If AI made a meaningful contribution to work you submit or publish, check the rules of the relevant journal, employer, funder, or publisher and disclose the use when required. A useful disclosure identifies the tool, what it did, which part of the work it affected, and what you actually reviewed or verified. You remain responsible for the final work; an AI tool cannot take that responsibility for you.
When should you disclose AI assistance?
There is no single disclosure threshold that applies to every assignment or workplace. Requirements depend on the venue and the kind of assistance. Read the current instructions before submitting, and ask the responsible editor, supervisor, or organization if the rule is unclear.
| Kind of use | What to check |
|---|---|
| Basic spelling, grammar, or reference-checking | Some policies treat routine language or reference tools differently from generative assistance. JAMA Network’s manuscript guidance, for example, excludes basic grammar, spelling, and similar tools from its stated reporting scope. That is JAMA’s policy, not a universal exemption. JAMA Network guidance |
| Material drafting, rewriting, summarizing, translation, or synthesis | Check whether the venue requires disclosure, and specify the affected content and task if you disclose. Do not assume that rewriting in your own words removes a disclosure requirement. |
| AI used for research, analysis, code, or generated media | Check both disclosure and methods-reporting requirements. A journal may expect details that make the work understandable or reproducible, subject to privacy and security limits. |
The International Labour Organization’s research guide says, “Authorship is a human responsibility,” and calls for explicit disclosure of AI use in manuscripts and acknowledgment of material contributions. ILO research guide In medical publishing, ICMJE recommends disclosing AI use at submission and describing it in the cover letter and submitted work as appropriate. It warns that nondisclosure may require correction and, in some circumstances, may be construed as misconduct. ICMJE recommendations

An AI system cannot accept responsibility for accuracy, originality, integrity, or proper attribution. The person submitting the work must check it and answer for the final version. ICMJE therefore says AI tools should not be listed as authors. ICMJE recommendations

Disclosure is not a substitute for review. Check factual claims against reliable sources, confirm quotations against the original material, and verify references rather than trusting citations generated by a tool. ICMJE states, “Referencing AI-generated material as the primary source is not acceptable.” Use the original source for a claim, not an AI response that describes it. ICMJE recommendations
- Confirm that each cited work exists and supports the statement attached to it.
- Check quotations against the source and preserve context.
- Review generated code, translations, summaries, and other material for errors relevant to their use.
- Do not claim human checks or validation that you did not perform.
What should an AI-use disclosure include?
Follow the venue’s requested format and level of detail. For scientific work, the CDC recommends a structure of “Content Affected + Action Taken + AI Tool + Purpose of AI Use + Human Oversight.” Its guidance says to identify the tool or platform and model/version, where it was used, and the extent of oversight; disclosure may belong in methods, acknowledgments, or a cover letter depending on the organization. The CDC describes its resource as a non-exhaustive account of best practices as of May 2026. CDC disclosure guidance

A practical statement to adapt is:
I used [tool and version] on [date(s)] to [specific task] in [identified portion of the work]. I reviewed and verified [specific elements actually checked] and take responsibility for the final content.

Replace each bracketed part with accurate details, and remove anything that does not apply. If the work used AI for research rather than only manuscript preparation, add the methods details your venue requires. JAMA Network’s guidance for manuscript preparation asks for the tool name, version, manufacturer, dates of use, how and where it was used, and confirmation of author responsibility. For AI used as part of research, it points to applicable reporting guidelines and sufficient reproducibility detail, including prompts for large language models. These are JAMA Network requirements and guidance, not a universal template. JAMA Network guidance

What information should stay out of public AI tools?
Do not enter sensitive, protected, or other non-public information into public AI tools unless you have confirmed that the tool and its use are authorized for that information. This can include confidential research data, unpublished work, personal information, or employer material. The CDC specifically cautions against entering sensitive, protected, or non-public data into public tools. CDC disclosure guidance
When AI use is part of research, consider privacy and rights as well as disclosure. JAMA Network directs authors to protect privacy and attend to copyright and other rights. A disclosure statement does not grant permission to share data or material. JAMA Network guidance

Does the law require disclosure for every AI-assisted document?
No blanket legal duty to label every private act of AI-assisted writing is established by the EU rule described here. Article 50 of the EU AI Act has defined transparency obligations, not a general requirement covering all writing. According to the European Commission, those obligations apply from August 2, 2026, and include duties involving deepfakes and AI-generated or manipulated text publications that inform the public on matters of public interest, with an exception described for text that has undergone human review and is subject to editorial responsibility. The Commission distinguishes the legal obligations from its voluntary Code of Practice, which helps signatories demonstrate compliance. The precise legal scope and implementation guidance can change, so check current official guidance for the relevant jurisdiction and context.
