In Excel for Microsoft 365 and Excel for Microsoft 365 for Mac, select the cell or range where you want checkboxes, then choose Insert > Checkbox. Each checkbox stores a logical value in its cell: checked is TRUE, and unchecked is FALSE. You can click a box or select its cell and press Spacebar to change its state, then use the cell in a formula.

Insert an in-cell checkbox

  1. Select one cell or a range of cells where the checkboxes should appear.
  2. Choose Insert > Checkbox. Excel adds a checkbox to each selected cell.
  3. Click a checkbox to switch it between checked and unchecked. To toggle multiple selected boxes together, select them and press Spacebar.

This documented Insert workflow applies to Excel for Microsoft 365 and Excel for Microsoft 365 for Mac. It should not be assumed to be available in every older Excel version. See Microsoft’s guidance on using checkboxes in Excel for the current feature.

Use a checkbox value in a formula

The in-cell checkbox represents the logical value in its cell: checked evaluates to TRUE, and unchecked evaluates to FALSE. Reference the checkbox cell directly; you do not need to wrap it in TRUE().

=IF(A1, "Checked", "Unchecked")

Replace A1 with the address of your checkbox cell. The IF function tests that logical value and returns the matching text.

Return a value or calculation based on the state

The same pattern can control a calculation or other result. For example, if A1 is a checkbox and B1 contains an amount, =IF(A1,B1,0) returns the amount when the box is checked and zero when it is unchecked. Microsoft’s IF reference explains the function’s logical test and result arguments at IF function.

Choose between in-cell checkboxes and legacy controls

Approach How to insert Platform and behavior
Microsoft 365 in-cell checkbox Select cells, then choose Insert > Checkbox. Documented for Excel for Microsoft 365 and Excel for Microsoft 365 for Mac. The cell itself stores TRUE or FALSE.
Legacy Form Control checkbox Choose Developer > Insert, then select a checkbox under Form Controls and click the worksheet location. Microsoft’s Form Controls guidance covers Excel 2016 through Microsoft 365. These are worksheet objects, not the newer in-cell checkbox; their setup is not identical. Microsoft says Form Controls cannot be used in Excel for the web.

For a Form Control, Microsoft’s guide describes editing or removing its default text and adjusting available properties through Format Control. If a workbook with Form Controls must be used in a browser, be aware Microsoft warns that unsupported objects may be lost if a user proceeds with editing there. Open the workbook in the desktop app for that legacy workflow. See Microsoft’s Form Controls guidance.

Checkbox or check-mark symbol?

A check-mark symbol is static content; clicking it does not toggle a logical value. If you need a mark for display only, Microsoft documents inserting one through Insert > Symbols > Symbol, including a Wingdings option using character code 252. If the mark must be clickable or drive a formula, use an interactive checkbox instead. See Microsoft’s instructions for inserting a check-mark symbol.

Fewer air bubbles – for the smoothest finish, don’t peel off the entire backing at once. Instead, fold back a small section, line it up, and press gradually as you peel more.
