Before installing an AI prompt manager, inspect its permission screen and privacy policy. Determine whether prompts stay in your browser or are synchronized to a vendor, what account and diagnostic data is collected, which websites the extension can access, whether sharing publishes prompts publicly, and how export, deletion, retention, and security are handled. Treat every policy as a vendor disclosure—not independent proof that the implementation works exactly as described.
Why prompt-manager privacy is different from ordinary note-taking
A prompt manager stores reusable instructions, examples, workflows, and sometimes text copied from webpages or workplace documents. Those entries can contain customer details, internal processes, source code, credentials, personal information, or confidential business context even when the extension is marketed as a simple productivity tool.
The critical distinction is where that library exists. A local-first extension may keep prompts in the browser profile and require no account. A cloud-enabled product may transmit prompt text, workflow definitions, and account data to its service so it can synchronize across devices. Both models can be legitimate, but they create different exposure, deletion, and compliance questions.
Feature names are not enough. “Privacy-first,” “secure,” and “local” can describe a default while optional synchronization, catalog, telemetry, or page-context features create additional data flows. Evaluate each feature path you intend to use.

Start with a five-minute disclosure audit
- Open the current installation permission screen. Record every requested permission and the sites covered. Do not rely on an old screenshot or a store description; permissions can change with a new extension version.
- Read the privacy policy’s data inventory. Look specifically for prompt content, titles, tags, account identifiers, analytics, technical information, error logs, selected page text, cookies, chat history, and advertising data.
- Map storage and transfer. Identify what remains in local browser storage, what is sent to an application programming interface, whether an account is required for sync, and where hosted copies are stored.
- Test the control model on paper. Find the documented method for export, deletion, uninstall cleanup, public unpublishing, and removal of cloud backups. If the policy only says data is kept “as long as needed,” note that it does not provide a fixed deadline.
- Check security evidence. Look for encryption in transit and at rest, access controls, key management, incident response, and the scope of any independent assessment. Generic claims such as “industry-standard security” do not establish those controls.
Save the policy’s effective date and the extension version you reviewed. A later update can alter permissions or data handling without changing the product’s name.
Local storage, cloud sync, and hybrid designs
“Local” and “cloud synced” are materially different descriptions. A local library limits routine transmission to the browser profile, but it also makes device migration, backup, and recovery your responsibility. Cloud synchronization can provide continuity across devices, while creating hosted copies subject to the provider’s access controls, retention rules, and legal obligations.

Open Prompt Manager’s policy describes a local core library and says its core features do not require an account, email address, or sign-in. It also states: “Your prompt library is not synced that way — use export / import to copy prompts to another device.” An optional sharing token may follow the Chrome profile, but the policy says the prompt library itself is not synced through that mechanism. These are published statements, not an independent technical audit.
ContextNode describes local extension storage with optional cloud synchronization. When cloud or account features are enabled, its policy says prompt, workflow, and account data are sent to its application programming interface over HTTPS and stored by the hosted service. The policy lists retention purposes but does not establish a fixed number of days.
PromptManager.ca’s July 2025 policy describes cloud storage and synchronization and lists account email, username, password, saved prompt data, anonymized analytics, technical information, and error logs. It also identifies US cloud servers. That is a materially different data flow from the local-first example.

Inventory every category of collected data
Prompt and workflow content
Ask whether the service stores the complete prompt, only metadata, or both. Titles and tags can reveal projects even when the prompt body is short. Workflows may expose internal process steps, tool names, or customer identifiers.
Page text and chat context
Some extensions can save selected page text as prompt content when you explicitly choose a capture action. Confirm whether the extension reads page content continuously, only when you click an action, or merely locates the chat input to insert text. Do not assume that an extension with access to a chat site uploads the conversation.

Separate required identity fields from optional telemetry. An email address, username, and password create an account record; usage analytics can reveal when and how often prompts are used; technical data and error logs can include browser, device, extension, or failure details. Ask whether analytics can be disabled and whether logs are retained after an account is deleted.
Cookies and authentication material
A policy should state whether cookies, page tokens, or login information are read or transmitted. Open Prompt Manager’s policy says it does not upload page content, chat history, or cookies, while using enabled-site access to find the chat input and insert a selected prompt.
Examine website permissions and insertion behavior
An extension may need site access because it inserts a selected prompt into an AI chat input. That permission is not automatically equivalent to permission to upload the entire page, but it gives the extension an opportunity to interact with the page. Verify the scope rather than inferring it from the feature name.

