calls.
Quality and compliance
Define measurable acceptance criteria: correct caller identification, booking accuracy, transfer success, response time, and escalation completion. Review how sensitive data is stored and deleted, and obtain any contractual assurances your industry requires.
When an AI receptionist is usually the better fit
- Your calls are repetitive, scripted, and concentrated outside staffed hours.
- You need predictable routing and appointment capture rather than physical front-desk work.
- Call volume is low or uneven, making a full-time employee underutilized.
- You can maintain accurate business hours, service information, calendars, and escalation rules.
- You have a human fallback for exceptions and a process to review failed or abandoned calls.
When a human is worth the premium
- The receptionist must greet visitors, manage deliveries, or perform office administration.
- Callers routinely describe unusual situations that cannot be reduced to a decision tree.
- A mistake could create material financial, legal, medical, or safety consequences.
- Relationship continuity, empathy, negotiation, or language nuance drives conversions.
- Your call volume and complexity justify dedicated attention, or your team lacks capacity to maintain an automated workflow.
A practical selection process
- Write the service boundary. List what the system may answer, book, transfer, decline, or escalate.
- Create a representative call set. Include ordinary questions, difficult callers, wrong numbers, after-hours calls, and emergencies appropriate to your business.
- Request itemized quotes. Require base fee, included minutes, rounding, overages, transfers, setup, integrations, taxes, contract term, and cancellation terms.
- Run a controlled pilot. Use a separate number or overflow schedule, log every failure, and compare answered calls with bookings and qualified leads.
- Set a review threshold. Decide in advance what accuracy, transfer success, and cost per completed outcome justify expansion or a switch to human coverage.
- Keep an escalation path. Publish a current on-call roster and test it monthly; an automated greeting without a reachable person is not complete coverage.
Common comparison mistakes
- Using an entry-tier AI price as though it included unlimited calls.
- Comparing a full-time employee with a service that only answers the telephone.
- Ignoring paid leave, benefits, payroll taxes, equipment, and recruiting in the employee budget.
- Ignoring overage, transfer, setup, integration, and holiday charges in the service budget.
- Using average call volume while omitting seasonal peaks.
- Assuming every answered call has the same business value.
- Choosing automation for calls that require professional judgment without a tested human escalation.
- Treating a small selected sample of published prices as a complete market census.
Bottom line for a cost decision
Use the published figures as reference points, not as a promise of savings. In the United States, the cited May 2025 wage-plus-FICA calculation puts an in-house receptionist at about $3,410 per month before variable payroll costs and benefits. The September 2026 service-plan index places selected AI entry plans at a $79 monthly median and selected human answering plans at a $250 monthly median, while the October 2026 100-call model shows how overages and service scope can push actual monthly bills much higher. The right choice is the option that delivers the coverage and duties you need at an acceptable cost per completed outcome.
