I keep a separate, user-managed record of important facts because it gives me one place to review and reuse them, rather than relying on any single chat or assistant to retain them. Built-in memory, projects, chat search, and notebooks can all help; the separate record is about deliberate organization and portability, not proof that those features do not work.
What “keeping AI facts outside the chat” means
It means maintaining a concise record of information an assistant may need repeatedly—such as a project’s goals, preferred writing style, constraints, or decisions—in a document or note you control. When starting a relevant conversation, I provide the applicable facts instead of assuming that an assistant will remember them correctly or that they will be available in every chat.
The record is not a transcript archive. It is a maintained reference: facts can be corrected, removed, or updated in one place. The useful distinction is between the canonical version you manage and the temporary context you share with an assistant.
Why keep a separate record when assistants have memory?
One reference can serve more than one conversation
A chat may be scoped to a particular conversation, project, or account feature. A separate record can be reused wherever you choose, including with another assistant or in a fresh chat. That portability is practical, though it depends on your ability to access and share the record; it does not guarantee that every assistant will interpret it the same way.

You can make the important facts visible and editable
A maintained note lets you see what you consider important, remove outdated details, and decide what to disclose for a particular task. This is different from relying on an automatically generated memory or inferred context whose scope and controls vary by product.
It encourages selective context sharing
Instead of supplying a whole conversation history, I can share only the few facts needed for the current request. That makes the context easier to inspect and reduces unnecessary disclosure. It is a useful privacy practice, not a guarantee that external storage is inherently safer: security depends on where the record is kept, who can access it, and how it is shared.

What built-in AI memory and context features can do
These features are not interchangeable. A project, a memory setting, a search tool, and a notebook may each retain or surface different information. Settings, account type, plan, and workspace policy can also affect what is available, so check the current controls for your account.

How to build a useful AI reference
- Choose a place you control. Use a document or note that you can access and edit. Before relying on a particular service, consider whether you can export the content and manage access and deletion.
- Keep it short and structured. Separate durable facts—such as an ongoing project’s purpose—from preferences and current decisions. Include enough context to prevent ambiguity, but avoid turning the file into an unfiltered chat log.
- Label facts that can change. Add dates or “current as of” notes to deadlines, roles, prices, plans, and other time-sensitive details. Remove or revise them when they stop being true.
- Share only the relevant section. Give an assistant the facts needed for the current task, and state that the supplied details are the source to follow. Do not assume that a memory feature will override stale context or resolve contradictions on its own.
- Review the record and assistant settings periodically. Correct errors, remove sensitive details you no longer need, and check each product’s memory, activity, file, and deletion controls when those features are part of your workflow.
What a separate record does—and does not—solve
A user-managed reference can make important context easier to inspect, update, and reuse across chats. It also gives you a clear place to start when a product’s memory scope is unclear. But it creates its own maintenance responsibility: an outdated note can mislead an assistant just as stale saved memory can.
Nor does storing facts outside a chat automatically make them private. A record in a synced account, shared workspace, or device may still be accessible to others. Treat the document’s access controls and the assistant’s retention settings as separate decisions, and avoid placing highly sensitive information in either unless you understand the applicable protections and policies.

When built-in memory may be enough
If your needs are limited to one assistant and its controls suit you, built-in memory, project context, chat search, or a notebook may be convenient without a separate file. A standalone record is most useful when you want an inspectable canonical reference, expect to move between tools, or need to decide precisely which context to provide. These are workflow choices; the available documentation does not show that one approach is best for every user.
