Windows 11 does not have a native, system-wide list where you type an abbreviation such as ;addr and press Space to expand it. For a shortcut that works across Windows, Microsoft’s supported method is PowerToys Keyboard Manager. It assigns a key combination—such as Ctrl+G—to a text sequence.
If you specifically want typed abbreviations that expand after pressing Space or Enter, use Word AutoCorrect. For longer saved passages in Word, use AutoText.
Choose the right Windows 11 text shortcut method

Create a Windows-wide shortcut that inserts text
PowerToys Keyboard Manager can map a shortcut to an arbitrary text sequence, including Unicode characters. PowerToys must be running in the background, and Keyboard Manager must be enabled, for the mapping to work.

Set up the mapping
- Open PowerToys Settings.
- Select Keyboard Manager.
- Select Remap a shortcut.
- Select Add shortcut remapping.
- In the new row, select the shortcut in the Select column.
- In the To send column, choose Text.
- Enter the text you want inserted.
- Select OK.
For example, configure the row as follows:
Select: Ctrl + G
To send: Text → Hello from shortcut!
Click in a text field and press Ctrl+G. PowerToys inserts Hello from shortcut! at the cursor. The change takes effect immediately; you do not need to restart Windows or PowerToys.

What can be used as the shortcut?
The shortcut must begin with a modifier key such as Ctrl, Shift, Alt, or Win, and it must end with a non-modifier key such as a letter, number, or function key. A shortcut can contain no more than four keys.
PowerToys also supports a chord: a shortcut with one or more modifiers followed by two sequential non-modifier keys. In the editor, select Edit and enable Allow chords. For example:
Ctrl + Shift + V, U
Use a shortcut that is unlikely to conflict with an application’s existing commands. A deliberately unusual combination is often better than replacing a shortcut you already use.
Make the shortcut work only in one application
By default, a Keyboard Manager mapping applies globally. You can restrict it to one application by entering the application’s process name, not the name shown in its title bar or Start menu.

To find a process name, open PowerShell and run:
Get-Process
Get-Process normally omits the .exe suffix, so add it when entering the target in Keyboard Manager. Alternatively, open Command Prompt and run:
tasklist
The Image Name column in tasklist displays the executable name, including .exe.
Create a typed abbreviation in Microsoft Word
PowerToys does not create a trigger such as ;addr that expands when you press Space. Word’s AutoCorrect feature is the appropriate option for that behavior.

- In Word, select up to 255 characters of replacement text, or prepare the replacement text separately.
- Go to File > Options > Proofing.
- Select AutoCorrect Options.
- On the AutoCorrect tab, make sure Replace text as you type is selected.
- Enter the abbreviation in the Replace box. For example, enter
;addr. - Enter or check the full text in the With box.
- Select Add, then select OK twice.
Type the abbreviation in a Word document and press Spacebar or Enter. Word replaces it with the text in the With box.

AutoCorrect entries are shared across supported Office applications, so an entry added in Word may also affect other Office programs that support AutoCorrect. This is not the same as a Windows-wide replacement list: it will not automatically work in every application.
Delete a Word AutoCorrect shortcut
- Open the AutoCorrect tab again.
- Enter the abbreviation in the Replace box.
- Select the matching entry in the list.
- Select Delete.
Word for the Web can use AutoCorrect entries but does not let you add or remove them. To change the list, select Editing > Open in Desktop App, then edit AutoCorrect in the desktop version of Word.
Save larger text blocks with Word AutoText
AutoCorrect is intended for short replacements. If you need to reuse a paragraph, email template, form section, or other substantial passage, use AutoText instead.
- Select the text in Word.
- Press
Alt+F3. - Complete the Create New Building Block dialog.
- Save the building block.
To insert it later, go to Insert > Quick Parts > AutoText and choose the saved entry. AutoText is stored with a Word template and is not available in Word for the Web.

PowerToys limitations and common failures
These conditions explain why a shortcut may appear to work in one window but not another:
- PowerToys is closed: Keyboard Manager mappings stop working when PowerToys is no longer running in the background.
- Keyboard Manager is disabled: Open PowerToys Settings and check that the Keyboard Manager feature is enabled.
- The target application is elevated: A remapping does not work in an administrator-level application unless PowerToys is also running as administrator. This also affects elevated Run As operations.
- Password and sign-in screens: Keyboard Manager does not work on password screens or at the Windows sign-in screen.
- Reserved Windows shortcuts:
Win+LandCtrl+Alt+Deletecannot be remapped. - Fn key: The
Fnkey generally cannot be remapped. F1 through F24 can be used when the keyboard exposes them as normal usable keys. - Win+G conflict: Xbox Game Bar may still open when
Win+Gis assigned to another action. Disable Game Bar in Windows Settings if it conflicts. - Other keyboard utilities: Software that also intercepts keyboard hooks can interfere. Microsoft’s recommended first remedy is to disable and re-enable Keyboard Manager.
- Games: Microsoft advises against using Keyboard Manager in games. Keyboard interception can affect performance, and some games use keyboard APIs that do not work with it.
- AltGr and Ctrl+Alt: Windows treats AltGr as left
Ctrlplus rightAlt, so mappings involving AltGr orCtrl+Altcan behave unexpectedly. - Multiple keyboards: Keyboard Manager cannot maintain separate mappings for different physical keyboards.
- Orphaned keys: If you remap a key away from its original function, that original function is no longer available. PowerToys displays a warning when this happens.
PowerToys editor note
Starting with PowerToys 0.100, new installations open the redesigned WinUI 3 Keyboard Manager editor by default. PowerToys Settings includes a Use the new editor option, which lets you switch between the redesigned editor and the legacy editor. The names and placement of some controls may therefore differ slightly between installations.
Why the old Windows Settings instructions do not work
Instructions claiming that you can go to Settings > Devices > Typing to create a Windows-wide text shortcut are not the current Microsoft-documented route for this feature. For a system-wide shortcut that inserts text, use PowerToys Settings > Keyboard Manager > Remap a shortcut.

Also, do not confuse a key-to-text mapping with typed text replacement. Keyboard Manager reacts to a shortcut such as Ctrl+G; it does not watch for an arbitrary string followed by Space or Enter. For that second behavior, use Word AutoCorrect or another application-specific text expansion feature.

FAQ
Can Windows 11 expand ;email when I press Space?
Not through the current built-in Windows-wide Keyboard Manager feature. PowerToys maps a key or shortcut to text, but it does not provide a global typed-abbreviation list. In Word, create the entry with File > Options > Proofing > AutoCorrect Options.
Do PowerToys text shortcuts work when PowerToys is closed?
No. PowerToys must remain running in the background, and Keyboard Manager must be enabled.
Can I make a PowerToys text shortcut work only in Word?
Yes. Add Word’s process name, winword.exe, as the target application for the mapping. The target uses the process name rather than the application’s display name.

The target window is probably running with elevated privileges. Run PowerToys as administrator as well, then test the mapping again.
