Build a more reliable InDesign workflow by making repeated layouts reusable, importing text with structure intact, checking errors as you work, and preparing files for the people who will print or edit them. The 14 tips below focus on those practical steps; they are a workflow guide, not a reconstruction of an original fourteen-item list.
Build consistency into the document
1. Use Parent Pages for recurring elements
Put elements that repeat across pages—such as headers, footers, logos, page numbers, and placeholder frames—on a Parent Page, then apply it to pages that share the layout. When you edit the parent, the change flows to pages using it. Adobe’s current name is Parent Pages; older tutorials may call them Master Pages.
2. Put layout rules on the parent, too
Parent Pages can also define page-level margins and columns. Using a parent for these recurring layout rules helps keep related pages aligned instead of relying on manual adjustments page by page.
3. Create layout variants with separate parents
If a document has distinct page types—such as a chapter opener and a standard text page—use more than one Parent Page. Give each layout the recurring elements and structure it needs, then apply the appropriate parent to each page.

4. Avoid manual duplication for repeated content
Copying headers, footers, or other recurring objects onto individual pages can make later changes tedious and inconsistent. A Parent Page provides a shared source for those elements, so one edit can update every page that uses it.

5. Map Word styles to InDesign styles during import
When importing a Word document, map its paragraph and character styles to corresponding InDesign styles. That helps preserve the text’s structure and reduces repetitive formatting. Adobe documents the mapping workflow in its file import guidance. Do not assume every Word feature will translate exactly as intended; inspect the imported result.
6. Check General preferences before starting a new project
InDesign’s General preferences include controls for page-number display, font-subsetting thresholds, and scaling behavior. Adjust settings that suit your workflow before creating a document. Adobe notes that these preference changes apply to new documents created after the change, rather than retroactively changing existing documents.

Catch problems while you work
7. Keep live preflight visible
Open the Preflight panel at Window > Output > Preflight. Live preflight can flag issues including missing fonts, modified links, overset text, and low-resolution images. Adobe describes the panel and its checks in its preflighting documentation.
8. Use the panel to locate an error
The panel groups issues and provides contextual details and suggestions. Select an error to inspect its information; selecting its page number can take you to the page and highlight the relevant item. A green status indicator means no errors have been detected by the active checks; red indicates issues needing attention.
9. Choose a preflight profile for the job
A preflight profile determines which conditions InDesign flags. Use or customize a profile to fit the production workflow—print, digital, or internal review—and ask the printer or prepress provider whether they supply a profile. The goal is to check the conditions that matter for the actual output, not simply to clear every possible warning without context.

10. Control what preflight checks
Profile settings can include or exclude layers, pasteboard items, and non-printing objects. Set these options to match what should be assessed for the deliverable. A page-range filter can narrow the issues displayed in the panel, but Adobe cautions that it does not disable preflight for the rest of the document.

Preflight reports the conditions selected by the active profile; it cannot confirm that a layout is editorially correct or that it meets every recipient’s specifications. Investigate warnings in context, and separately verify the printer’s requirements before producing a print PDF.

12. Confirm print requirements before PDF export
Before exporting a print-oriented PDF, check that links are updated, fonts are available and licensed for the intended use, bleed and margin settings are appropriate, color is suitable, and preflight warnings have been reviewed. Adobe’s printing guidance supports these checks. Use the preset and output settings specified by the printer; there is no single preset established as correct for every print job.

13. Package the document for a collaborator or printer
Choose File > Package to collect the InDesign file with selected fonts and linked graphics. Packaging options can also include an IDML file and a print PDF. Review preflight issues first, then include the materials the recipient needs. Adobe explains the process in its handoff instructions.
14. Treat packaging as collection, not approval
A package gathers files; it does not resolve layout warnings or establish that a PDF meets a printer’s specifications. Before handing it off, confirm the recipient’s requested contents and settings, then review the packaged document and any exported PDF against those requirements.
