Claude for Excel can help compare actuals with budget, surface the largest differences, and explain which workbook cells support its analysis. For dependable results, define the variance and favorability rules in your prompt, then verify the formulas and cited cells in Excel before using the output for reporting.

What Claude for Excel does

Claude for Excel is an add-in that brings Claude into a sidebar in Microsoft Excel. Anthropic says it can read, analyze, modify, and create workbooks, track and explain changes, and link explanations to the cells they reference. Those links make an answer easier to inspect; they do not establish that Claude selected the right data or calculated the variance correctly. Anthropic’s October 27, 2025 launch announcement describes the original beta research preview.

Anthropic’s current Claude for Microsoft 365 page lists Claude for Excel, Word, and PowerPoint as generally available on paid plans. Availability and terms can change, so check the current product page and your organization’s access rules.

Prepare the workbook and define the comparison

Begin with a clean comparison table: an account or metric, actual, budget (or prior-period value), and the relevant dimensions such as department, product, or month. Tell Claude which worksheet and range to use. A clear table and scope reduce the chance that it compares the wrong periods or includes unrelated rows.

State the arithmetic and how to interpret it. For example, actual minus budget means a positive amount is over budget and a negative amount is under. Favorability is a separate judgment: an expense above budget is usually unfavorable, while revenue or profit above plan may be favorable. Specify the denominator for percentages—often budget—and ask Claude to flag zero-budget rows rather than silently assigning them a percentage. A negative budget can also make a percentage difficult to interpret, so ask for those cases to be identified separately.

Run a variance analysis in the sidebar

  1. Select the workbook context: Open Claude for Excel and identify the worksheet and range containing the comparison. Confirm that the table includes the periods and dimensions you intend to analyze.
  2. Give the calculation rules: Specify actual minus budget, the favorability convention for each type of metric, the percentage denominator, and how to handle zero or negative comparison values.
  3. Ask for a ranked explanation: Request dollar and percentage variances, the largest contributors by absolute amount, and a note on missing, anomalous, or inconsistent data. Ask for price/rate and volume effects only when the workbook contains the fields needed to support that split.
  4. Request traceability: Ask Claude to identify the cells or ranges behind each material result and explanation. Then select those references in Excel and inspect the underlying values and formulas.
  5. Validate before using the result: Recheck totals, signs, units, period alignment, denominators, and formulas. Save a recoverable copy before accepting broad workbook edits.

For example, a prompt can say: “Compare actual with budget on the Summary sheet. Use actual minus budget; for expenses, label positive differences unfavorable and negative differences favorable. Calculate dollar and budget-based percentage variances, flag zero-budget rows separately, rank the five largest absolute contributors, and cite the cells you used. Do not infer causes that are not supported by the workbook.” Adjust the rules for revenue, profit, or other measures rather than applying the expense convention to every row.

Check the explanation and calculations

Anthropic’s help guidance says Claude can process mathematical equations and perform calculations, but complex or mission-critical calculations should be verified with specialized mathematical software or manual methods. Read Anthropic’s calculation guidance before treating a generated result as authoritative.

Review each key variance against the workbook: confirm that actual and comparison values come from the intended rows and periods, recompute the difference, and check the percentage denominator. Make sure positive and negative values match your sign convention, and that totals reconcile to the source data. Cell references support this audit, but they are not proof of correct selection or arithmetic.
