Outlook’s current Work hours and location feature lets you tell colleagues when you normally work and whether you are in the office or working remotely. It supports different schedules for different days—for example, 8:00 AM–5:00 PM Monday through Thursday and 10:00 AM–4:00 PM on Friday.

Use new Outlook for Windows or Outlook on the web to configure the modern schedule. You need a work or school account with a qualifying Microsoft 365 subscription. Personal Outlook.com, Gmail, and other consumer accounts do not use this supported setup path.

Set recurring work hours in Outlook

These steps configure your normal weekly schedule and default work location.

  1. Open new Outlook for Windows or go to Outlook on the web.
  2. Select Settings in the upper-right corner.
  3. Go to Calendar > Work hours and location.
  4. Select the checkboxes for the days you want to configure.
  5. Use the start-time and end-time dropdowns to choose the hours for each selected day.
  6. Choose a location for each day, such as Office or Remote.
  7. Optionally select Share office location details if you want colleagues to see the specific building or office information configured by your organization.
  8. Select Save.

You can set different start and end times for individual days. For example, configure Tuesday as 8:00 AM–4:30 PM and Wednesday as 9:30 AM–6:00 PM instead of forcing every weekday into one schedule.

What other people can see

If Share office location details is cleared, other people see only whether you are in-office or remote. They do not see the specific building or seating details. To remove a work location, clear the location selection; Outlook changes it to No location. If you do not want location details shared, also clear the relevant location-sharing option before saving.

Change work hours for a particular date

Your recurring schedule is only the default. You can override it for a specific day when you have an appointment, a changed shift, or an occasional office visit.

  1. Open Calendar in new Outlook or Outlook on the web.
  2. Select Work plan.
  3. Choose the date or dates to change.
  4. Adjust the work hours or location.
  5. For remote work, select the applicable days and select I work remotely.
  6. Select Set.

The Work plan icon can look different depending on whether the day is already marked as remote or in-office. If your organization has configured a directory of buildings, you may also be able to select a particular building. Without that directory, Outlook normally offers only general location choices.

Microsoft currently lists these individual-date location changes as available in Outlook on the web and Teams Desktop. The corresponding experience in classic Outlook for Windows, Outlook for Mac, and the Outlook mobile apps may not be available.

Mark planned time off from the Work plan

You can add out-of-office time from the Work plan window:

  1. Open Work plan from your calendar.
  2. Select Out of office from the dropdown.
  3. Enter a title.
  4. Set the date and time.
  5. Select Save.

Outlook adds an out-of-office appointment to your calendar and updates your Microsoft Teams presence. You can also create a calendar appointment on any device and set its Free/Busy status to Out of office. Outlook treats that period as out of office for the work-location plan.

Classic Outlook and the legacy work-hours setting

Classic Outlook can display work hours and location, but Microsoft directs users to new Outlook or Outlook on the web to configure the modern feature. The legacy setting is still supported, but it has an important limitation: it allows only one start time and one end time for the entire work week.

That means legacy hours cannot accurately represent a schedule such as 8:00 AM–5:00 PM on Monday and 10:00 AM–7:00 PM on Tuesday. When modern hours vary by day, Outlook approximates them for legacy clients by using the earliest start time and latest end time. For example:

Modern schedule Legacy display
Some days: 8:00 AM–5:00 PM
Other days: 10:00 AM–7:00 PM
8:00 AM–7:00 PM for the week

Before you configure modern work hours, changing legacy work hours also updates the modern schedule. After modern hours have been set or updated, later changes to legacy start and end times do not overwrite the modern schedule. Changing the legacy working-hours time zone is the exception: it continues to update the modern work-hours time zone.

Set work hours with Exchange PowerShell

Administrators can configure the legacy mailbox calendar settings with the Exchange Online PowerShell cmdlet Set-MailboxCalendarConfiguration. This is useful for applying a consistent basic schedule to multiple mailboxes, but it does not provide the modern per-day location experience available in Outlook.

