Before entering anything sensitive into an AI chatbot, review seven separate areas: model-improvement use, chat history and retention, memory, connected apps and files, account security, deletion and export, and age or organization controls. A switch labeled “temporary,” “incognito,” or “training off” changes only some of those areas—not all of them. Provider names, menu locations, retention periods, and available controls vary by service, plan, age, region, and whether an account is managed by a school or employer.
Use this safety check before your first prompt
Open the chatbot’s privacy or data-controls page before starting a conversation. Record what each control actually changes, then decide what information is acceptable for that account. The same provider can offer different behavior for consumer, business, education, healthcare, family, and administrator-managed accounts.
- Model improvement: Can conversations or feedback be used to improve models, and does opting out apply only to new chats?
- History and retention: Will the conversation appear in your history, and how long can it remain for service, safety, review, or feedback?
- Memory: Can the system save facts, preferences, custom instructions, or details from earlier chats?
- Connections and uploads: Which apps, extensions, tools, files, or services can the chatbot read?
- Account controls: Is multifactor authentication (MFA) available? Can you export, delete, or close the account?
- Managed-account rules: Can an employer, school, or workspace administrator set retention or app policies?
- Age and family controls: What protections and parental visibility apply to a teen account?
Do not treat any setting as permission to submit secrets. A training opt-out does not remove processing required to answer a prompt, run the service, detect abuse, or protect users.
1. Check model-improvement or training settings
Find the provider’s current control for using conversations to improve its models. Read the scope and exceptions rather than relying on the label alone. Confirm whether the choice covers new conversations only, whether feedback is handled separately, and whether flagged content or research programs have different rules.

ChatGPT
In ChatGPT, open Settings > Data controls and review Improve the model for everyone. Turning it off means new conversations are not used to train OpenAI models, but those chats can still appear in your history (OpenAI ChatGPT Data Controls guidance, accessed 2026). This is an opt-out from model improvement, not a deletion command.
Claude
Anthropic’s consumer policy says chats and coding sessions may be used when a user chooses to allow model improvement, when a conversation is flagged for safety review, or through another explicit opt-in such as a tester program. Claude Incognito chats are not used to improve Claude even when Model Improvement is enabled. These statements apply to consumer products; commercial products have separate documentation (Anthropic Privacy Center, March 16, 2026).
Gemini
Google currently places the relevant activity choice in its privacy hub under Keep Activity. Turning Keep Activity off affects future use for improvement, but Google says chats may still be used to respond to you and for safety purposes (Google Gemini Apps Privacy Hub, accessed 2026).
Questions to answer in the settings page
- Does the control apply to all chats or only conversations created after the change?
- Does sending thumbs-up, thumbs-down, or written feedback create a separate use case?
- Can safety reviewers access a conversation even when routine model improvement is disabled?
- Does the setting apply to this account type, region, and plan?
- What happens to conversations already stored before you opted out?
2. Separate history, temporary mode, and retention
Ask three different questions: Does the chat show in history? Is it used for model improvement? How long can the provider retain it for operating the service, safety, or feedback? A “temporary” mode usually changes visibility and personalization, but it does not guarantee immediate deletion or zero retention.

ChatGPT Temporary Chats
ChatGPT Temporary Chats do not appear in history, do not create or update memories, and are not used to improve OpenAI models. OpenAI says they may nevertheless be retained for up to 30 days for safety. Depending on your settings, a temporary chat can use existing memories, custom instructions, and plugins for personalization. Saving the conversation turns it into a regular chat (OpenAI ChatGPT Data Controls guidance, accessed 2026).
Gemini Temporary Chats
Google says Gemini Temporary Chats do not appear in recent chats or Gemini Apps Activity and are not used to personalize the Gemini experience or train Google’s AI models. Google says they are kept for up to 72 hours to respond and process feedback (Google Gemini Temporary Chat announcement, accessed 2026).
Longer review retention
Google’s Gemini Apps Privacy Hub says some Gemini chats are reviewed by trained human reviewers and that reviewed chats are retained for up to three years. Turning Keep Activity off stops future chats from being reviewed to improve Google services, but Google says chats can still be used to respond and protect users (Google Gemini Apps Privacy Hub, accessed 2026).
Anthropic’s Privacy Center states that feedback-related conversation data can be retained for up to five years. That is an operational retention statement for that data category, not a claim that every Claude conversation remains for five years (Anthropic Privacy Center, March 16, 2026).

