Business email typically costs a per-user subscription, with the total depending on the plan, billing term, and number of people who need accounts. In provider examples dated October 7, 2026, annual pricing ranges from US$1 per user per month for an email-only tier to US$22 per user per month for a broader suite plan. Those are vendor prices, not a market average; location, taxes, promotions, and plan details can change the amount you pay.

How much does business email cost?

Most hosted business email plans charge for each licensed user. To estimate the recurring cost, multiply the rate by the number of users and by 12 for an annual total. The examples below are prices displayed by providers on October 7, 2026; they are not independently calculated averages. Microsoft prices are from its US site. Google and Zoho pricing may vary by market, currency, taxes, promotions, and current terms.

For a team of 10, for example, an annual commitment at $7 per user per month comes to $840 per year before applicable taxes or other charges. Monthly billing at Google Workspace Starter’s displayed $8.40 rate would be $1,008 over 12 months. The figures above multiply each quoted per-user rate by 12; they do not include taxes, domain registration, migration, or any unlisted charges. Google limits Business Starter, Standard, and Plus to 300 users; Enterprise pricing is by sales quote. What changes the total cost?

Licensed users

Count individual accounts, not just the number of addresses. If a plan is priced per user, a second account for a person who needs a separate mailbox may add another license. Billing term and renewal

Annual commitments can have a lower monthly equivalent than paying month to month, but require a longer commitment. Compare the amount charged today with the recurring renewal price, and check whether the listed offer is promotional. Email-only service or a broader suite

Some tiers focus on mail; others bundle document editing, meetings, chat, cloud storage, or management tools. A broader plan can cost more without being better value if your team will not use those extras. Compare mail-only plans with one another, and suite plans with other suites, rather than treating their headline rates as equivalent.

Storage and retention

Domain and setup work

A custom-domain address requires control of a domain and DNS settings. Setup commonly involves verifying the domain and configuring mail-routing and authentication records. The provider examples here do not establish a universal domain-registration or migration fee, so get any such costs from the registrar or provider you choose. Security and administration

How to compare plans fairly

  1. Use the same team size. Count people who need separate licensed accounts for each quote.
  2. Compare the same time period. Calculate 12 months of cost and note whether the provider bills monthly or requires annual payment.
  3. Check renewal terms. Confirm the ongoing rate, auto-renewal conditions, and whether any displayed discount is introductory.
  4. Match the service type. Compare email-only plans with email-only plans, or compare complete productivity suites by the tools each includes.
  5. Check limits and capabilities. Compare mailbox or pooled storage, user caps, security and administration features, and any retention needs.
  6. Account for setup. Confirm domain ownership, DNS work, and any migration effort or separately quoted fees.
  7. Verify local checkout pricing. Provider pages may show different currencies, taxes, promotions, and terms by country; confirm the final price for your location before committing.

What setting up custom-domain email involves

After choosing a provider, you generally verify ownership of the domain, create user accounts, and configure DNS so mail reaches the provider and outgoing messages can be authenticated. MX records direct incoming email; SPF and DKIM records help authenticate outgoing mail. The exact DNS values depend on the provider and, in some cases, its data center, so use the provider’s instructions rather than copying generic record values.

Zoho’s official help documentation, last updated September 8, 2026, explains a key distinction: “Once you have verified your domain and created users, you will be able to send emails from domain-based accounts.