For example, this command sets weekdays from 8:00 AM to 5:00 PM in the Pacific time zone:

The relevant parameters are:

Parameter Purpose
-WorkDays Specifies the working days.
-WorkingHoursStartTime Sets the daily starting time.
-WorkingHoursEndTime Sets the daily ending time.
-WorkingHoursTimeZone Sets the Windows time-zone key used for the schedule.

Valid -WorkDays values include None, AllDays, Weekdays, WeekEndDays, and individual days such as Monday or Saturday. Multiple values can be comma-separated.

Microsoft documents defaults of 08:00:00 for the start time, 17:00:00 for the end time, and Weekdays for workdays. Time values use the documented time-span format, such as 08:00:00 and 17:00:00.

Find the correct Windows time-zone key

The PowerShell parameter requires a supported Windows time-zone key, not necessarily the time-zone name shown in everyday language. To list the available keys on a Windows computer, run:

Exchange administrators need the appropriate permissions. Microsoft identifies Organization Management or Recipient Management membership as administrator access capable of configuring users’ calendar settings.

Why “Work hours and location” is missing

Problem Likely explanation What to do
The setting is not in Outlook You are using classic Outlook, a personal account, or an account without a qualifying subscription. Try new Outlook for Windows or Outlook on the web with your work or school account.
You can see hours but cannot create a different schedule for each day You are using the legacy work-hours experience. Configure modern hours under Settings > Calendar > Work hours and location.
A building is not available Your organization has not configured a building directory. Use the general Office or Remote option, or ask your Microsoft 365 administrator about building configuration.

Which Outlook versions support the feature?

Microsoft’s current product scope includes Outlook for Microsoft 365, Outlook 2024, Outlook 2021, Microsoft Teams, and new Outlook for Windows. Microsoft’s legacy documentation also lists Outlook 2019, Outlook 2016, Microsoft365.com, and Outlook on the web. Availability still depends on the account type, subscription, client version, and whether your organization has enabled the relevant Microsoft 365 features.

One notable limitation is GCC High: Microsoft says work location is not yet available in classic Outlook for Windows with GCC High.

Work-location information is intended to help colleagues coordinate schedules and help organizations understand office-occupation trends. Microsoft states that the trend data is aggregated and anonymized and is not used to track individual employees.

Can I set different work hours for each day in Outlook?

Yes. In new Outlook for Windows or Outlook on the web, open Settings > Calendar > Work hours and location. Each selected day can have its own start time, end time, and remote or in-office location.

Can I set work hours in classic Outlook?

Classic Outlook can show work hours and location, but Microsoft directs users to new Outlook or Outlook on the web for configuring the modern schedule. Its legacy work-hours setting supports only one start and end time for the whole week.

Why can’t I find Work hours and location?

Check that you are using a work or school account with a qualifying Microsoft 365 subscription and are using new Outlook or Outlook on the web. The feature is not the supported setup path for personal Outlook.com, Gmail, or other consumer accounts.

Can Outlook work hours automatically update Teams?

An out-of-office entry created through the Work plan updates Teams presence. A normal recurring work-hours schedule primarily communicates your working pattern and location; it does not make every calendar status an out-of-office status.

Can I hide my exact office building?

Yes. Clear Share office location details. Other viewers then see only a general in-office or remote status rather than specific building or seating information.

Can I configure work hours in Outlook for iPhone or Android?

Microsoft’s current availability information lists recurring setup in Outlook mobile as future availability. Use new Outlook for Windows or Outlook on the web for the supported setup experience.

The Bottom Line

For the current Outlook experience, use Settings > Calendar > Work hours and location in new Outlook for Windows or Outlook on the web. Configure each day separately, choose whether you are remote or in the office, and save the schedule. Treat classic Outlook and Exchange PowerShell as legacy-hours tools: they support a single weekly time range and do not replace the modern per-day location settings.
