Microsoft Word does not have a built-in Change Calendar Year or Set Calendar Dates command. Most Word calendar templates are made from tables, text boxes, shapes, and ordinary text, so Word treats the dates as content rather than as a calendar that can recalculate itself.
To change the year, open the original template, replace the displayed dates, and save it as a new template or document. If you saw instructions using Page Design > Change Template > Set Calendar Dates, those instructions are for Microsoft Publisher, not Word.

Change the dates in a Word calendar template
These steps apply to Word for Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016 on Windows desktop.

- Select File > Open.
- Double-click This PC.
- Browse to your Custom Office Templates folder, normally under Documents or My Documents.
- Select the calendar template and choose Open.
- Change the year, month names, and numbered dates in the calendar.
- Select File > Save, then close the template.
Opening the template this way is important. If you select File > New and create a document from the template, you are normally editing a new document based on the template—not the original template file.

How to edit the calendar dates
The exact editing method depends on how the template was designed.
| Calendar element | What to do |
|---|---|
| Text in a table cell | Click inside the cell, select the old number, and type the new number. |
| Text box | Click the text box, click inside its text, and replace the date. |
| Shape containing text | Double-click the shape or right-click it and choose Edit Text, then replace the date. |
| Graphic or picture | The dates are part of the image. Word cannot edit them as text; you need to replace the image or use an image editor. |
| Locked content control | Remove or change the protection before editing, if you have permission. |
For a calendar laid out as a table, check each month carefully. Changing “31” to “30” is not enough if the weekdays are also wrong: the first day of the month and every subsequent date must fall under the correct weekday.
Save the revised calendar without overwriting the original
If you want to keep the original template for future use, use File > Save As after making the changes. Choose a different filename, such as Calendar-2026.dotx or Calendar-2026.docx.
Word template formats include:
- .dotx — standard Word template
- .dotm — macro-enabled Word template
- .dot — older Word template format
Use .dotm only if the template contains macros that need to run. A normal calendar should generally be saved as .dotx.
Why the year may not change automatically
A standard Word calendar template is usually a formatted document, not a date-calculation application. Word can contain date fields and date-picker controls, but neither one automatically rebuilds a complete 12-month calendar.

Date Picker Content Control
You can display the Developer tab by selecting File > Options > Customize Ribbon, selecting Developer under Main Tabs, and choosing OK.
The command Developer > Date Picker Content Control inserts a control for choosing one date. It is useful for a form such as “appointment date,” but it does not generate or reposition all dates in a yearly calendar. To change its display format, select the control and choose Developer > Properties.
Insert > Date & Time
The command Insert > Text > Date & Time can insert either ordinary date text or an automatically updating date field. If you select Update automatically, Word updates that field when the document opens.
That option is usually unsuitable for a calendar for a fixed year. It represents the current date, not the year represented by every month in the calendar. If you manually change an automatically updating field and save it, Word can restore the current date the next time the document opens.
To change an existing automatic date field, click the gray field, type the replacement date, and click outside the field. To restore its current value, click the field and choose Update. For fixed calendar dates, plain text or a properly redesigned calendar is safer.

What to do if Word will not let you edit the dates
Check whether the document is protected
Protection can prevent changes to the calendar or to individual controls.

- Open the Developer tab.
- Choose Restrict Editing.
- If editing is restricted, select Stop Protection, if available.
- Enter the password if Word requests one.
Some templates lock individual content controls instead. Select the control, choose Developer > Properties, and inspect the Locking options. Settings such as Content control cannot be deleted and Contents cannot be edited can block changes.
If you do not know the protection password, do not assume that renaming the file will remove the protection. Ask the template owner for an editable copy or the password.
Convert an older file format
Controls can be unavailable when a file is still using an older format. Open the file and select File > Info > Convert, choose OK, and save the converted document or template. Then check the Developer controls again.
Turn on formatting marks and inspect the layout
If dates appear to be missing, select Home > Show/Hide to display paragraph marks and other layout indicators. You may find that a month is inside a table, text box, header, footer, or grouped object rather than in the main document text.

Headers and footers can be edited by double-clicking the top or bottom margin. Objects may also be behind other objects; use Home > Select > Selection Pane to identify and select them.
Word versus Publisher calendar instructions
The path Page Design > Change Template > Set Calendar Dates is a Publisher feature. In Publisher, the Set Calendar Dates dialog includes Start date and End date, followed by options to apply the template to the current publication or create a new publication using the existing text and graphics.
That menu does not exist in the normal Word desktop interface. Searching for it in Word will not reveal a hidden command, and there is no documented Word command syntax that recalculates an ordinary calendar template.
When manual editing is not the best option
Manual editing is practical when you need one revised calendar and the template has a straightforward table layout. It becomes error-prone when you need a new calendar every year, because you must check 12 month layouts, leap years, weekday alignment, and any dates repeated in headings or graphics.
For a reusable calendar, consider one of these options:

- Use a calendar generator that accepts a year and exports to Word or PDF.
- Create a Word document using a table and a macro that calculates dates, if macros are acceptable in your environment.
- Keep the calendar as a static template and update it manually each year using a checklist.
For a printed Word calendar, content-control borders do not print. This means a date control can appear boxed while editing but print as the date without its control boundary.

- Confirm that the year appears correctly in the title and every month.
- Check February for 28 or 29 days.
- Verify the weekday of the first day of every month.
- Check months with 30 days so that an extra “31” has not been left behind.
- Search the document for the old year using Home > Find.
- Inspect headers, footers, text boxes, and pictures for old dates.
- Save a new copy before printing or exporting to PDF.

Is there a “Change Calendar Year” command in Microsoft Word?
No. Word does not document a built-in command that recalculates the year of an ordinary calendar template. You normally edit the displayed dates manually or use a different calendar-generation method.
Why can’t I find “Set Calendar Dates” in Word?
Set Calendar Dates is a Microsoft Publisher feature. In Publisher, the path is Page Design > Change Template > Set Calendar Dates. It is not a standard Word command.

Do not look for Set Calendar Dates in Word—that feature belongs to Publisher.
