The best AI knowledge-management tool depends on where your information lives and how broad your questions are. Use a source-bounded notebook such as Google NotebookLM or Microsoft 365 Copilot Notebooks when you need answers from a defined set of files. Use an enterprise search product such as Notion Enterprise Search or Glean when people must search across connected workplace systems. No tool is a universal winner: connector coverage, permissions, source limits, licensing and citation traceability determine the practical fit.
Two different jobs hide behind “AI knowledge management”
AI knowledge-management products generally solve one of two retrieval problems:
- Document notebooks: You choose the references, then ask questions about that bounded collection. This model is useful for a project archive, course material, onboarding packet, policy set or research folder.
- Enterprise search: The system searches across workplace applications and connected repositories. This model is useful when an answer may be split between chat, documents, tickets, wikis and shared drives.
A notebook is not automatically a company-wide index. Conversely, an enterprise search product may be unnecessary if your real task is to understand 20 project documents. Start by defining the retrieval boundary, then check whether the product can reach every source and respect the permissions attached to it.

| Tool | Best starting use | Documented source or connector scope | Documented limits or unknowns | Verify before adopting |
|---|---|---|---|---|
| Google NotebookLM | Questions about a selected set of reference material | PDFs, websites, Google Docs and Slides, YouTube URLs and other supported notebook sources | Standard and Pro source caps are plan-sensitive; a localized Pro help page reports up to 300 sources per notebook | Current plan, geography, source cap, sharing and privacy terms |
| Microsoft 365 Copilot Notebooks | Microsoft 365 users who want answers grounded in notebook references | DOCX, PPTX, XLSX, PDF, Loop, OneNote, TXT, Markdown and web URLs; licensed work accounts can also reference Outlook, Teams meetings, SharePoint sites and pages, and folders | Copilot Chat supports up to 50 references; work or school Copilot can add more than 300 and grounds on the first 300, subject to licensing | License, SharePoint or OneDrive service plan, rollout status and account eligibility |
| Notion Enterprise Search | Cross-app search for organizations already using Notion and connected services | Notion plus connectors named by Notion for Slack, Microsoft Teams, Google Drive and Jira | Pricing, complete connector matrix and comparative answer quality are not stated in the cited material | Connector availability, permission behavior, indexing freshness and plan requirements |
| Glean | Enterprise AI coworker and company-knowledge discovery | Documentation describes answers based on company knowledge and connected systems | The cited documentation does not establish pricing, a full connector list or a head-to-head performance result | Required systems, permissions, deployment model, regional availability and commercial terms |
This is a fit comparison, not an accuracy ranking. The available product documentation does not provide a comparable independent benchmark, so claims that one product is universally more accurate or better value would go beyond the evidence.

Google NotebookLM: a focused source notebook
What it is suited to
NotebookLM is the clearest match when you can define the evidence set in advance. You add the material for a course, client engagement, product launch or policy review and ask questions against that collection. Google’s help material describes adding PDFs, websites, Google Docs and Slides, YouTube URLs and other supported sources, with responses that cite the supplied references (Google NotebookLM Help).
That boundary is valuable: an answer can be inspected against the documents you intentionally selected instead of an undefined corporate index. It also creates a limitation. If the needed fact sits in a ticketing system, private chat or an unconnected drive, a notebook will not discover it merely because it exists somewhere in the organization.
How to create a useful notebook
- Define the question set. Write down the decisions the notebook must support, such as “What are the launch prerequisites?” or “Which clauses differ between these contracts?” This prevents an unstructured upload pile.
- Add authoritative sources first. Prefer the current policy, approved specification or signed agreement over informal notes. Include version dates in filenames or document titles so conflicting editions are visible.
- Check ingestion. Confirm that each source appears in the notebook and that scanned or image-only pages are readable. If a source fails to import, convert it to a supported text-bearing format rather than assuming the model saw it.
- Ask traceable questions. Request an answer with the relevant source and section named. Compare the response with the cited passage, especially for numbers, exceptions and dates.
- Refresh deliberately. Replace superseded files or add a clearly labeled new edition. Keep a small change log outside the chat so users know when the evidence set changed.
Limits and plan caveats
Google’s detailed Pro information retrieved for this comparison is a Portuguese-localized page and reports higher limits, including up to 300 sources per notebook compared with 50 for the standard tier described there (Google NotebookLM Pro help). Treat those numbers as volatile plan information, not a universal quota: check the current localized plan page for the account and region you will use.
NotebookLM responses can include citations, but a citation is a pointer to a source, not proof that the answer interpreted it correctly. For regulated, financial, legal or safety-sensitive work, have a person verify the cited wording and retain the underlying document.
Microsoft 365 Copilot Notebooks: notebooks inside a Microsoft 365 environment
What the notebooks ground on
Microsoft describes the core behavior plainly: “Copilot will provide an answer grounded on the references in your notebook.” (Microsoft Support). The August 2026 support article lists DOCX, PPTX, XLSX, PDF, Loop, OneNote, TXT and Markdown files, as well as web URLs. For licensed Copilot users, it also lists Outlook emails, Teams meetings, SharePoint sites and pages, and folders.