What to do before using a temporary mode
- Read the retention explanation beside the temporary-chat switch.
- Check whether the mode disables history, memory updates, training, or only some of them.
- Look for exceptions for safety review, abuse detection, feedback, or legal obligations.
- Do not paste information that must disappear immediately; use a redacted or synthetic example instead.
- Delete the chat or account separately if you need deletion, and check the provider’s confirmation and waiting period.
3. Inspect memory and personalization independently
Memory controls govern how the chatbot uses information from past interactions; model-improvement controls govern whether conversations may contribute to improving models. They are separate decisions. OpenAI explicitly documents memory and model improvement as independent controls (OpenAI ChatGPT Data Controls guidance, accessed 2026).
What to review
- Whether memory is enabled at all.
- Which saved facts or preferences are currently stored.
- Whether custom instructions are applied to every conversation.
- Whether disabling memory also deletes existing saved items.
- Whether a temporary or incognito chat can still use existing memories.
Before a sensitive task, open the memory-management page, remove facts you no longer want used, and choose a less personalized mode if available. Turning memory off without deleting saved entries may leave those entries stored for later reactivation, so verify the provider’s wording.
4. Audit connected apps, tools, and uploaded files
Chatbots can gain access to more than the text you type. Connections may retrieve documents, email, calendars, cloud files, code repositories, or other account data. Review every integration before enabling it.

- Identify exactly which app or service is connected.
- Read whether access is read-only or allows changes, sending, sharing, or deletion.
- Check which folders, messages, accounts, or files are in scope.
- Remove integrations you no longer use.
- Review browser extensions and third-party tools separately from built-in connections.
- Do not upload confidential files unless your organization has approved that service and its retention terms.
OpenAI’s Privacy Center highlights connected-app permissions and notes that workspaces may control which apps are available (OpenAI Privacy Center, accessed 2026). Anthropic says raw connector content is not included in its described improvement data unless the content is directly copied into a Claude conversation (Anthropic Privacy Center, March 16, 2026). That distinction does not mean a connector is risk-free: the chatbot may still process retrieved content to answer your request.

5. Harden the account and understand deletion
Training opt-out, chat deletion, data export, and account closure are different operations. Turning off model improvement does not delete existing chats. Use the provider’s security and privacy pages to check each option.
Security controls
- Enable MFA if the account offers it, preferably with an authenticator app or security key.
- Use a unique password and review active sessions or signed-in devices.
- Remove old recovery methods and connected applications.
- Check whether an administrator, family manager, or identity provider controls sign-in.
OpenAI identifies MFA, export, and deletion options in its Privacy Center, subject to account and workspace eligibility (OpenAI Privacy Center, accessed 2026).
Deletion questions
- Does deleting a chat remove it from the visible history immediately?
- Is it removed from backups, safety logs, or reviewer queues on a different schedule?
- Does deleting the account also remove uploaded files, memories, and connected-app data?
- Can an administrator retain or access data under an organization policy?
Save an export before closing an account if you need records. Conversely, export only to a storage location you control and protect, because an export creates another copy of the data.

6. Treat work and school accounts as managed systems
On a work, school, or other managed account, your personal settings may not be the final authority. Ask the administrator what retention, access, compliance, logging, and connection rules apply. OpenAI says managed workspaces can have organization-level settings. Its default no-training rule for Business, Enterprise, Edu, and Healthcare content does not supersede organization policies (OpenAI ChatGPT Data Controls guidance and Privacy Center, accessed 2026).

Questions for an administrator
- Who can access prompts, uploaded files, or conversation metadata?
- How long are chats retained, and are legal or safety holds possible?
- Which connectors and file types are approved?
- Can administrators disable memory, external tools, or model-improvement features?
- What happens to data when an employee, student, or contractor leaves?
Use a personal account only when policy permits it. Moving company or school information to an unmanaged account can violate internal rules even if the chatbot’s consumer settings appear more private.
7. Review teen and family protections
For a teen account, inspect age protections and the controls available to a parent or family manager. OpenAI documents parental controls for selected settings, including model improvement, memory, voice, image generation, quiet schedules, and notifications (OpenAI ChatGPT parental controls page, accessed 2026).
Linking a parent and teen account does not give the parent access to the teen’s conversation history or real-time activity. OpenAI says parents can receive limited safety notifications in specific circumstances, but not a transcript or live view (OpenAI ChatGPT parental controls page, accessed 2026).

Age protections reduce some risks but do not make a chatbot an unsupervised source for medical, legal, financial, or emergency decisions.
How to compare two chatbots fairly
Do not rank services from a single label such as “training off” or “incognito.” Use the same questions for each service and record the exact answer shown for your account.

What these settings cannot guarantee
- A privacy switch cannot prevent accidental disclosure in a prompt, file, screenshot, or connected account.
- Temporary chat does not mean zero retention: the documented limits include up to 30 days for ChatGPT safety and up to 72 hours for Gemini service operation and feedback processing.
- Turning off model improvement does not stop processing needed to generate a response, operate the service, or protect users.
- Deleting visible history may not erase every copy immediately from safety systems, backups, or organization-controlled records.
- A chatbot can produce confident but incorrect output, so verify high-stakes answers with authoritative sources or qualified professionals.
A practical decision rule
If you cannot clearly answer who can access a prompt, how long it may be retained, whether memory will reuse it, and which connected services can receive it, do not submit the real information. Replace names, account numbers, customer records, private code, health details, legal documents, and passwords with fictional or redacted examples. Recheck the privacy center whenever the provider changes its interface, your plan changes, or you move from a personal account to a managed one.