- Scope: Are permissions limited to sites you enable, or do they cover all websites?
- Timing: Does access occur only after an insertion command, or whenever a page loads?
- Revocation: Can you disable a site without uninstalling the extension?
- Content handling: Does the policy distinguish chat history, page text, cookies, and the input field itself?
- Change control: Will a version update request broader access?
Open Prompt Manager says site access is optional, applies to enabled sites, and can be revoked. Its policy describes looking for the chat input on those sites to insert a selected prompt, while stating that page content, chat history, and cookies are not uploaded. Confirm the current permission dialog and policy before installation because these statements describe the reviewed version, not every future release.

A catalog feature can create a second privacy boundary separate from local storage or synchronization. Importing a catalog entry may copy a selected prompt into your local library. Sharing can publish the selected prompt under a public handle. Once published, assume anyone can read, copy, archive, or adapt it.
Review the exact meaning of buttons such as Share, Publish, Submit, and Import. Before publishing, remove credentials, personal data, customer names, private URLs, proprietary instructions, and hidden system context. Check whether you can unpublish an entry and whether cached or copied versions can remain elsewhere.
Open Prompt Manager’s policy distinguishes importing from sharing and warns that catalog prompts are public. It also says community entries are unverified. Treat an imported prompt as untrusted text: inspect it for instructions that could disclose data, change an assistant’s behavior, or cause an unsafe action before pasting it into an AI service.
Check export, deletion, uninstall, and retention
Export and device migration
Find the export format, whether it includes tags and folders, and whether exported files contain sensitive content in plain text. Store an export with the same care as the original library. A local-first product may make export the only supported migration path.

Deletion and uninstall
Determine whether deleting an entry removes only the local copy or also synchronized copies and backups. Check whether uninstalling removes the browser profile data, and whether an account must be closed separately. Open Prompt Manager describes local export and deletion and says profile data is removed on uninstall; verify the current implementation before treating that as a guarantee.
Public unpublishing
If you submitted a catalog prompt, look for a documented unpublish action and clarify whether public URLs, moderation copies, or backups survive. Deleting your local entry does not necessarily withdraw a published copy.
Cloud retention
Policies often list operational, security, legal, or backup purposes without a calendar deadline. ContextNode describes keeping data only as long as needed for listed service and other purposes, but the reviewed policy does not provide a fixed number of days. PromptManager.ca’s policy describes backups without stating a fixed retention timeline. Ask the provider for a deletion process and expected completion window if your requirements demand one.

- Encryption in transit and at rest, with the protected systems clearly identified.
- Role-based access controls, administrative logging, and support-access procedures.
- Key-management ownership and rotation practices.
- Vulnerability disclosure and incident-notification procedures.
- Independent assessment scope, date, and whether it covers the extension, backend, or both.
- Subprocessors, hosting regions, and cross-border transfer terms.
If a provider will not answer these questions, treat the absence as an unresolved risk rather than evidence that no risk exists.
What workplace and regulated users should do
Have your organization’s security or privacy owner review the extension before employees use it with confidential material. Google’s enterprise guidance recommends understanding a GenAI capability’s security, privacy, and compliance posture before introduction, including data collection, purpose, processing limits, retention, encryption, storage, and enterprise controls.
Define permitted and prohibited content in writing. For example, allow public brainstorming prompts but prohibit credentials, regulated records, customer transcripts, source code, and unreleased business plans until the service is approved. Browser policies for a browser maker’s own generative-AI features should not be assumed to govern an unrelated third-party extension.

For higher-risk environments, consider blocking unapproved extensions, requiring managed browser profiles, restricting site access, and monitoring changes to requested permissions. Document the approved version and re-review after major updates.

These examples illustrate different disclosure patterns, not a ranking of safety. A local-first description does not prove that every optional feature is local, and a cloud service is not automatically insecure. The decision depends on the data you will store, the controls you can verify, and the risk your organization accepts.

- Classify your prompts. Separate public, personal, internal, regulated, and credential-bearing content.
- Choose the least-exposing architecture that meets your need. If you only need one-device reuse, a local library may avoid unnecessary synchronization. If you need multi-device access, examine the cloud path in detail.
- Install with optional permissions disabled where possible. Enable only the AI-chat sites on which insertion is genuinely required.
- Leave sharing and catalog publication off initially. Learn the visibility and unpublish controls before submitting anything.
- Run a deletion rehearsal. Export a harmless test prompt, delete it, uninstall or disable the extension, and verify what the documented process says should remain.
- Record your decision. Keep the policy date, extension version, permissions, enabled sites, and approved data categories so a later update can be compared.
Red flags that should stop installation
- The policy does not identify whether prompt text is stored locally or remotely.
- The extension requests access to all websites without explaining why.
- Sharing is described as “private” without a visibility setting or unpublish process.
- Deletion language covers the account but not prompt copies, backups, logs, or public submissions.
- Analytics and error collection are unexplained or cannot be disabled.
- The store listing is years old and there is no clear evidence that the policy matches the current build.
- Security claims use broad marketing language but provide no control details or assessment scope.
