Keep paper business cards for familiar, low-friction exchanges, then use AI to digitize the cards you receive, verify the details, add context, and move accurate records into your contact manager or CRM. Offer your own digital profile by QR code or link as an option—not a replacement—and follow up with a message tied to the conversation. These tools can streamline capture, but the available product documentation does not establish that they improve networking or sales outcomes.
How to combine paper cards with AI and digital profiles
- Prepare matching contact details. Keep a current paper card and a digital profile with the same name, role, company, and contact information. A QR code or short link provides a simple way to share the profile; NFC can also open it when the devices support that interaction.
- Let the other person choose. Offer paper or digital sharing without making an app installation a condition for seeing basic details. For example, HeyDrop says its QR, link, wallet-pass, and NFC options can lead to a browser-based recipient experience without a required app; this is a claim about that service, not a universal feature of digital cards. - Scan paper cards you receive. Use a business-card reader to extract details from a photo, then check the result before saving it. Review the spelling of the person’s name, company, title, email, and phone number against the card.
- Add the human context. While the conversation is fresh, record where you met, what you discussed, and a specific next step. Some contact tools describe attaching meeting notes to a contact, but that feature does not establish that the notes are accurate; review them as you would any other AI-generated record. - Save, deduplicate, and follow up. Add the corrected contact to the address book or CRM your team actually uses, check for duplicates, and export a backup if the service supports it. Send a concise follow-up that recalls the real conversation and offers the agreed next step.
What an AI business-card scanner can—and cannot—do
Microsoft’s AI Builder business-card prebuilt model attempts to extract a person’s name, job title, address, email, company, and phone numbers from an image. Microsoft cautions that card designs vary and the model may return missing or inaccurate information, so extraction should be treated as a draft rather than a verified contact record. - Supported extraction languages: English and Japanese.
- Accepted formats: JPG, PNG, BMP, and PDF; maximum file size is 50 MB.
- Image dimensions: 50 × 50 to 10,000 × 10,000 pixels.
- Call limit: 24 business-card-reader calls per environment per 60 seconds.
These are constraints for the documented Microsoft model, not universal limits for every scanner. Test the tool you choose with the languages, print quality, and card layouts your team actually encounters.

Different products emphasize different parts of the process. HeyDrop describes digital sharing through QR code, custom URL, Apple Wallet, Google Wallet, and NFC; paper-card and event-badge scanning; native HubSpot sync; and CSV/Excel export for Salesforce, Dynamics, and Pipedrive. Questions to check before adopting a service
- Recipient friction: Can people open a shared profile by QR code or link without creating an account or installing an app? Check how it works on the iOS and Android devices your contacts use.
- Capture and correction: Which languages and file formats are supported? Can staff edit extracted fields, and does the tool make it easy to spot uncertain results?
- Destination and portability: Does the tool connect to your CRM today, or only through an intermediary or planned connector? Can you export records, identify duplicates, and remove data when needed?
- Team governance: Can your team manage shared branding and profile changes? Decide who can edit profiles and view captured contacts, and how access is handled when someone leaves.
- Privacy and follow-up: Check what information the service collects, where it is stored, who can access it, and what deletion and retention controls are available. Keep collection and outreach proportionate to the meeting and the person’s expectations; the sources here do not provide jurisdiction-specific legal advice.
- Cost and evidence: Check current pricing, scan limits, and implementation effort. If you pilot a tool, judge it using your team’s actual workflow and outcomes rather than assuming marketing claims mean higher conversion or lower costs.
Make the follow-up personal and measured
A scanned card is a starting point, not permission to send a generic sequence. Use the note from the conversation to write a relevant message and carry out the next step the person agreed to. The cited product pages document features, not independent tests of extraction accuracy, networking success, follow-up rates, or sales lift; measure any claimed benefit in your own pilot rather than presenting it as established.
