Reliable AI automation depends on the whole system—not just the model. The workflow, tools, permissions, external environment, and recovery path all affect whether an agent completes the intended task without causing unintended changes. Use this runbook to define boundaries, observe each run, verify actual results, test consistently, and route uncertain or consequential decisions to a person.

What makes AI automation reliable?

An AI agent can plan, take an action, observe what happened, adjust, and repeat. That self-directed loop can be useful, but each additional action is another opportunity to misunderstand the request or produce an unintended consequence. Reliability is therefore an end-to-end property of the model, tools, workflow harness, and operating environment—not a score or safeguard that can guarantee correctness.

Anthropic’s Trustworthy agents in practice identifies human control, security, transparency, and privacy as principles for trustworthy agents. Those principles are useful design goals, not proof that a particular workflow is safe. The permissions it receives and the systems in which it runs still matter.

Runbook: design and operate the workflow

1. Define the job and its stopping conditions

Before connecting tools, write down the task boundary. Specify which inputs the workflow may use, what output or state change it is expected to produce, and what observable condition will count as success. Also list situations in which it must stop, ask for clarification, or hand off to a person—for example, conflicting instructions, missing evidence, or an action outside its approved scope.

  • Task: what the automation is allowed to accomplish.
  • Inputs: the data and sources it may rely on.
  • Success condition: a checkable result, not merely a completion message.
  • Stop or escalate: conditions that exceed its authority or leave the result uncertain.

2. Limit tools, data, and permissions

Give the workflow access only to the tools and information needed for its defined job. Match permissions to the consequences of the task and the environment where it runs. Account for prompt injection and other untrusted inputs that could try to redirect the agent into actions outside its intended task. Permission limits reduce exposure, but do not guarantee protection against attack or mistakes.

Reassess access when the workflow, its tools, the data it handles, or its operating environment changes. A permission set that was appropriate for one version of a workflow may be too broad after its responsibilities expand.

3. Record what happened, not just what the agent reported

Keep an inspectable record of each run: model calls, tool calls, guardrail outcomes, handoffs, intermediate results, and the final state of the external system. OpenAI’s guide to evaluating agent workflows describes a trace as an end-to-end record of model calls, tool calls, guardrails, and handoffs for one run. A trace helps operators find where a workflow went wrong; a success message alone does not establish that the intended change occurred.

Aqara Smart Home Hub M3 for Advanced Automation, Matter Controller, IR
  • [Multi-Protocol Hub with Matter Bridge] The M3 is a versatile hub supporting Aqara Zigbee and Thread devices. It integrates third-party devices into the Aqara Home app. Supports advanced Matter bridge functionality, enabling Aqara-exclusive scenes and signals to sync with Matter ecosystems such as Home Assistant for seamless integration. Supports up to 127 Aqara Zigbee devices (** Not third-party Zigbee devices) and 127 Thread devices (Repeaters are needed).
  • [Edge Compatibilities and Local Automations] The M3 serves as an Edge Hub, prioritizing local control and automation. Upon integration, it supersedes existing Aqara hubs, shifting the automations among them to local operation (Some cloud-based notifications still require internet). Upgrade-friendly, it supports migrating Zigbee devices from older Aqara hubs.
  • [Smart IR Blaster with Feedback and Learning] The 360°IR blaster not only sends commands but also provides accurate status updates by detecting traditional remote use. It connects IR air conditioning units to Matter, functioning as an AC thermostat when paired with an Aqara Temperature and Humidity Sensor. (Note: Only one AC device can be exposed to Matter. Functionality may vary based on the Matter integration app. For Apple Home exposure, use Matter integration instead of HomeKit.)
  • [Optimal Wired and Wireless Connectivity] Offering both wired and wireless solutions, the smart home hub M3 provides dual-band Wi-Fi (2.4/5 GHz) with advanced WPA3 security, and a Power over Ethernet (PoE) port. The addition of a USB-C port allows for mini-UPS and power bank connections, delivering unparalleled stability. (2A USB power adapter is not included. ) . Note: To ensure a stable connection, place the Hub M3 between 6 to 19 feet from the router.
  • [Privacy-Focused with Encrypted Storage, Easy Setup and Versatile Placement] The M3 prioritizes privacy by excluding microphone or camera components. It boasts 8GB end-to-end encrypted local storage, for device lists, configuration parameters, and automation configuration data. Additionally, it includes a mount and screws for flexible placement on flat surfaces, walls, or ceilings. Magic Pair technology ensures effortless detection by the Aqara Home app upon power-up.

4. Verify the external result

Check the system or record the automation was supposed to affect. If an agent says it filed a request, updated a record, or completed another action, verify the resulting state through an appropriate independent check. Keep the distinction clear in logs and reports between “the agent said it succeeded” and “the target system confirms the expected result.”

5. Test with explicit criteria and repeatable cases

Build representative test cases with fixed inputs and stated success conditions. Evaluate both the final outcome and the trace that led to it: a correct-looking answer can hide a risky tool call, while a failed result may reveal a specific workflow transition that needs attention. When outputs vary between runs, repeat trials rather than relying on one result. Retain a repeatable dataset and evaluation procedure so you can compare workflow changes over time.

OpenAI’s agent evaluation guidance covers evaluation runs and trace inspection as ways to identify workflow-level issues. Test the changes that matter to your actual task; a passing score on one set of cases does not establish reliable behavior in every operating condition.

  • Wide Device Compatibility: Connect compatible smart devices from Aeotec and many other brands to build a unified system for lighting, voice control, energy management, and climate settings

6. Check that the evaluation measures the intended behavior

An evaluation can produce a misleadingly strong score if its tasks leak into training or prior exposure, or if an agent finds a shortcut that satisfies the grader without demonstrating the intended capability. Review transcripts and task design for contamination, shortcuts, and grader gaming. NIST CAISI’s automated evaluation logs report benchmark-specific lower-bound shares of successful solutions attributed to cheating: 0.3% for Cybench, 0.1% for SWE-bench Verified solution contamination, 0.2% for SWE-bench Verified grader gaming, and 4.80% for internal CVE-Bench grader gaming. These are examples from those benchmark contexts, not general AI-automation reliability or failure rates.

7. Preserve evidence for factual answers

For workflows that produce factual claims, retain the trusted references used and an audit trail connecting evidence to decisions. Check whether each claim is supported, whether relevant information is missing, and whether the available evidence is sufficient for the conclusion. NIST’s work on evaluation probes for agentic AI treats faithfulness, completeness, and sufficiency as distinct evaluation concerns. NIST describes this work as ongoing research with an experimental testbed, not a universally validated production standard.

8. Plan recovery, pauses, and human approval

For long-running workflows, consider whether execution needs to survive waits, transient failures, or process restarts. Durable execution approaches can help preserve workflow progress across those interruptions; choose an implementation based on the task and the existing stack. Provide a clear way to pause, resume, or hand off a run when a human must approve a consequential action or resolve uncertainty.

Retry limits, timeouts, idempotency mechanisms, and escalation thresholds depend on the external system, the side effects of repeating an action, and the cost of failure. Document and test those choices for the actual workflow rather than assuming one universal setting. The OpenAI agent documentation discusses workflow building blocks, while durable-execution options should be assessed for fit with the workflow’s recovery and approval needs.
