Accounts payable (AP) software helps a business track what it owes suppliers and manage the work of processing those obligations. Depending on the product, it may handle vendor records, invoice intake, validation, approvals, payment setup or settlement, and updates to accounting records. The label covers several kinds of software, from an AP feature inside an ERP to a dedicated invoice-to-payment platform.
What accounts payable software does
Accounts payable is the finance function that records and manages a business’s unpaid obligations to vendors. AP software supports that function by organizing supplier invoices and outgoing expenditures. Microsoft’s Dynamics 365 Finance documentation describes AP work that includes invoice processing, approvals, matching, payment setup, and settlement.
Some products cover only a portion of this work. A tool that extracts data from invoices, for example, may help with intake but not approve invoices, make payments, or synchronize transactions with accounting records. A broader AP platform can connect more stages into one workflow.

How the AP workflow commonly works
The exact sequence and level of automation vary by product. A typical workflow may include these stages:

- Receive and capture invoices. Invoices can be entered manually, received electronically, or captured from documents. Some software extracts invoice details into structured fields.
- Validate and match the details. The system can compare an invoice with a purchase order. Three-way matching also checks a goods receipt. Discrepancies may be sent for review rather than treated as routine transactions.
- Route invoices for approval. Rules direct invoices to the appropriate approver. A system may automatically approve invoices that meet defined criteria and flag others for authorized review.
- Configure or make payments. Depending on the product and region, software may help schedule or execute payments, or simply record payment information.
- Post and reconcile transactions. Invoice and payment data may be posted or synchronized to accounting records, helping keep the books current and support reconciliation.

How AP software differs from related terms
- Accounts payable: The business function and records for amounts owed to suppliers.
- Invoice processing: Receiving, reading, and entering invoice information. It is one part of the wider AP workflow.
- AP automation software: Software that digitizes and automates some AP steps. Depending on its scope, it may connect invoice capture to approvals, payments, and accounting synchronization.
- ERP AP module: AP functionality included in a broader enterprise resource planning system. It can keep finance work within an ERP the organization already uses.
- Standalone AP platform: Dedicated AP software that works alongside an existing accounting or ERP system, often exchanging data with it.
The distinction matters because “invoice processing” does not necessarily mean the product manages approvals or payments. “AP automation” can describe a more connected workflow, but the name alone does not establish how much of the process is covered.

Standalone platform or ERP module?
An organization may use AP features built into its accounting or ERP system, or adopt a separate AP platform and connect it to that system. A native module can keep work within the finance environment already in use. A standalone product can add dedicated invoice-to-pay capabilities while the organization retains its existing accounting system. The right fit depends on the workflows the business needs and how reliably systems can exchange data.
When assessing scope, establish whether the product captures invoices only, routes invoices for approval, or also supports payment scheduling or execution and settlement. Then check whether it syncs the records needed by the accounting or ERP system.

What to check before relying on automation
Automation can reduce manual steps, but it does not guarantee that every invoice is correct or every payment is safe. Matching depends on usable invoice, purchase-order, and receipt data. Stripe identifies incomplete matching data as a possible contributor to duplicate payments and high invoice exception rates. Approval rules also need to direct exceptions to people authorized to review them.

- Data quality: Check whether the source records needed for matching are complete and consistent.
- Exception handling: Find out how mismatches and other unusual invoices are flagged and resolved.
- Approval permissions: Confirm that rules route invoices to appropriate, authorized reviewers.
- Payment scope: Determine whether the product configures, schedules, executes, or only records payments.
- Traceability and reconciliation: Check what approval and transaction history is retained, and how transactions reach accounting records for reconciliation.