This makes Copilot Notebooks attractive when the material already resides in Microsoft 365. Microsoft’s references guidance says SharePoint sites, document libraries or folders, and OneDrive or SharePoint document links can be used, and that references remain current as the underlying data changes (Microsoft Support). Availability can roll out gradually, so an item described in documentation may not yet appear in every account.
Source limits are license-dependent
| Notebook access | References that can be added | Grounding behavior documented by Microsoft |
|---|---|---|
| Free Copilot Chat | Up to 50 references | All 50 references are used for grounding |
| Work or school Microsoft Copilot | More than 300 references can be added | The first 300 references are used for grounding |
Microsoft’s separate licensing page summarizes the same distinction as up to 50 sources for Copilot Chat and up to 300 for work or school Copilot (Copilot Notebooks Licensing). The apparent difference between “more than 300 can be added” and “up to 300 sources” reflects two Microsoft descriptions of adding versus grounding; do not assume that every attached reference influences an answer. Organize the most authoritative material within the references that the account actually grounds on.
Setup path
- Create a notebook in the supported Microsoft 365 experience. A SharePoint or OneDrive service plan is required to create notebooks, according to Microsoft’s licensing information.
- Add files and links. Use the reference controls to select local supported files, web URLs or Microsoft 365 locations available to your account.
- Separate current from historical material. Put the active policy or latest project plan in the primary set and label archives so an older instruction is not mistaken for the current one.
- Ask about the notebook contents. Phrase questions around the references and ask for the supporting file or passage when a decision depends on a precise clause.
- Check access and rollout. If a SharePoint page, folder or meeting is missing, verify that your account can open it directly, that the required license is assigned and that the feature has reached your tenant.
Best fit and trade-offs
Choose this route when your team already governs documents in SharePoint, OneDrive, Outlook and Teams and wants a notebook without exporting everything to another service. The trade-off is administrative complexity: useful reference types depend on licenses and service plans, and Microsoft notes that some capabilities roll out gradually. A free Copilot Chat notebook with 50 references is a different operating envelope from a licensed work notebook that grounds on 300.
Notion Enterprise Search: connected-app answers
Where it differs from a notebook
Notion positions Enterprise Search as a way to find answers across Notion and connected applications, with cited sources (Notion Enterprise Search). Its help documentation names Slack, Microsoft Teams, Google Drive and Jira connectors (Notion Help). That is a cross-application retrieval workflow: the user does not have to gather every relevant page into one manually curated notebook first.
Controls to evaluate
- Connector coverage: Confirm that the applications your teams actually use are supported in your plan and geography. A connector list is not a guarantee that every object type or attachment is indexed.
- Permission inheritance: Test with accounts that have different access levels. Search should not reveal a restricted page merely because another user can see it.
- Scope controls: Notion says users can control which apps, documents and web sources are included. Decide whether external web content belongs in the same answer space as approved internal material.
- Freshness: Ask how quickly edits, deletions and permission changes appear in results, then test that interval with a disposable document.
- Citation inspection: Open cited results as a normal user and verify that the excerpt supports the answer rather than merely containing a matching keyword.
Notion’s public material does not establish a complete connector matrix, plan pricing or an independent accuracy comparison. Treat those as procurement questions, not assumptions.

Glean: an enterprise AI coworker candidate
Glean’s documentation, updated September 25, 2026, describes an enterprise AI coworker that helps users find answers from company knowledge and connected systems (Glean documentation). That description supports evaluating it for organization-wide discovery rather than for a single, hand-selected document bundle.
The cited documentation does not establish pricing, a definitive connector list or comparative performance results. Before a serious evaluation, ask for a systems inventory, permission model, synchronization behavior, regional hosting details and a demonstration using your own representative questions. Do not treat the phrase “AI coworker” as evidence that every repository, file type or workflow is covered.
Choose by retrieval boundary, not by feature count
| Question to answer | If the answer is yes | What to investigate next |
|---|---|---|
| Can we name the complete evidence set for this task? | Start with NotebookLM or Copilot Notebooks | Supported formats, source caps, citations, sharing and plan terms |
| Must the answer combine several workplace applications? | Assess Notion Enterprise Search or Glean; also assess Microsoft Copilot in a Microsoft 365 environment | Connectors, permission handling, freshness and citation traceability |
| Is the organization already standardized on Microsoft 365? | Copilot Notebooks may minimize content movement | License entitlement, SharePoint or OneDrive service plan and tenant rollout |
| Is knowledge centered in Notion plus chat and drive tools? | Notion Enterprise Search is a natural candidate | Connector completeness, scope controls and indexing delay |
| Do we need a broad enterprise discovery layer? | Evaluate Glean or another enterprise-search product | Repository coverage, deployment, permissions, governance and commercial terms |
Run this decision for each workflow. A company can reasonably use a notebook for a bid package and enterprise search for internal support; forcing both jobs into one product often creates either excessive administration or an incomplete search boundary.
A practical evaluation plan
1. Build a representative source set
Collect current and outdated versions, tables, long PDFs, meeting notes, spreadsheets and documents with similar wording. Include at least one file a typical user is allowed to see and one file they are not. For connected-app tests, use real folder and channel structures rather than a perfectly organized demo workspace.
2. Write test questions before seeing answers
- Lookup: “What is the cancellation period, and where is it stated?”
- Comparison: “Which requirements changed between the 2025 and 2026 specifications?”
- Synthesis: “Combine the implementation steps from the guide and the exception in the policy.”
- Abstention: “Is there evidence in these sources for a promised delivery date?”
- Permission: Ask the same question from accounts with different access.
Record whether the answer is supported, whether the citation opens for the user, whether a newer source outranks an old one and whether the system admits that the evidence is missing.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
3. Measure the workflow, not just prose quality
Track time to add or connect sources, time to locate a cited passage, failure messages, indexing delay, administrative effort and the number of manual corrections. A fluent paragraph that cannot be traced to an accessible source may be less useful than a shorter answer with a verifiable citation.
4. Define ownership and update rules
Name who removes obsolete documents, approves connector scopes, handles permission changes and investigates a disputed answer. Decide whether a notebook is disposable for one project or maintained as a living reference set. For enterprise search, document which repositories are authoritative when two systems disagree.
5. Pilot with sensitive-content boundaries
Begin with low-risk material and confirm access controls before connecting HR, legal, customer or security repositories. The product documentation cited here does not by itself establish your organization’s retention, residency or confidentiality obligations; your privacy and security teams must review those separately.

The answer cites a source but is still wrong
Open the cited passage and check whether the model confused sections, versions or exceptions. Narrow the question, ask for a quotation or table of evidence, and remove superseded sources. Citation presence is not citation accuracy.

A needed document never appears
For a notebook, verify that the file type is supported and that ingestion completed. For connected search, check the connector, user permission, folder scope and synchronization status. Microsoft specifically notes that license and rollout affect which Copilot references are available.

The answer ignores an attached reference
Check the account’s grounding limit. In Microsoft Copilot Chat, all 50 references can be used; in work or school Copilot, Microsoft says the first 300 are used for grounding even when more than 300 can be added. Reorder or reduce references so the authoritative material is inside the grounded set.
Search exposes too much or too little
Test with multiple user roles, not an administrator account alone. Confirm that access revocation propagates, that deleted files disappear and that external web sources are intentionally scoped. Never infer permission behavior from a marketing description; verify it with your tenant and data.
Users treat generated text as a final decision
Require source review for financial, legal, medical, safety and customer commitments. Put the document link and version in the approval record, and make the human owner—not the assistant—responsible for the decision.
Licensing, limits and availability questions to settle
| Question | What is established here | What remains account-specific |
|---|---|---|
| What does it cost? | Comparable prices are not stated in the cited material. | Subscription tier, seats, enterprise agreement, usage charges and regional taxes |
| How many sources can be used? | Microsoft documents 50 for Copilot Chat and up to 300 grounded sources for work or school Copilot; Google’s localized Pro page reports up to 300 per notebook. | Current plan, rollout, geography and whether the limit counts added or grounded references |
| Will workplace apps connect? | Microsoft, Notion and Glean documentation describe workplace references or connected systems. | Exact connector, object type, permission, sync interval and license |
| Are citations reliable? | Google, Microsoft and Notion describe cited or grounded answers. | Whether each citation actually supports the claim; this requires your own verification process |
Recheck current plan pages and account documentation immediately before purchase. Product limits, connector availability, license entitlements and gradual rollouts can change after the dates cited above.
Bottom line for a buying decision
Pick Google NotebookLM when the job is to interrogate a deliberately selected collection and you want a simple source boundary. Pick Microsoft 365 Copilot Notebooks when your references already live in Microsoft 365 and your license provides the required notebook and workplace sources. Pick Notion Enterprise Search when Notion plus named connected apps form the organization’s working knowledge. Put Glean on the enterprise-search shortlist when broad company-knowledge discovery is the goal, but require a connector, permission and deployment demonstration because the cited documentation does not supply those details.
Whichever route you choose, judge it with representative documents, permission tests and citation checks. The decisive question is not which assistant sounds most polished; it is whether the right people can retrieve the right current source and verify the answer.
The Bottom Line
Use a notebook for a defined document set and enterprise search for cross-application discovery. Validate source limits, permissions, freshness and citations in your own account before committing.
